Meeting Minutes
IFMA Executive Committee Meeting
Meeting of Tuesday, September 11, 2012
Location: Cuna Mutual – 5810 Mineral Point Road
7:30 a.m. – 9:00 a.m.
Attendees: Ron Rowe, Mike Schwartz, Leah Samson-Samuel, Nathan Hanson, Patty Sweitzer,
John Desens, JR Roethke, Tracy ????? Also, Le and Bob from Communicator of Wisconsin
Item #1: Call to Order
The meeting was called to order at 7:37 a.m. at Cuna Mutual. Ron Rowe, JR Roethke and Tracy
approved the August meeting notes.
Item #2 Officer Reports

Communicators of Wisconsin (Le & Bob)
They indicated most things are going smooth. They understand directors changed yearly
and they are trying to flexible.
They are currently updating the list of duties they perform for the chapter within the
contract. Le is going through and making changes, she will forward change to Mike.
August of every year new name badges are created. The blue badges are new members,
white are seasoned. The new badges are delivered to the Sheraton in an envelope monthly
with new name tags. Apparently JR didn’t realize this as he was making new name tags.
The template was discussed and JR and Le will make a point to get together to discuss. JR
moved into his current director position on Lunch Bunch with no transition from the previous
leader.
ACCU conference can be provided by COW for those executive committee members who
can’t meet in person for the monthly meetings.
COW offers us unlimited use of survey monkey
Would like to move to two-sided name tags
Roberta and Emily should get the suspended badges from JR so they can follow up with
phone calls to members that dropped off.
Need to understand how deposit of checks should work – need to talk with new treasurer

A spreadsheet of Wisconsin attendees attending World Workplace will be created and sent
to all. Apparently HQ has a website listing who is going to this event.

Treasurer (Tom Riffle)
Nothing changed – Tom is on vacation. Mike asked for a motion to approve treasurer report
and Leah Samson-Samuel and Mike Schwartz approved.

President (Mike Schwartz)
HQ assigned a new ambassador to our chapter who Mike talked with her and shared our
chapter accord. HQ has shared this with other chapters.
Discussed getting a speaker from HQ to come to Tri-Chapter event to discuss how the HQ
web site can help each of us.
Discussed where we should have our next meeting in Oct/Nov., it was thought we made
arrangements at MATC. Mike will let the group know.
In November we will offer a conference bridge for those board members and directors who
can’t attend in person. Bob from COW will send Mike the phone information and leader pin.
The three WI chapters designed a new pin. It is in the shape of the state. The pins were
ordered and should be here early October. The Chapter is subsidizing the pin purchase.
Do we want to change the monthly luncheon venue to CUNA? CUNA has the capacity to
handle and we need to consider options as the Sheraton contract is up. CUNA food menu
has more variety and they could customize. Special foods needs folks could go to the
restaurant. These people would be identified before the meeting. The food and AV are better
at the CUNA facility. Parking is plentiful, the food cost is slightly higher but we don’t have to
pay for AV equipment. Any cons for this change? Sheraton is more centrally located. If JR
isn’t available CUAN security would take care of check in. A recommendation was motioned
by lunchbunch to move luncheon to CUNA from Sheraton. The following motioned to try
CUNA John, Ron, Nathan, Patty and Mike. Leah opposed change – she likes the consistency
of staying at the same place. People don’t like change, there is not a screaming benefit to
do it, variety is good to. Mike will talk with the Sheraton about our contract to see if there
flexible. There will be no contract with CUNA.

November – CUNA
Mike will ask Jim to create a squad cast to advertise change.
Sponsorship reconigtion – want to do more. It was suggested putting logo on screen, every
slide. Jim Zirbel would need “gold” corporate sponsor logo each month.
Meet with sponsors to ask them what they want – redesign table tops, blurp for other
sponsors sometime during the year. What type of recognition? Possible rotating banner on
web site for “gold” sponsors ONLY and rolling presentations of logos at luncheon.

The Member Squad committee is planning their next event.


Green Roofing – Ron will forward all information to COW, Tour will be at Enviro Tech.
Four Madison members attended the wind farm and Cedar Ridge event.

Profession Development Task Force (Cindy Torsveidt, Brett Wedekind, Leah
Samuel-Sampson)
Tri-Chapter meeting held last week, discussed venue and speakers.
Leah announced to HQ she will possibly be the SFP champion and would do it the 1st quarter
of next year. She would receive a 50% discount.
Goggle calendar created
October – UW Credit Union – Exterior Site Management
November – BIM – new building to operating building

Sponsorship Task Force (Barb Milan & Lorelle Micklitz)
We are going to start off on a clean slate for new year – as the Executive Board voted on
the replacement plaque for the 2012 Sponsors. Leah suggested changing the timeline of
drive.

Working with professional development committee on goggle calander, website calander
and google don’t mix well together. Google is easier to use. Committee Meetings will only be
used on google calendar – all other events on web.
Why do we have both? No good way for web site calendar to add committee meetings.
Website calender allows for RSVP and payments – export feature for outlook claenad

Team PR (John Desens & Brian Hoffman)
The team is not meeting at La Hasenda anymore, There new meeting place is forthcoming
and will be sent out on the weekly blast.

Community Crew (Doug Sutter & Gene Post)
No report, but need to discuss if there will be a food drive and bell ringers for the Holidays.
Noted, the last community crew event was not well attended.

Birdie Brigade (Kim Keister)
No report.

