CIRCULATION WORKING GROUP (CWG) ANNUAL REPORT FOR 2005-2006 The 2005-2006 membership of the Circulation Working Group (CWG) included Sue Dietl, Chair (Hesburgh), Judy Kendall (Hesburgh Circulation), Marcy Simons (Hesburgh Reserve), Debby Webb (Architecture), Diane Grams (Chemistry/Physics), Tracey Morton (Engineering), Karen Malling (Life Sciences), Karen Lanser (Math), and David Williams (Meeting Recorder). Mandy Havert attended numerous meetings as a liaison with Library Systems office on circulation and reserve issues. Representatives of the other MALC libraries, i.e., Kevin Blowers (Bethel), Mary Ellen Hegedus (Holy Cross), and Lisa Karle (Saint Mary’s) attended meetings only when notified of proposed agenda items that may also affect them. As a “self formed” group, no official charge was written for CWG. Over the years the group loosely defined a general charge for itself to describe its range of activity: (1) Share and discuss any and all news relating to or having an impact on circulation and reserves; (2) Formulate processes and procedures for circulation and reserve functionality; (3) Serve as a conduit for circulation and reserve needs, questions, and recommendations; (4) Test circulation and reserve functionality in new Aleph releases; and (5) Work with the Library Systems department to plan and implement technology pertaining to circulation and reserves. Listed below are samples of the group’s activities in 2005-2006: Assisted in prioritizing the Circulation Enhancement Group’s list of enhancements for submission to the central NAAUG committee. Worked to define parameters for scrubbing of patron records to resolve problems that developed in the process. Implemented e-mail notices for recalls and holds as well as for overdue notices to undergraduate students. Identified and worked with Library Systems to resolve problems with Version 16’s use of global and local patron records. Identified and helped Systems resolve a serious flaw that occurred when patrons did recalls via My Account. Pushed for the periodic deletion of non-current local patron records across MALC. Tested circulation and reserve Service Pack changes. Made preparations for the libraries’ use of the University Spousal card. Began work on a new, stronger recall policy for the libraries to ensure faster return of recalled items. PROGRESS TOWARD ACHIEVEMENT OF 2005-2006 GOALS Assist in expanding e-reserve processing and responsibility to the branch libraries. Goal 1: Provide enhanced and secure access to the Libraries resources and services Due to change of supervisor in Reserves, this was not done. Will go into next year’s goals. Assist in review of degree to which defaults on library borrowing rules take place. Goal 5: Increase the effectiveness of the libraries organization. Assisted in writing new, stronger policy to get recalled items returned by due date.
