Executive Committee Meeting January 7, 2015 BSIM Office – 6:00 PM Attendees: Executive Committee: John Mutty, Tom Rolander, Alice Crawford, Andrew Creely, Hugo Ferlito, Doug Stickler and Patte Kronlund Associates/Friends: Hank Armstrong, Wayne Richey, David Terry, Chuck Faxon, Shirley Faxon, Buddy Sharp, and Dino Pick. Staff: Doug Thurston, Chris Balog, Julie Armstrong, and Sally Smith The meeting was called to order at 6:15PM by Chairman Mutty. AGENDA ITEMS: 1) ASICS Shirt Order for the April Events – Doug presented a spreadsheet showing 2014 Shirt Order for all events and the proposed 2015 Shirt Order with additions by Doug and Patte. ASICS representatives (Ami & Amber) stated they will go back to the 2013 Manufacturer for the April events. Sample shirts were mailed but had not been received prior to this meeting. The main issue is with ASICS are their inconsistent shirt sizing creates the challenge for us. BSIM cost per technical shirt is $15. (Note: ASICS paid for the HM post race shirt order). Discussion followed. Hugo Ferlito made a motion to approve the Shirt Order with Doug’s and Patte’s additions for the April events. Tom Rolander seconded the motion. Vote: Motion passed. 2) Proposed Questionnaire to determine interests and background of Board Members and Friends of the Marathon – Presented by John Mutty and Doug Thurston. Important to get this information from each Board Member. Confidential and for internal use only. There is a Liability Waiver included with the questionnaire that each Board Member needs to sign. Sample questionnaire viewed by those present. Discussion followed and it was decided that the questionnaire would go out to: Voting Board, Associate Board and Friends of the Marathon. 3) Course Changes for the 9 Miler and 5K – Only operational change for the 2015 events Presented by Doug Thurston. The changes proposed are to make it safer on the course and to adjust the start times of the 9 Miler and 5K – there will be a 10 minute lag time between these two events. 4) 2016 Marathon Entry Plan – Presented by John Mutty and Doug Thurston. Doug presented the 2016 proposed Marathon pricing. Discussion followed. ACTION ITEM for next meeting. Staff to research other event pricing before Board vote on 2016 pricing. Plus, Alice Crawford suggested that we offer a ‘Locals’ Rate’ and this will be considered for 2016 pricing. $1.00 Lottery Fee – will be charged to enter Lottery and will be treated as a donation to BSIM Just Run Program. No resistance by 2015 participants entering the Lottery for the Marathon. Hugo made a motion to increase this the Lottery Fee to $2.50. Tom Rolander seconded. Vote: 5 yes and 2 no. Motion passed. 5) 2015 Half Marathon Entry Fee – Presented by Doug Thurston. Discussion followed. Andrew Creely made a motion for the Proposed Pacific Grove Lighthouse 5K Pricing to remain at $30 Adult, $20 Youth (Race Weekend: $35 Adult, $20 Youth). Patte Kronlund seconded. Vote: Motion passed. Hugo Ferlito made a motion to accept the proposed Half Marathon pricing as written. Andrew Creely seconded. Vote: Motion passed. 6) 2014 Half Marathon Budget – John Mutty: Action Item for next Board Meeting. 7) Status of Strategic Plan – John will schedule a meeting with those 17 Board Members who volunteered for the Strategic Plan Goal #5: Hank Armstrong, Doug Stickler, Buddy Sharp, Cath TendlerValencia, Wayne Richey, Becky Jones, Joe Vargo, Ben Balester, Patte Kronlund, Caitilin McGuire, Thomsom Lange, John Saleem, John Mutty, Alice Crawford, Andrew Creely, Tom Rolander, and Hugo Ferlito. 8) Support of Massachusetts State Police BSIM Entrants – Discussion led by John Mutty and Wayne Richey. Important to keep this relationship and nurture it. Continue to do what we have done in the past by providing entries (paid by participants) and all that comes with the ‘Boston to Big Sur’ entrants. Action Item ??? Good of the Order: Doug Thurston – Unsolicited random drug testing of 10 HM Elite Runners. Results: no positives. No charge to BSIM. Prize money will now be sent to eligible athletes. Monterey County ‘Locals’ Lottery’ for 2015 Marathon will be held at The Treadmill on Saturday, January 10, 2015. The meeting was adjourned at 8:30 PM.
