Associate Director of Finance - 2013
Earthdance is an artist-run workshop, residency, and retreat center located in the Berkshire Hills of Western
Massachusetts. We provide a dynamic mix of dance, somatic, and interdisciplinary arts training, with a focus on sustainable living, social justice, and community. Earthdance has been spearheading innovative arts programming and maintaining a beautiful facility for rental groups in the Pioneer Valley for nearly three decades.
The Associate Director of Finance is responsible for carrying out the vision and mission of Earthdance under the direction and oversight of the organization’s Executive Director. The Associate Director of Finance supports the organization in achieving its goals by developing and implementing strategic operational systems, organizational structures, and profitable mission-driven programs. In addition, this position is responsible for the development and oversight of organizational, departmental and program budgets, along with supporting the creation of strategic financial management and business plans with the Executive Director.
Specific duties and responsibilities include:
Financial Planning & Management
Ensures that the organization is equipped with a solid foundation of financial practices:
Develops, recommends and manages the Annual Organizational Budget with Executive Director, Board
Treasurer, and Finance Committee
Manages/maintains: o Financial operations, ensuring sound fiscal practices and proper cash flow management o Procedures for financial collection and Accounts receivable o
Oversees Budget allocations for facility code compliance projects and related business regulations o Oversees Budgets for each operational department, and monthly reporting/monitoring/training with key staff
Engages in and maintains all bookkeeping activities, following GAAP guidelines, and supervises volunteer support in this area
Provides financial reports for Executive Director, Finance Committee, and Board of Directors
Attends Board meetings as requested
Serves on Finance Committee, attends monthly meetings
Business Management
Ensures that the organization is equipped with a solid foundation of business practices:
Supports and serves the Executive Director in establishing financial goals, and developing operational policies, procedures, and manuals to fulfill the mission of Earthdance and ensure organizational resilience
Monitors/evaluates and reports on the financial success of Earthdance operations and programs
Advises on Earthdance program models, pricing/fee structures, and contract templates in relation to fiscal health
Develops and advises on remuneration policies that encourage staff retention and fosters a sustainable work environment
Ensures organizational/operational legal compliance and insurance coverage
Manages monthly payroll and communications with payroll company
Ensures employee contracts and volunteer agreements are compliant with state and federal laws.
Monitors the implementation of Earthdance’s Volunteer Program by the Operations Manager in regards to the financial and legal implications of housing and compensation
Staff Development and Supervision
Monitors, advises, and supports paid hiring procedures for paid staff to ensure effective recruiting
Develops and maintains Employee and Volunteer handbooks in collaboration with Operations Manager
Attends weekly All-Staff and Core Staff meetings
Facility/Group Rentals
Manages relationships and communications with Earthdance rental clientele
Evaluates program models and develops rate structures to ensure profitability
Books rental groups and manages rental calendar
Negotiates and finalizes rental contracts with Earthdance clientele
Communicates legal concerns and operational issues to Executive Director and Operations Manager
Required Skills/Competencies:
Bachelors Degree in relevant field plus 2 years of experience in financial management, or comparable experience
Demonstrated ability to complete financial analysis and projections for growth; ability to develop and manage a $500,000 budget
Understanding of HR policies and practices
Skills and background in contract negotiation
Bookkeeping experience, and previous work with Quickbooks and Microsoft Excel
Excellent ability to tend to heavily administrative functions, including email correspondence, composition of business/HR policies and contracts, and development of budgets and narratives.
Ability to work quickly and prioritize in order to accomplish a large volume of work in an otherwise relaxed work environment
Interest in arts and social justice

Earthdance encourages applicants to consider this position for at least a 3-year term. The position will commence upon hire. This is a 32 hour/week, associate staff position, under the direct leadership of the Executive Director.
Work occasionally requires availability on weekends and evenings. Compensation for this position is salaried at
$30,000/year, and has opportunity for slight growth. Benefits include four weeks paid time off, complimentary workshops and jams, meals while on-site at Earthdance, access to Earthdance studios, guest privileges, and professional and community development opportunities. Housing is not available for this position.
