An exciting Permanent Full-Time opportunity as a Medical Secretary exists in
the Department of Medicine, Headache Clinic.
Summary of Duties:
The Medical Secretary in the Department of Medicine will be working with one physician
and one Advanced Practice Nurse. The duties of the Medical Secretary include, but will
not be limited to:

Patient management, including managing patient records & maintain
confidentiality of patient information including preparation of patient charts
and filing reports and charts; faxing referring physicians with appointment
details and faxing of consult notes; telephone contact to patients to advise
of appointments; manage phone calls, including ensuring messages are
referred to the appropriate person and returning phone messages;
booking of patient appointments & tests, and admitting/registering
patients into the program database; facilitate referrals to other health care
professionals; meet & greet patients & maintain the smooth running of the
clinic

Physician issues (office management, co-ordinating and prioritizing all
clinical and non-clinical appointments and requests, clinical billings and
reconciliation, transcription of clinical and all other correspondence,
organizing calendar, maintenance of CV using Web CV, meeting
planning/organizing, assisting with research grant applications).

Administrative functions (quality control of patient/office files, Assist with
Word processing of documents, maintaining office supplies, co-ordinating
teaching assignments (house staff/clerks) with Education Office, picking
up and sorting mail and test results, management of consultation letters).
As a role model and champion, you will work to identify and integrate safe, best
practices into daily activities to foster the delivery of safe and exemplary care.

Qualifications/Skills:







Must have community college diploma as a medical secretary and/or equivalent
related work experience.
Work experience/administrative skills in a hospital environment preferred.
Must have excellent interpersonal and communication skills and ability to work as
a team member
Must have excellent computer skills including the ability to work with MS Word
and OHIP billing.
Excellent prioritization and time-management.
Proven Attendance record
This position plays a critical role in acting as an advocate for safety and will
demonstrate principles, practices and processes that will optimize a safe
environment for all.
