PARTICIPATION TERMS
DEFINITIONS
In these Participation terms: a) The term "Exhibitor"
relates to any person, company, firm or organisation
and their employees and contractors who have been
allocated stand areas at the exhibition by the
Administrator. b) The term "Exhibition" refers to the
9th European Electric Steelmaking event. c) The
term "Administrator" refers to SITPH – the Polish
Association
of
Metallurgical
Engineers
and
Technicians d) The term "Exhibition Area" refers to
the Jagiellonian University lecture theatre complex –
Audytorium Maximum, Krakow, Poland.
STAND AREA APPLICATIONS
Applications for stand areas must be made on the
prescribed Stand Application Form. There are a
limited number of spaces and applications will be
processed in strict order of receipt. The submission
of an application on the form provided, together
with area allocation by the Administrator and
acceptance by the Exhibitor of the stand area will
constitute a contract in acceptance of and in
accordance with the Participation Terms. The
Administrator reserves the right to refuse any
application.
STAND AREA CHARGES
The Exhibitor will pay the total cost of the stand(s)
area allocated, plus VAT within 30 days of the date
of the confirmation issued by the Administrator on
receipt of the Stand Application Form. VAT is
payable by all Exhibitors, including those originating
outside Poland. The Administrator reserve the right
to refuse to permit the Exhibitor to occupy or use
the stand area until all outstanding sums payable to
the Administrator have been settled.
CANCELLATION OF STAND AREA
If, after allocation of stand area to any Exhibitor,
the Exhibitor will need to cancel or reduce the stand
area allocated, the Administrator will attempt to relet the stand area. If, however, they are unable to
do so, the Exhibitor will be liable to pay the full
charge for the stand area allocated. In the event of
a cancellation, a charge of 20% of the total charge
will be made.
ALTERATION OF STAND AREAS
The Administrator will attempt to maintain the
original published layout of the Exhibition, but shall
be entitled to vary the layout if, in their opinion, this
is in the general interest of the Exhibition.
STAND CONSTRUCTION
i) Exhibitors are not permitted to install displays or
exhibits which, in the opinion of the Administrator,
obstruct light or views in open spaces or walkways.
ii) Walkways must be kept clear and free for access
and must be kept clean and unobstructed.
iii) Displays, stand fixtures and exhibits must not
exceed the wall height of the shell scheme.
iv) Exhibits must not exceed a floor loading of five
kilonewtons per square metre. Spreader plates must
be used with heavy machinery.
v) All structures and materials, including signs, must

conform to the requirements of the Administrator.
vi) Changes to the fittings of the shell scheme
must only be undertaken by the contractors
appointed by the Administrator.
vii) All electrical installations and connections
must be undertaken by the contractors appointed
by the Administrator.
viii) Storage for packing materials and equipment
is not provided within the Exhibition Area.
Exhibitors ensure that these are removed before
the opening of the exhibition.
ix) All Exhibitors must submit plans of stands to
the Administrator at least eight weeks prior to the
start of the Exhibition.
It is recommended that Exhibitors use the official
Shell Scheme stand contractor for interior stand
fitting, carpets and custom-built stands. Only
officially appointed contractors may be used for
electrical, water and compressed air installations.
For other services Exhibitors may choose their
own contractors, but must forward their names
and addresses to the Administrator for approval
before the opening of the Exhibition.
ELECTRICAL CONNECTIONS
Lighting and power services will be provided to
the Exhibitor by the official electrical contractor.
Exhibitors may provide their own electrical fittings
if the fittings are made-up units, showcases,
signs, etc, complete and ready for connection to
the mains supply. All electrical installations must
comply with the relevant regulations and may be
subject to inspection and testing.
ELECTRICAL, WATER AND COMPRESSED
AIR INSTALLATIONS
Under no circumstances may Exhibitors, their
agents or contractors interfere with any electrical,
water or compressed air installation except to
connect authorised apparatus at specified points.
Any Exhibitor who contravenes this rule is liable
to total disconnection of supply. Modifications to
any of these services may only be undertaken by
the official contractor authorised by the
Administrator.
DANGEROUS MATERIALS
No exhibits or displays which use materials of a
dangerous, explosive or noxious nature can be
taken into the Exhibition Area without the prior
written consent of the Administrator.
DAMAGE TO EXHIBITION AREA, FIXTURES
AND FITTINGS, AND SHELL SCHEME
Exhibitors are only permitted to fix display
material to the shell scheme using methods
agreed by the Administrator. Painting is not
permitted in the exhibition area and no nails,
screws or other fixtures may be driven into any
part of the building; nor may any part of the
building be damaged. To avoid payment for
damages, it is recommended that special adhesive
tape, available in the Exhibition Hall, is used to fix
carpets to the floor.
SECURITY
The Administrator will provide 24 hour security, but
cannot accept responsibility for damage to or loss of
Exhibitors’ exhibits, fixtures, stands or personal
belongings – see ‘liabilities’ below.
LIABILITIY
The Exhibitor agrees that the Administrator, its
agents and employees will:
i) not be responsible for damage to or for the loss or
destruction of any Exhibitor's property or for injuries
to the Exhibitor, his representatives, or employees.
Claims for such loss, damage, destruction or injury
are expressly waived by the Exhibitor.
ii) be exempt from any claims for injury to any of
the
Exhibitor's
representatives,
agents
or
employees.
Exhibitors are required to carry "all risks" and public
liability insurance cover in respect of any loss or
damage to their exhibits and in respect of any
injury, accident or damage caused by their exhibits
in the Exhibition Area for the period of the
Exhibition, including construction and dismantling
periods. The Exhibitor will provide the Administrator
with satisfactory evidence that such insurance is in
force.
FORCE MAJEURE/UNFORSEEABLE
CIRCUMSTANCES
In the event of all or part of the Exhibition being
postponed, cancelled or terminated or in the event
of failure or restriction of any services or facilities
offered to Exhibitors beyond the control of the
Administrator, the Administrator shall be under no
liability at all in respect of any expenses, damage or
loss incurred by Exhibitors. This includes any loss,
damage or expense which Exhibitors may incur as a
result of any competent authority intervening and
preventing or restricting the use of the exhibition
area or of any delay in the opening of the Exhibition
or any interruption thereof.
AMENDMENT OF PARTICIPATION TERMS
The Administrator reserves the right to amend any
of the Terms and Conditions from time to time to
improve the standard of the Exhibition. Any question
which may arise, whether provided for in these
terms and conditions or not, shall be decided by the
Administrator whose decision shall be final.
