Job Description Job Title: Commercial & Residential Estates Executive (part time) Hours: 20 Hours per week (i.e. 4 hours per day, Monday to Friday) Responsible to: Estates Manager & Filming Liaison Officer Major Purpose: To assist in the efficient management and administration of all aspects of the Estate’s residential, commercially tenanted and vacant property portfolio to help ensure accurate, timely and efficient communications with the residential and tenant community. Experience: To assist in the managing and marketing of commercial leasehold property, including viewings, inspections, Heads of Terms and final lease development, in liaison with the Estates Manager & Filming Liaison Officer and the Chief Financial Officer. To assist in communications with the Estate’s residential community, both directly and through the Residents’ Association Committee. Dealing with under-lease, service and maintenance funds, and individual resident’s enquiries. Attending the bi-monthly Residents Association meetings and other meetings as required. To assist with all landlord and tenant issues both for new commercial tenants and in relation to the management of the existing portfolio, including the regular review of all lease conditions. Ensuring that all lease conditions are met by both landlord and tenant, and that lease renewals, rent reviews etc are effectively managed. To maintain and improve the tenant and residential files and maintain and update the tenants and residents contact register. To assist the Estates Manager & Filming Liaison Officer in working with the Historic Environment & Buildings Project Manager in the matter of estate maintenance issues relating to residential and commercial properties. To assist the Estates Manager & Filming Liaison Officer in dealing with external agencies in relation to estate management issues, working closely with other departments as appropriate. To assist the Estates Manager & Filming Liaison Officer in the marketing and management of The Historic Dockyard in respect of a filming location including carrying out viewings, liaison with film crews, overseeing crews working on site and close liaison with other departments and users/occupiers within The Historic Dockyard. To perform such other duties as may reasonably be required. A demonstrable track record of dealing with commercially rented property and/or residential properties within a commercially astute environment having regard to best value. Experience of residential block management and service charge issues would be a distinct advantage but not essential. Due to the nature of the job some occasional evening working will be required in respect of attending meetings for which time off in lieu will be given.
