CMS PeopleSoft Human Resources – Enter Absence Time

Steps to Enter Absence Time

Use your web browser to sign into PeopleSoft Human Resources and enter your time.

PeopleSoft is accessed through the campus portal at the following address: https://my.csusm.edu

. Sign in to the campus portal and Select HR Administration >

PeopleSoft HR Access.

If you do not have a Campus login please send an email to helpdesk@csusm.edu

or contact your Department Timekeeper for assistance. If the access is needed immediately please call the helpdesk and emphasize that the request is urgent.

Entering Time

Once logged into PeopleSoft, follow this navigation

Self Service > Time Reporting >

Report Time > Timesheet

If you have only one active job, you will immediately be taken to the time entry page and will not need to make a selection. If you have multiple active jobs, you will be presented a list to choose from. Select the job for which you wish to enter time by clicking on the row containing that jobs information. If you have any questions as to which job you should report time to, contact your Department Timekeeper for assistance.

You must now enter the absence hours per day and select the appropriate Time Reporting

Code (TRC). Time entered on a row of the timesheet is for a single Time Reporting Code so it may be necessary to add rows. Carefully select the Time Reporting code to report hours to as there are numerous to select from. Chart #1 at the end of this process guide provides direction on the selection and intended use of the available Time Reporting Codes.

Timecard can show day, week or full calendar month.

Note: Save for later is no longer an option

Start date can be changed and the grid refreshed.

Navigate week to week with these controls.

Use the buttons to add or delete rows from grid.

Grid shows the status of your time entered thus far.

Any hours after midnight should be entered on the following day.

Enter time in 15 minute increments, use .25, .5 or .75. If your time falls within a 15 minute increment, round the time up to the next quarter.

When time entry is complete submit the time.

 Click the button when you are finished with time entry for the period and are ready to submit the time to your supervisor. NOTE: Time must be submitted by 11:59 pm on the last day of pay period. If you fail to submit your time by the last

day of the pay period, payment may be delayed.

You will see a save confirmation page as shown below after submitting or saving.

Click to continue. This will take you back to the time entry page.

DEADLINES: You MUST enter AND submit all time for a month by the last day of the month. As of the 1st of each calendar month you will be locked out of the prior month and will be unable to make any changes online. Should you need to make any adjustments to a prior months time, you will need to submit an Adjustment Timesheet. Follow the Generating

process guide to generate an adjustment timesheet to use in submitting adjustments to Payroll. Consult your Department Timekeeper for your own

Department deadlines.

Any adjustments necessary to a prior months time will be considered an Adjustment and an adjustment timesheet will be necessary. This includes a situation where no time was entered or submitted for a month.

You need to click at the top right of the page to exit PeopleSoft before closing the browser window. If you fail to do so, others can access your records from the same computer.

INTENDED USE

Reports the usage of Compensatory Time previously banked.

Reports the usage of Funeral Leave.

Reports the usage of Holiday time.

Reports the usage of a holiday credit previously banked.

Reports jury duty or other court related absences.

Reports time away from work for military purposes.

Reports time taken for Maternity or Paternity leave.

Reports the usage of Personal Holiday

Reports the usage of sick time for personal illness.

Reports the usage of sick time for family illness/care.

Time away from work on legitimate union business that is reimbursable.

Reports the usage of vacation time.
