VOLUNTEER WORK Approved by MANAGEMENT HR COMMITTEE Focal Person………Sr. Manager Human Resource Version……..………….2 Effective Date .......1st July, 2012 Review Cycle………....3 Years Pages ………………...2 OBJECTIVES 1.1 To accept and encourage the involvement of volunteers in appropriate events, and activities of the organization. 1.2 To recognize volunteer work as an effective mechanism of increasing environmental awareness and a platform for call to action. 1.3 To offer students and professionals the experience of working in an International Nature Conservation organization. 1.4 To offer a standardized process whereby both the volunteers and WWF - Pakistan benefit from the experience DEFINITION A ‘Volunteer’ is anyone who without compensation or expectation beyond reimbursement of expenses incurred in the course of his or her volunteer duties performs a task at the direction of and on behalf of WWF-Pakistan. 3. GENERAL REQUIREMENTS 3.1 3.2 3.3 3.4 3.5 3.6 3.7 Volunteer work must be approved by the Department / Project head. For each volunteer a formal agreement shall be made detailing the requirements & responsibilities. There is no time restriction for volunteer work. Volunteers should not be used to displace any paid employees from their positions. Applications for volunteer work are received throughout the year. Applicants are required to fill the Statement of Interest Form. All volunteers engaged must fill the Personal Details Form. Volunteers shall not be provided Group Medical & Life Insurance. However, WWF-Pakistan shall arrange any work related travel and cover the costs in full. Volunteers must not disclose to any third party information pertaining to WWF - Pakistan’s projects / policies, plans or any other aspects of business, without approval from the concerned supervisor. Volunteers may be provided with necessary office equipment like computers, stationery, and other things in this category essential for the accomplishment of task as assigned by the supervisor. Volunteers shall return all such material, equipment to the concerned supervisor at the end of the assignment / contract. The office timings for volunteers may be flexible and must be agreed in advance and mentioned in the contract issued. Volunteers will be required to sign in the attendance register to be maintained by the Administration Department. Volunteers will be given an Identity Badge which Page 1 of 2 3.8 3.9 4. 6. TERMINATION / EXPIRY OF CONTRACT 4.1 A Volunteer Contract may be terminated by either party with 2 days notice. 4.2 Upon prior termination or on the expiry of contract the volunteer must deliver to WWF - Pakistan the Identity Badge, all documents, data, reports, correspondence and any other material relating to the contract in good order or in such format as WWF-Pakistan may reasonably require; Human Resource Department will ensure that the volunteer no longer attends office and that his /her name is taken off the attendance register. VOLUNTEER WORK CERTIFICATE 6.1 6.2 7. they must wear while in office or during assignments. Volunteers are required to follow WWF-Pakistan’s IT Guidelines and policy on behaviour. Any deviations may result in the contract being terminated. Human Resource Department shall maintain records on each volunteer. Records shall be accorded the same confidentiality as staff personal records. A certificate will be given to volunteers that complete the assignment as per contract and guidelines and to the satisfaction of the supervisor. The Human Resource Department will issue the certificate. DISCLAIMER 7.1 WWF-Pakistan does not accept any liability for acts of third parties, accident, sickness or losses of any kind, however caused, arising from activities done as part of the Volunteer Contract. Volunteers are advised to arrange for appropriate insurance to cover such risks and contingencies. 7.2 Volunteers are required to sign a Disclaimer Form prior to the commencement of the contract. Minors (below 18 years of age) shall be required to get a slightly different form signed by their parent & guardian [Annexe #4] Page 2 of 2
