2010 Summer Session Housing Agreement
By this agreement, the Rector and Visitors of the University of Virginia on behalf of University of Virginia Housing Division Conference Services,
and ______________________________________________________________________________, hereto known as the Student Resident, agree to the following:

Section One:
Description of Services
University of Virginia Housing Division Conference Services agrees, on the terms and conditions of this agreement, to provide the requested services detailed in the following Services
Contract to the Student Resident, beginning on ________________________________and ending on ________________________________.

Student Residents that utilize University housing between May 16 th and August 6th must be registered for a Summer Session course or another valid academic reason, such as a
University Department fellowship or graduate exam.
Please note that check-in for Summer Session I will begin at 4:00 PM on Sunday, May 16, 2010. The Residence Area may not be occupied prior to 4:00 PM on Sunday, May 16,
2010. Room keys must be returned and the room vacated before 11:00 AM on the above departure date (no later than Friday, August 6, 2010).
Section Two:
Limited License
This Agreement constitutes a limited license granted by University of Virginia Housing Division Conference Services, on behalf of the Rector and Visitors of the University of Virginia as
licenser, to the Student Resident, as licensee, for the use of University property as a personal residence for the dates specified. This license allows the Student Resident and their invited
visitors to use the space assigned subject to the Terms and Conditions of Housing Accommodations. Only Student Residents and their visitors may use common areas, including hallways,
lounges, etc., in accordance with University rules and regulations governing such spaces. The University maintains residential property to further its academic mission; any other uses must
be secondary to that purpose. University of Virginia Housing Division Conference Services reserves the right to restrict access to space as necessary.
Section Three:
General Provisions
University of Virginia Housing Division Conference Services reserves the right at any time to: (a) change any room assignment or rate; (b) enter rooms during reasonable hours for routine
maintenance, inspections, repairs, or housekeeping duties after notifying the Student Resident orally or in writing of the date of entry; (c) enter and control rooms in the event of an emergency; (d)
assign graduate and undergraduate Student Residents to the same room to achieve maximum occupancy; (e) reassign Student Residents as needed to meet Student Resident need within normal
assignment patterns. This agreement is subject to further regulations which are not in force or may be put in force pertaining to the area in which the Student Resident resides, as University of
Virginia Housing Division Conference Services finds necessary and as adopted by the University.
Section Four:
Releases, Assignment, Subletting, and Room Changes
This Services Contract is binding for the entire period for which the reservation is made. Marriage does not release the Student Resident from the financial obligation of this Agreement, nor
does incompatibility with a roommate or involvement in another lease. The Student Resident may not assign this agreement or sublet the premises or any part thereof. The facility is to be
used only as a residence. The Student Resident may not use the room for business or financial gain. Room changes are allowed only under extenuating circumstances; the Office of
Residence Life and Conference Services will review each case on an individual basis.
Section Five:
Safety, Liability and Insurance
The University will accept no liability for the safety and/or security of any Student Resident occupying the residence areas. Student Residents may contact the University Police Department
at (434) 924-7166 for information pertaining to recommended safe practices and security measures. Furthermore, the University does not insure the Student Resident’s or their Visitors’
possessions. The Student Resident should have personal property insurance to protect against personal loss or damages.
Section Six:
Prohibited Possessions and Activities
Possession of the following is prohibited in rooms, suites and apartments: pets (except fish), air conditioners (unless deemed a medical requirement and approved in writing and installed by
