2015/16 ACTIVETRI SERIES CLUBS AREA
The 2015/16 Active TRI Series welcomes all triathlon clubs, school teams and training groups
to attend any of our five races over the season. We have allocated a clubs area at each event
site where clubs can set up their own 3x3m or 6x3m marquee to be used as a meeting point,
bag storage and a place to fire yourselves up before the big race!
The clubs area will feature:
 Close proximity to transition area and registration marquee;
 Opportunity to set up your marquee the Saturday before each event (security will be
onsite at each event overnight);
 AND IT IS FREE FOR ALL CLUBS TO SET UP!
Just submit the attached booking form.
We aim to make the clubs area a feature of the Series and encourage all triathlon clubs to
come to the event site between 12:00pm – 3:00pm on the Saturday prior to each event and
set up your marquee to create a great atmosphere for your team and take the stress out of
race day.
All clubs that wish to host a site in the clubs area will need to adhere to the guidelines and
submit the attached registration form by close of business the Tuesday prior to the event
weekend. You are welcome to attend any or all of our The 2015/16 Active TRI Series events.

CLUB AREA GUIDELINES
In order to continue holding the successful The 2015/16 Active TRI Series at our current site
locations, we require that you read and understand the following list of guidelines for clubs
setting up marquees on site.
Please find below guidelines put in place at each event:

Ensure that prior to setting up your marquee, you check in with the Event Manager,
Matt O’Halloran (0413 275 292) between 12:00pm - 3:00pm on the Saturday prior to
the event.
 Access to the site. The roads are open to public and therefore at set up and pack
up of marquees all vehicles need to abide by the road rules. No vehicles are to
access the site unless contact has been made with the event manager prior to
the event. We will need to arrange with you a mutually suitable time to escort
you with your vehicle onto site. No vehicle can be left on site unless prior
permission is granted.

Please note police often attend events to ensure that vehicles are abiding by the
road rules and not doing u turns illegally, driving across double lines or driving
on foot paths to access the site.

Marquee set up and allocation on site will be at the discretion of Sole Motive Event
Management on day. However, in most circumstances priority will be given on a first
come, first served basis. Please do not arrive any earlier than 12:00pm.

All clubs setting up marquees must provide their own weights and any other
equipment needed to erect and disassemble the marquee. Please note that only
weights can be used to secure marquees to the ground. No pegs or stakes are to
be used.

Once the event has concluded, before leaving, it is important to ensure all rubbish is
taken or placed in bins provided. This also includes all equipment associated with the
marquee. Failure to do so may come at a cost to your club.

In the case of adverse weather conditions on the Saturday, you will be asked to weight
your marquee but not raise it. This will help to prevent overnight damage to marquees.
If these conditions continue on event day you may be asked by a member of the Sole
Motive Event Management team to take your marquee down. This will ensure the
safety of participants and spectators.

Club signage is fine as long as it does not conflict with event sponsors. Furthermore,
marquees must be clean and presentable. Sole Motive Event Management has the
right to take down a marquee or remove signage if it does not meet the above
requirements.

Sole Motive Event Management will not take any liability for loss or damage to
marquees or any other equipment.
