Georgia Tech Alumni Association
Alcohol Policy
Updated October 2014
PHILOSOPHY:
The Georgia Tech Alumni Association recognizes that alcoholic beverages may be served at alumni programs and events from time to
time. This policy was established to provide a framework for the sale and/or serving of alcohol at alumni events and to maintain
insurance protection covered for all alumni events.
ALUMNI EVENTS HELD ON CAMPUS:
Alumni events held on Institute property must follow the established Georgia Tech Campus Alcohol Policy on use of alcohol. The
complete policy is found on the Institutes website at http://www.policylibrary.gatech.edu/alcohol-and-drug-policy.
ALUMNI EVENTS HELD AT LOCATIONS OTHER THAN GEORGIA TECH PROPERTY:
Alcohol can be served at events that are hosted, sponsored, and/or supported by the Georgia Tech Alumni Association provided the
alcohol is served and/or sold by a caterer/restaurant (third party vendor) that is authorized, licensed and bonded to serve alcohol. Under
no circumstances will “bring your own beer/alcohol” (BYOB) events be allowed.
Staff and volunteers must understand that the best protection against legal liabilities is to use care and discretion in planning events. The
following considerations should be used when planning events:

Social activities at which the consumption of alcohol might be viewed as the primary activity should be avoided.

A facility must be able to provide proof of appropriate insurance, and must list the Georgia Tech Alumni Association as an
additional insured on that insurance.

If an instance should arise where a guest has consumed too much alcohol, staff and/or volunteers should notify the
manager of the facility and ask him/her to handle the situation.
Alcoholic beverages may only be served:

In a manner that is consistent with all local, state and federal laws and regulations.

By a hired, qualified third party alcohol server.

As part of an event that includes food service and non-alcoholic beverage service.
Alcoholic beverages may not be served:

In a manner that promotes the service of the alcoholic beverages as “free” or “without cost”.

“Self-service” style or by any other uncontrolled means

At programs designed to attract current or prospective students who may be under 21 years old

By any volunteer or staff person representing the Association.
EVENT HOST LIABILITIES AND INSURANCE
The Georgia Tech Alumni Association maintains a comprehensive commercial package/general liability insurance program. This
coverage extends to local networks and local network leaders when certain conditions are met by the local networks.
The Association policy provides liability coverage for local network leaders who are in the performance of their duties on behalf of the
Association, provided the network leaders are acting in accordance with stated Association policies. This coverage also applies to a
spouse of network leaders while assisting at a network event.
It is important to note that network leaders’ actions and activities must be in compliance with Association policies. In particular, network
events must comply with the Georgia Tech Alumni Association Alcohol Policy. The Association liability insurance policy will not
provide coverage to network leaders or for events at which alcoholic beverages are served in a manner that conflicts with this policy.
The Association’s policy does not replace the need for any individual network leaders’ personal liability insurance. Network leaders are
encouraged to consult with their personal insurance provider.