UVA Housing Division), certain refrigerators (reference Section Ten), exterior antennae, cooking and heating appliances (except popcorn poppers and hot pots), ceiling fans, space heaters,
firearms (including B.B. guns), bows, ammunition, firecrackers or similar explosives, open flames (including candles), extension cords, and any other item the University determines
dangerous or illegal. Multiple-outlet connections are permissible, but must have a built-in circuit breaker and carry the Underwriter's Laboratory (U.L.) approval.
All Federal, State and local laws, as well as policies and regulations of the University, have full force and effect within licensed property. This Agreement prohibits violations of those laws
and regulations. Housing areas are not private property. Many of the prohibitions are required by the Commonwealth Fire Regulations. The following activities are not permitted in
residence areas: water bombs or water fights; snowball throwing; removal of University furnishings from rooms, suites, apartments or lounges; removal of window screens; erecting exterior
clotheslines; posting leaflets, etc. on locations other than designated bulletin boards; athletic games or activities within the buildings; parking of bicycles in access and entrance ways (this
includes storage in stairwells, lounges, corridors, bathrooms, or any other areas in the residences except the Student Resident's bedroom); use of an exit way for any purpose that will
interfere with its service as an exit; altering or tampering with heating, electrical, fire safety or security systems including but not limited to, smoke detectors, fire alarms and door lock
systems; collecting or assembling flammable materials or materials that constitute a fire hazard (this includes the use of candles or other open flames); illegal parking of motor vehicles;
parking and driving on grass and sidewalks, and parking in service areas in and around residential areas. The use of rooms or common areas for parties is subject to facility use restrictions,
including health, fire and safety codes.
Section Seven:
Sales, Solicitation, and Peddling
Sales, solicitation, and peddling are forbidden in University residence areas. This includes deliveries of goods or services or running a business in the housing area. Student Residents may
arrange to meet a delivery person, but vendors are not allowed to enter the residence halls.
Section Eight:
Residence Area Information
LEWIS and HOXTON House: Two air-conditioned buildings. Double and single-occupancy rooms are available. Bedrooms have tile flooring, one or two single beds, and one wardrobe and desk
per bed. Bedrooms are arranged in clusters with shared bathrooms and kitchen space. A study lounge, vending machines, and laundry facilities are provided within the complex.
CAUTHEN House: Air-conditioned building. Bedrooms are carpeted and have two single beds, two wardrobes, and two desks. The building has one large communal bathroom per floor. The first
floor of Cauthen houses classroom space, including one large classroom which holds approximately 50 students and one small classroom which holds approximately 20 students. The second, third
and fourth floors house the bedrooms, as well as lounges on each floor. Laundry facilities are provided.
Section Nine:
Housekeeping and Maintenance
A mattress pad will be supplied. Housekeeping will clean the common halls, common living areas and common baths once per day, Monday through Friday. For all areas, personal
belongings must be removed from common living areas and common baths, in order for the housekeepers to clean; housekeeping will deny service to any resident who does not comply with
this request. Residents will be responsible for removal of all personal refuse. Refuse must be bagged and placed in the appropriate dumpsters. Disposing of personal refuse in trash cans in
common areas is not allowed. Residents may not ask the housekeepers to return at a later time. Doing so will amount to refusal of housekeeping services for that day. A fee of $50.00 per
hour (2 hour minimum) for Conference Services staff to facilitate trash removal will be charged for those residents who do not remove their trash from their living space and
dispose of it in the outside dumpster at the time of departure. Please note: University of Virginia Housing Division Conference Services does not provide housekeeping services on
Saturdays, Sundays or on July 4th. Student Residents should report all breakage, damage and need for repairs to University of Virginia Housing Division by submitting an online Maintenance
