Job Context:
The Royal College of Physicians plays a pivotal role in setting the
standard of medical practice and, through a variety of activities,
influences the quality of medical practice. It conducts
examinations, carries out training, education and research
activities and advises the Government and the profession on
health and medical matters.
The Care Quality Improvement Department aims to support
physicians, their teams and the NHS to deliver high quality clinical
care. It delivers an ambitious work programme via its constituent
units and their work programmes:





National Clinical Guidelines Centre (NCGC): evidencebased guideline development.
The Clinical Effectiveness and Evaluation unit (CEEu):
national comparative audits and quality improvement
programmes.
The Future Hospital Programme (FHP) working to deliver
the model for the hospital of the future.
The Health Informatics Unit (HIU): developing standards
for record keeping and new technologies, exploring the
use of routinely collected data.
The Accreditation Unit, running schemes to assess the
quality of clinical services.
The HIU works in four main areas:

Leading the development and implementation of
professional standards for record keeping practice and
structured clinical documentation

medical informatics technologies.

Leading work to establish health informatics as a subspecialty and the inclusion of good record keeping and
informatics skills in the general medical curriculum and
continuing professional development.

Exploring the use of routinely collected data to support
clinicians.
This role will sit within the Care Quality Improvement
Department, based in London at the Royal College of Physicians.
Purpose and Scope:
A Programme Coordinator is required to be responsible for the
coordination of the work programme of the HIU. This will include
providing support to the broad range of projects contained
within the HIU work programme.
The role is outward facing and will require contact with both
internal and external stakeholders – at a trust, national and
international level – and the maintenance of effective
stakeholder relationships to ensure the programme’s positioning
for success.
The post holder will be supported by the HIU team and be
required to deliver results within a specified area, subject to
occasional checks and supervision. This may involve dealing with
complex information accurately and methodically and support of
HIU budget management. The work will involve:





Research, including literature reviews
Data analysis and reporting
Meeting, event and workshop organisation and coordination
High level of administrative skills (including document
management, minute taking, document drafting, and proof
reading)
Communicating clearly both orally and in writing to a wide
audience, including clinicians and senior managers.

Works closely with:
All members of the Health Informatics Unit consisting of the
programme manager, project manager, and the clinical leads
Colleagues within the Care Quality Improvement Department and
RCP
Healthcare professionals and patients

Major
Responsibilities:
Key responsibilities (not in priority order) are:
1. Project coordination of activities within the contract
deliverables and under the direction of project manager(s)
and programme manager, which will include:

Literature review and research of topics and policy as
required

Liaising with the programme and project manager to
identify any deviations from the project plan/ budget and
associated risks

Being the first point of contact for project related email
and telephone enquiries and escalating appropriately

Ensuring that the administrative side of the projects’
governance structure (such as regular steering group and
other meetings) is in place and maintained, as well as any
project-specific systems

Developing systems (in collaboration with the project and
programme manager) to store information and facilitate
unit communication with key project stakeholders,
including development and maintenance of project and
programme databases. Ensuring accuracy of information
entered into and extracted from these systems.
2. Unit Co-ordination for the HIU team, which will include:

Supporting the organisation and delivery of meetings,
national conferences and workshops (including room
bookings, associated catering and facility coordination
and correspondence with stakeholders to arrange
travel and accommodation)

Processing invoices in line with the RCP finance policy

Carrying out general administrative duties, including
drafting correspondence; PowerPoint presentations,
and diary and inbox management

Setting up and working within appropriate
administrative systems

Co-ordinating day-to-day operational activities for the
HIU
3. Communication and engagement activities of the HIU in
conjunction with CQID and RCP Communications, including:

Implementing and monitoring project communication,
under the direction of project and programme managers.

Drafting newsletters, summaries, social media etc. as

appropriate to inform stakeholders

Contributing to, producing and disseminating other
project related documentation

Contributing to other communications activities such as
proof reading and collating information

Updating project and programme web pages

Recording and monitoring communication
4. General responsibilities

Contribute to the work of the Care Quality Improvement
Department and wider RCP activities

Adhere and comply with the provisions of the RCP’s
health and safety policy

Adhere and comply with the provisions of the RCP’s
information governance policy

Undertake all duties in compliance with the rules and
regulations encompassing equal opportunities.

Ensure that documentation is branded consistently and in
line with RCP and scheme requirements. Ensuring a high
quality of presentation for all documents.

Carry out any other duties as may be reasonably expected
and which are commensurate with the level of the post
