Friday Night Live Volunteer Positions During Kids Klub: Assignment Cards Floor Director: o Talk to visiting parents o Make changes to white board as needed o Once all the busses come in collect the bus #’s count from the front door security. o Ensure volunteers are in their correct positions o Keep in communication with command centre o Make sure treat bags get on all buses and to command centre o Cue bus drivers (at 1:40pm) to bring busses around. Ensure they’re ready by 1:45 o Shift monitors when drivers move o When buses are ready, give Jr. team a “thumbs up” o Give stage team “thumbs up” when all Jr.’s are on the buses Assign volunteers to outside security at the front and end of the bus line to ensure all kids get safely onto the buses. o At the end of the program as busses are loading, make sure all their bus counts match yours. Give them the ‘ok’ to go to the youth building ONLY when all busses have the correct amount of passengers. Command Centre o Place info desk w/ 2 stools behind each in front of stairs (going up) o Set-up: paper towel, Kleenex, first aid kit, garbage can, water & Styrofoam cups from kitchen o Call any missing volunteers – be on call w/phone o Prep “bus candy bags” for each bus for the return trip. Ensure a latex glove is placed in each bag. o Do not leave desk o Keep track of walk-ins (Supervise the team who is signing walkins in. Make sure it is done correctly) o Hand out water as the need arises o Record any bus changes (additions/removals). Attach to bus clipboards o Inform the Floor Director of any bus changes so that their numbers are correct. o Fill out any incident reports upon request o If parents come to pick up their children at the end of the program have then fill out the ‘Kids Klub pick up Waiver.’ If their child is at Jr. Kids Klub rip the bottom off of the completed Waiver form for them to pick up their child downsairs. (No child will leave o Jr. Kids Klub with an adult without the waiver.) Please confirm with floor director if this person is clear to pick up the child. Fill out Incident Report List at end of day (located in the command center binder under ‘Incident Report Lists’.) Hall Helper o Walk young walk-ins downstairs to the basement o Help control hallway traffic (no one should be in the hallway unless they have been sent out by a monitor.) o Disciplining a child should be done 1 person/ child as not to intimidate the child. Stay in view of command centre (Make sure there’s a witness.) o Walk-in children causing trouble are asked to leave immediately o Help command center with their duties upon request Front Door Security o Do not leave your post! o Keep an eye on bus arrival. Keep Command Center inside aware. o Get bus attendance #’s when busses come in. Record on weekly numbers sheet. o Guard stairs by the door. No kids are to go downstairs unless accompanied by a Kids Klub leader or have a “J” on their hand. o Welcome kids, build excitement o Get the treat bags when lesson starts (1:30) o No strangers are to come in the front door, and no kids are to go out the front door (without CLEAR direction from command center.) o Bring in both signs from outside when lesson starts (1:30) Sanctuary Door o Check kids’ hands as they come in (no marks means they need to be signed in) o “J” in front of a number means junior. They should be sent downstairs. o “__” under a number means youth. They should be a the youth building. o Make sure walk-ins get signed in o Watch command centre for direction to let kids in from hall o No kids are to be sent out without direction to hall helper o No kids may come in sanctuary from hall without direction from the hall helper/command center o Lock door only in extremes and always keep watch on hall and sanctuary o Make sure the kids lining up for the bathroom (on the back right sanctuary bench) are sitting quietly and waiting their turn for the bathroom properly. Rovers o Keep an eye on the monitors o Take unruly kids out to the hall (with aid) o Assist monitors with any issues o Train (on the job training) monitors to keep order in sanctuary o Communicate with Command Centre why a child was disruptive Monitors o Keep order in the sanctuary o Watch your assigned area o Don’t let kids walk by you o Let rovers know when there’s an issue o Listen to any instructions from onstage o Be open to moving when directed o Get the crowd excited about the program (cheer during game time and sing during P&W) and HAVE FUN! Washroom o Take 1-2 kids at a time, always with another leader o Maintain order and noise volume while walking by the Jr. Kids Klub o If a child absolutely needs water, take them to command centre (max. 2 kids at a time) o Washrooms/Water Station are closed as soon as lesson starts. (after music and games). No kids will be allowed to go during this time. Walk-ins o 2 people to fill in attendance books (one for boys one for girls) o Ask for name, ages, and ADDRESS o Ask for other information if time permits o When there is a line-up, kids must wait along bench for their turn to be signed in. o Check BOTH hands for rubbed off numbers from busses o Mark large W (with line underneath) on hand Bus Driver o Make sure your team knows when the bus is leaving. o o o o o o o o o o Ensure your fire extingisher is in your bus (each bus driver pick theirs up at the compound) Stop at all the houses on the route Honk horn & wait (short times only) at houses on pick-up When there is no “sign of life” drive away Drop-off youth (ages 12-19) @ 193 McGregor. Proceed to 648 Burrows to drop off kids ages 4-11. Park bus for program Pull bus around corner (648 Burrows) at end of program when signaled by the floor director Once you have fully loaded your bus, wait until you are signaled by the Floor Director until you leave to pick up youth @ 193 McGregor. Make sure to sweep bus at the end of the day. Seats are sanitized the first Saturday of the month. (Task can be delegated to bus captain/helper, just ensure it gets done.) Bus Captain o Be sure to pick up your bus list on the wall; make sure you have a pen and black marker inside your pouch. o Give the bus driver driving directions o Mark kids in (on the attendance list) when they get on the bus. o When a new child comes, make sure to have the children give their name, age and address minimum. (sign up sheets are preferred) o Go over the bus rules with your bus and enforce bus rules (give X’s to kids that need them.) o Once you have picked up the last of your list, count how many children are on the bus. Make sure it matches with the number of ‘X’s on your list. o Fill out “Youth Numbers” slip and bring into youth building command centre when dropping off youth @ 193 McGregor. o Give your final bus count to the Front Door Security person upon arrival at 648 Burrows. o Line up the children on your bus (at the age 7-11 year old side) and walk them in to the sanctuary in a controlled straight line. Work with floor monitors to seat them in the sanctuary (Front to back) if you are volunteering at Jr. Kids Klub, walk kids in large sanctuary FIRST then proceed down to Jr. Kids. o Before leaving for drop off, count kids on bus. (Be aware of any bus changes; there will be a list on your clipboard if there are.) o Let the floor director know your status (If you have the correct count OR if you are missing/have extra kids on board. Don’t leave before “okay” from floor director.) o o o Fill out the bus debrief with the bus driver and helpers at the end of the route. Delegate bus activities for the kids to your bus helpers. You may not be able to perform all these tasks all at once, if this is the case, assign tasks to the bus helpers. Bus Helper o Help enforce bus rules. o Lead kids in bus activities. If the activity is being misused or causing issues, suspend the activity. o Make sure all kids are sitting. Break up fights, and keep noise to a minimum. o Help Bus Captain with their tasks. Stage (7-11 year olds) o Meet at 10:30am o Pick actors before buses leave o When off bus, come directly onto stage o Know your parts and the flow of the program o Be ready to fill time if program runs too quickly o Announce when bathrooms are closed (at balloon time) o Meet with floor director after the program to get cleaning assignments. Jr. Kids Klub (4-6 year olds) o Meet with team at 10:30 am o Help with set-up o Keep an eye on the clock for leaving time if you are on a bus.
