Summer Wind Condominium Association Board Meeting March 9, 2015 MEETING MINUTES I. The November 28, 2014 meeting of the Summer Wind Condominium Association Board of Managers convened at 7:15 P.M. at First State Bank 74 S. Randall Rd. N. Aurora, IL. A quorum was established with the following board members in attendance. I. Quorum Call. II. III. IV. Motion was made by Marlene Tare, to approve the minutes with the few changes directed by Kim McLeVain of the November 28, 2014, Motion seconded by Laura Botolfson. Motion carried. We will keep the Board updated on this. Door replacement – Bob motioned to no longer replace any more doors in the association, most have been changed out that were reporting leaks, Becca Brier recommended that doors be maintained by the Board rather than replaced as the attorneys opinion reflected. Laura recommended that we ask Pat’s opinion on the door issue. We will let the owners know on the recommendation and any updates need to be sent to the homeowners. Resolutions Collection Resolution – Marlene motioned to approve the collection policy with a 2nd payment plan and to follow the eviction process if the unit has owners in the unit. Laura Botolfson 2nd the motioned, all approved, motion carried. Owners requested that we look at the numbers from the attorney to see what is actually being collected and Liz needs to be involved, to see what the collection information is. Becca requested that we obtain the amount written off in 2014. Pavers – Bob motioned to approve, Marlene Tsre 2md all approved Delegation of Authority to Management – Bob Bowling motioned to approve, Laura Botolfson 2nd, all approved, motioned carried Contract approvals Eissner garbage container pick up $87 a Saturday- Bob motioned to approve Marlene Tare 2nd, all approved Bob Bowling motioned to approved the contract for Eissner for $489.00 a month, with the intention of looking at LED bulbs for the lights that screw in. Marlene 2nd, all approved, motion carried. AAA – Bob motioned to approve the AAA wood replacement, Bob motioned to approved, Laura 2nd all approved, motioned carried. LED entry light replacement for a total of $356.00 – Bob motioned to approve, Laura 2nd, all approved, motioned carried Alarm detection $3083.79 per month (no increase from the last contract)– Bob Bowling motioned to approve, Laura 2nd, all approved, motioned carried. Modification 704 EV – dish – planting bed – Bob motioned to approve, Laura 2nd, all approved 1203 Foxhill – Bob motioned to approve, Laura 2nd, all approved 206 HC – Marlene motioned to approve, Laura 2nd, all approved 319 EV dish – Bob motioned to approve, Laura 2nd, all approved Violations- reviewed by the Board – Landscape replacement contracts – Zollers –– Bob Bowling motioned to approve the landscape replacement contract with mulch to be included, Laura Botolfson 2nd, all approved. It was requested that Management draft a notice to the homeowners regarding watering plants. Debi Joy- owner will not be renting – matter is closed 517 EV – dispute lease charge – renting to son, request hearing- Laura motioned for homeowner to request a hearing, Bob 2nd, all approved Open Forum Homeowners Concerns – Please check Dorothy’s roof line when an inspection is done Dog waste – Diane requested that something be put in a newsletter about leashes and dog waste. Write off – 416 HC – remove $25 in late fees, write off $4040.81 – Bob Bowling motioned to approve the write off, Marlene Tare 2nd, all approved, motioned carried. Hearing 301 Hidden Creek – 24 month variance to rent unit – Bob Bowlingb motion to deny request as it may set a precedent for others to rent, Laura Botolfson 2nd the motioned, motioned carried. V.
