BOARD MEETING MINUTES

MEMBERS PRESENT: Sue Coffman, Nancy Manix, Christine McFarland, Rosemary Rausch, Becky Ward
OLD BUSINESS:
 Minutes from previous meeting – There were none taken, but discussions for the
coming year were made at the Christmas meeting in December; Becky will be
reimbursed for the cost of the luncheon once she submits the receipt to Rosemary
 Spring Conference Update – Saturday, April 24, 2010
 Speaker Contract – samples were created by Nancy for approval; she will submit a
finished one to Patricia Predmore
 Marketing Plan & Schedule
o Brochures – Nancy showed a mockup that was approved (color choice of Pink
Berry against the light blue background); they will be ready for mailing by the
end of this month
o Constant Contact – Becky will create reminder emails on a “pregnancy schedule”
of once a month until March, then every two weeks until early April, then once a
week until the conference
o DASC/DONA – Sue will contact them for advertising Pat’s seminar
 CEU Applications – Nancy will e-mail Pat’s handouts & the brochure to Autumn after
she receives them
 Food & Beverage Plan – to be discussed next meeting, after Rosemary gets menu
 Conference Time Schedule & Topic Selections
o Nancy will copy last Spring’s timeframe based on the time needed for each topic
o We agreed on the following topics (paraphrasing):
 Courageous Childbirth (“I can do this”)
 Revitalizing your Classes
 So What About the Breathing?
 What We Teach
 Registration & Payments – Our prices for this conference will not go up from last
year; Christine will be our Registrar
 Fundraiser Beneficiary – CABO was chosen as this year’s recipient
 Membership Drawing – a discussion was made as to what kind of electronic item
could be raffled this year; Christine mentioned that she has a digital photo frame still
in the box that she would like to donate; we can use it during the conference to
showcase the vendor ads and then give it away at the drawing; we will also give
away a flash drive to go with it (Sue to purchase)
 Vendor Registration – Nancy will send e-mail invitation to all previous vendors; she
has been asked by a Pilates instructor to have a table; if anyone has any other
vendor suggestions please let her know; she will contact the Massage Lady again
 Audio/Visual Provider – Jan te Pas will be used again (Becky will contact him & give
him Nancy’s number); it was suggested he get with Pat early (Friday evening) to
check his system with her
 Membership Dues Renewal - due to the new timeframe for membership, the due
date has been extended: deadline of Jan 31, with a late fee after Feb 10
 Payment Method – Becky will research which is better deal: Acteva or PayPal (Acteva
seems more streamlined); Becky is reworking the CC email announcement (one for
members only; a separate one enticing others to join)
 Website Update – Nancy will add “Save the Date (details to follow)” for Spring
conference
NEW BUSINESS:
 Treasurer Report – Rosemary reported we have $10,251.86 as of today; this may not
include all PayPal monies, so Nancy will check to see if there are any other deposits; for
the Fall conference: expenses=$2760.96, income=$2687.50, overspent by $73.46
(approx. 45 attendees; speaker=$1000, food=$881, other=$809)
 Corresponding Secretary Report – Robin was absent
 Membership Update – Christine’s computer was down
 Website – there was discussion about our Webmaster needs; Sue suggested her son
might be interested in learning how to update the site (Nancy will teach him)
 Changes or Updates Needed?
 CEAOC Marketing Update
 Marketing Opportunities at other conferences – one of the CC’s coming up can focus
on this as a Teaser for members to attend other seminars
 Education Coordinators/area hospitals – Sue has created a spreadsheet; Board
members will call different hospitals and let her know the name/phone/email of said
coordinators so we can invite them to all conferences