Request from the Housing Division website at http://www.virginia.edu/housing/. Student Residents should not make their own repairs. Fees will be assessed for damages or defacement
of property. Student Residents may be equally assessed for damages to common areas.
Section Ten:
Refrigerators, Furniture and Utilities
Residents may have one refrigerator (per student) or refrigerator-microwave unit (per bedroom), not to exceed 5 cubic feet total capacity (per bedroom). All University-owned furniture must
remain in its assigned space. University furniture must not be removed or stored. University of Virginia Housing Division Conference Services does not recommend the construction of bed
lofts. If built, lofts must be free standing. Full or partial room lofts are prohibited. The University assumes no responsibility for injuries related to construction or use of lofts; therefore,
Student Residents will need to complete and adhere to the loft construction application (available from University of Virginia Housing Division Conference Services). University of Virginia
Housing Division Conference Services will provide air conditioning, electricity, and water in all areas for which these utilities are available. The date for turning on the heat and air
conditioning is based on the University's overall heating plan and is not subject to an individual resident’s wishes.
Section Eleven
Keys
It is against Virginia law and University policy to have duplicate keys made. In the event that a resident misplaces their keys or locks the keys inside of the bedroom, the resident should first
contact his/her roommate or RA, and then if necessary contact the Conference Services office at (434) 924-4479. Please note that there will be a $50 lockout charge applied to the resident’s
account. All lost keys should be reported to University of Virginia Housing Division Conference Services. The Resident is responsible for paying for all lost keys and/or access cards. Each
Student Resident will be required to provide University of Virginia Housing Division Conference Services with a Visa , Master Card, American Express or Discover number at check-in; this
credit card number will be used as a key deposit. Cash and checks are not accepted. Key deposits and lost key charges will be based on the amounts given below. IF THE STUDENT
RESIDENT DOES NOT HAVE A CREDIT CARD, LOST KEY CHARGES WILL BE FORWARDED TO THE BURSAR AND THE STUDENT RESIDENT WILL BE UNABLE TO RECEIVE THEIR GRADES
UNTIL THE CHARGES ARE PAID. If the Student Resident loses their keys or neglects to turn them in at checkout, their credit card will be charged automatically. UNIVERSITY OF VIRGINIA
HOUSING DIVISION CONFERENCE SERVICES WILL NOT ACCEPT ANY KEYS MAILED BACK TO THE CONFERENCE OFFICE. ALL STUDENT RESIDENTS MUST RETURN THEIR KEYS AT THEIR
SCHEDULED CHECKOUT. When keys are lost, the associated locks are changed within 24 hours of the scheduled check out.
Section Twelve:
Parking
Conference Services does not coordinate the parking for Student Residents. If the Student Resident plans to drive to the University a permit can be obtained at the Department of Parking and
Transportation located on Millmont Street. Phone: (434) 924-7231.
Section Thirteen:
Dining
Please contact Dining Services directly at (434) 982-5110 for any information regarding dining.
Section Fourteen:
Reservations and Confirmations
Space is limited in some areas; housing will be assigned on a first come, first served basis. The Student Resident will pay a Late Reservation Fee of $50.00 if the reservation form is received
after the below deadline. University of Virginia Housing Division Conference Services cannot guarantee accommodations for reservations submitted after the deadline, but every effort will
be made to meet all requests. Each Student Resident will receive written confirmation of their room assignment prior to arrival.
SESSION I: The Reservation Form must be returned with this contract to Conference Services BY 5:00 PM ON MONDAY, MAY 3, 2010.
SESSIONS II AND III : The Reservation Form must be returned with this contract to Conference Services BY 5:00 PM ONE MONTH PRIOR TO YOUR ARRIVAL DATE.
Section Fifteen:
Roommates and Visitors
University of Virginia Housing Division Conference Services will make every effort, but cannot guarantee, to accommodate roommate requests as indicated on the reservation form.
Roommate requests must be mutual. Room assignments are made according to the information provided by each Student Resident. In shared accommodations, should the information
provided by a Student Resident be contradicted by behavior, the Student Resident filing inaccurate information may be relocated or removed from housing with no refund if relocation is not
