2015 Rotary Zone 21b/27 Institute Training Committee Teleconference PDG Forum Training Team March 9, 2015 Time: 7:30 p.m. CDT Zoom Teleconference Weblink: https://zoom.us/j/7682795630 Teleconference Dial-in Number: 1-415-762-9988 Participant Access Code: 768 279 5630 Attendees: ___ Sherri Muniz _√__ Dian Edwards ___ David Flack _√_Sunny Sharma __√_ Maxie Houser Meeting Notes Sunny and Maxie have reviewed the evaluation summary relating to the 2014 PDG Forum. They also met while at Lone Star PETS this past weekend to discuss ideas related to development of a program and agenda for the 2015 PDG Forum. It is somewhat a “given” that the RI President, RI General Secretary, and RI Director will be requested to address the forum. However, there is consensus, based on feedback from last year, that we encourage these speakers to craft a unique message to the PDGs that will not be redundant with the presentations scheduled for the Zone Institute. Maxie and Sunny think it would be valuable to develop an agenda item that will provide PDGs with an opportunity to share their valuable experiences gained during their year of service as a district governor. Such a discussion topic would fill out the balance of the time allowed for the half-day session. We would also want to provide an avenue for PDGs who remain engaged in Rotary activities to identify their primary areas of expertise and develop strategies for utilizing their experience to assist district and zone leaders in years ahead. Much has been invested in the development of these important leaders. Many have the desire to continue to share their expertise and knowledge. It was suggested that we develop and distribute a survey tool to Zones 21b/27 PDGs within the next six weeks that will seek input regarding ways PDGs would like to continue to be involved in key initiatives, training opportunities, and their primary interest in the focus areas of 1 humanitarian service. Sunny will send his ideas in bullet format to Maxie. She will coordinate the development of a “Survey Monkey” with an education resource who has experience in developing these types of surveys. The survey will be kept as simple and short as possible. Based on feedback from this survey, a session could be developed to utilize Immediate Past District Governors in the role of discussion leaders for various interest areas identified. In conjunction with the survey tool development, Maxie and Dian will collaborate on the statement of the survey goal that will be used to introduce the survey and encourage responses with honest feedback. Dian will present this concept to Sherri for her concurrence before releasing the survey instrument. Sherri may want to seek Greg’s approval as well. Dian will also encourage the inclusion of Thursday noon lunch in the registration package for the PDGs. Maxie and Sunny believe this will encourage attendance. Dian will contact Sherri to see if there are other post-institute evaluations from previous PDG Forums that can be review by the team. Dian will also contact Lynne Baker and Doug Whinnery who served as PDG Forum Team Facilitators at the 2014 Institute. We would like to include them on our next teleconference call to ask them for their assessment of future interests and/or topics that should be covered in the PDG Forum. Sunny will be out of country during the time that our next call was scheduled. Therefore, the next teleconference for the PDG Forum Training Team was rescheduled for Tuesday, April 7, 2015, 7:30 p.m. CDT. Meeting Notes Prepared by: Dian Edwards, 3-9-15 2