an alternative.
Visitation must be negotiated with respect for rights and responsibilities of roommates and suite or apartment mates. Residents are responsible for the behavior of their visitors. Residents
must have their roommate's consent to invite visitors into the room. The presence of the visitor must not impose an unreasonable burden or unreasonable infringement on the privacy and
privileges of the roommate. Overnight visitors may not remain longer than three consecutive nights and must have the roommate’s/suite or apartment-mate’s consent.
Section Sixteen:
Rates and Payment
Nightly Rates: Lewis/Hoxton House or Cauthen House Double Occupancy: $21.00 per person, per night. Payment IN FULL must be included with the reservation form. Reservation requests will
not be processed without payment. Any outstanding balance must be paid prior to check-in.
Section Seventeen:
Cancellations, Refunds, and Changes in Length of Stay
Cancellation notifications must be in writing and received by University of Virginia Housing Division Conference Services AT LEAST ONE WEEK (7 DAYS) prior to the Resident’s scheduled Arrival
Date in order to receive a refund less a $50.00 cancellation fee. Student residents will be charged a $50.00 cancellation fee plus one-week’s (7-days) stay in housing for cancellation requests received
less than one week (7 days) before the scheduled arrival date. This includes requests made after check-in. Refunds may take 6-8 weeks to process if the Resident paid by check; credit card refunds
will be credited within 72-hours. THE RESIDENT MUST COMPLETE A “CANCELLATION OF HOUSING” FORM IN ORDER FOR THE CANCELLATION REQUEST TO BE PROCESSED. University of Virginia
Conference Services must also receive changes in a resident’s length of stay IN WRITING. Please be advised that we will make every effort to accommodate those that may need to increase their stay
within the available dates, but these extensions are not guaranteed.
Section Eighteen:
The Conference Center and Check In/Out
The University of Virginia Housing Division Conference Services Office operates a full-service Conference Center during the summer to meet the needs of our residents as efficiently as possible.
Services available at the Conference Center include check-in and checkout; fax service, tourist and visitor information.
In order to ensure thorough facility preparation, no resident may check-in before 2:00 PM on the scheduled Arrival Date. Early check-ins are not permitted. All residents must checkout by 11:00 a.m.
on the scheduled Departure Date. IF THE STUDENT RESIDENT DOES NOT VACATE THEIR ROOM BY 11:00 A.M. ON THE SCHEDULED DEPARTURE DATE, THE STUDENT RESIDENT WILL BE
CHARGED A LATE STAY FEE OF $100.00 PER DAY.
Section Nineteen:
Termination of the Agreement by University of Virginia Housing Division Conference Services
University of Virginia Housing Division Conference Services may terminate this agreement, without penalty and at any time, for breach by the Resident of any of the terms of this agreement.
In such event, University of Virginia Housing Division Conference Services may at its election retain, as liquidated materials to cover University of Virginia Housing Division Conference
Services’ expenses, all amounts paid by the Resident, and may pursue all other remedies available at law and equity. University of Virginia Housing Division Conference Services may also
terminate this agreement, without penalty, if it should become impractical to perform this agreement due to causes beyond University of Virginia Housing Division Conference Services’
control, including without limitations storm, fire, flood, earthquake, damage, or destruction of facilities, labor disturbances, war, civil commotion, shortage or unavailability of labor or
governmental law, ordinance, order, or act. In any such event the Resident will receive a full refund of all moneys paid.
Section Twenty:
Entire Agreement
This agreement and the following Reservation Form contain the entire contract between the parties. This agreement is governed by Virginia law. Any alterations and/or forgery to this
agreement will void the agreement and release University of Virginia Housing Division Conference Services from any further obligation to the Student Resident. In this event, University of
Virginia Housing Division Conference Services will retain all moneys paid by the Student Resident and will seek reparation for any amount still outstanding as per the original terms of this
agreement.

CANCELLATION POLICY: If Conference Services receives written notice of cancellation at least seven days prior to your scheduled arrival date,
you will receive a refund less a $50.00 cancellation fee. Student residents will be charged $50.00 plus one-week’s (7-days) stay in housing for
cancellation requests received less than one week (7 days) before the scheduled arrival date. This includes requests made after check-in.

Arrival and Departure Information






There is a three-week (21 days) minimum stay required for all reservations.
The earliest possible arrival date is Sunday, May 16th. The latest possible departure date is Friday, August 6th.
You must show proof of academic pursuits for the duration of your stay in order for your request to be honored.
For session I, you must depart within 24 hours of your last exam. For session II, you must depart by 11:00am on July 10 th. The latest
possible departure time for session III is 11:00 am on Friday, August 6th.
Check-in is between 4:00 PM and 6:00 PM for Session I; otherwise between 2:00 PM and 6:00 PM on your scheduled arrival date.
You MUST return your keys & vacate your room before 11:00 AM on the scheduled departure date to avoid additional charges.

Charges are based on the number of NIGHTS, charged at $21.00 per night. A late fee of $50.00 must be applied to all reservations received by

FINANCIAL AID PROMISSORY NOTE FOR SUMMER SESSION RENT

I am unable to make payment for my Summer Session Rent to the Housing Division at this time. I agree to make payment in the
amount of ____________________ on or before __________________. I understand that funds will be automatically transferred
from my bursar account to the Housing Division account. I further understand that by signing this agreement I am responsible for
the amount above regardless of the amount of my financial award. If my Financial Aid payment is delayed, I must advise Housing
ON or BEFORE the due date above. I also understand that if I do not make payment or contact Housing on or before the due date,
the entire amount will be forwarded IMMEDIATELY to the Student Financial Services Office for collection. The Student
Financial Services Office will add a $20.00 collection fee, and put a hold on my grades and transcript until the balance has been
paid. Please refer to the reservation agreement for cancellation policies.
Financial Aid: Financial Aid will cover the dates prior to registration, the dates between sessions, and the dates after an
academic session. Financial aid will not cover lockout fees, late registration fees, or lost key/access card charges. The
student prior to checkout must pay these charges. Students must enroll for a minimum of six total credit hours for the
summer term in order to be eligible for financial aid.
Athletic Grant-in-Aid: Athletic Grant-in-Aid will cover sessions in which the student resident is enrolled, between May
17, 2010 and August 6, 2010. Athletic Grant-in-Aid will not cover dates prior to registration, dates after an academic
session, lockout fees, late registration fees, or lost key/access card charges. The student must pay any outstanding balance
regarding these items prior to check-in or prior to check-out, depending on the date that the charge was incurred.

IMPORTANT ADDITIONAL INFORMATION FOR SUMMER SESSION RESIDENTS
Accommodations


Summer Session Residents will be housed in Lewis and Hoxton Houses in the International Residential College, or in Cauthen
House in the Alderman Road Residence Area. These rooms are air-conditioned.
You will have a roommate. All roommate requests must be mutual and noted on each party’s reservation to be honored. We
cannot guarantee that all roommate requests will be accommodated.
Keys





Keys will be given to Residents upon their arrival at the Conference Services office in Kent House. No one will be allowed to
check-in prior to 2:00 PM on the scheduled day of arrival (4:00 p.m. for Session I). Directions to Kent can be found at
http://www.uvaconferenceservices.com.
Be prepared to provide a valid Visa, MasterCard, American Express or Discover card number for a key deposit at
check-in. This card will not be charged unless your keys are lost or are not returned at check out.
Bent or broken keys will be replaced for a small fee. You must bring all pieces of the key to our office.
For security reasons, Conference Services CANNOT accept any keys mailed to the Conference Services office after checkout.
A $50.00 lock-out fee will be assessed in the event that you are locked out of your room and a Conference Services staff
member must provide your re-entry. Re-entry provided by a Resident Advisor or roommate will not result in a charge; thus, we
recommend that you pursue these avenues first if you become locked out.
Parking

Conference Services does not handle Summer Session parking. Student Residents should report to the Department of Parking
and Transportation located on Millmont Street to purchase a pass. P&T is open Monday – Friday from 7:30am to 5:00pm and
may be reached at (434) 924-7231.
Dining

If you are interested in purchasing a Meal Plan or have any questions regarding dining, contact Dining Services directly at
(434) 982-5110. Conference Services does not coordinate dining for Summer Session.
Housekeeping

Summer Session Residents receive Economy Housekeeping Service. Housekeeping staff will clean Monday through Friday to
remove common area trash, to replenish toilet paper in the restroom and to sanitize both. Residents have to provide their own
linen (size twin extra long). It is the responsibility of the resident to remove personal trash from their rooms to the nearest dumpster
and to remove all personal items from the common areas prior to their departure. Please do not place personal refuse in the trash
cans in the common areas.
Mail Information

Conference Services does not handle Summer Session mail. Mail to residents staying in Lewis and Hoxton will be delivered to
Mail Station #1 on the ground floor of Emmet House in the McCormick Road Residence Area, and mail to residents in
Cauthen will be delivered to Mail Station #2 on the ground floor of Tuttle House in the Alderman Road Residence Area. Be
sure to bring your photo ID when you pick up your mail.
Housing Confirmations


Please be advised that confirmations may be sent by either postal or electronic mail.
Confirmations will only be sent to those residents who have paid in full and have submitted their reservations in a timely manner.
Refunds and Cancellations

Conference Services must receive WRITTEN notice of cancellation AT LEAST one week (seven days) prior to the scheduled
arrival date in order for you to receive a refund, less a $50.00 cancellation fee. You must complete a Cancellation of Housing form
(available on our website) for your cancellation or change request to be considered. If a notice of cancellation is received less than
one week (seven days) before the scheduled arrival date, you will be charged the $50.00 cancellation fee plus one week’s (7 days)
stay in housing.
