The invocation was given by Tommy Gilbreath, Ch. 126. Region Welcome to the following Guests: Rick Peters – “President-Elect”, SME International It was pointed out that only one year out of 12 that Region 11 did not have the SME International President, or the President–Elect present at our COC. David Greer – “International Director”, SME International. Bruce MacKender – “Membership Relations manager”, SME International. Tim Coppinger – “Member”, Member Council, SME International. Tim suggested that some new things, important to keeping the student chapters competitive, were planned for the spring of next year at the International Level, but that there was a need to raise money from the local chapters. Area Sr. chapters will be asked to participate in funding these student oriented meetings. At this point, Mindy Saunders made a motion to create a $1,000 fund towards the Student Chapter Spring competitions using funds from the Region 11 balance. Tommy Gilbreath, of Ch. 126, seconded it. Some discussion. John Staudt asked a question regarding the check writing limitations in student chapters. Tim Coppinger suggested passing this on to the senior chapters for action. The matter was put to a vote, the ayes passed it, and Chapter 417 South Arkansas, abstained. Region Reports: Treasurer’s report. Gary Hoppes reviewed the treasurer’s report contained in the COC 2003 Journal, page 25. The report was accepted as reviewed. (Cont’d COC 2003 BusMtgMin., p.2) Audit Report. Mindy Saunders reviewed the audit reports for 2002, & 2003, COC 2003 Journal, page 23 & 24. She disclosed that one of the few discrepancy found was that $150 un cashed check had been carried over from 2001 all the way through to the present. This discrepancy was determined to be an un-cashed student scholarship check. In addition it was found in 2003 that the check book showed no balanced carried forward, and that a $1.30 error existed, which was determined to be two checks that had been entered incorrectly. Secretary’s Minutes. Russ Kline reviewed David Sheely’s minutes from the COC 2003 Journal, pages 9-23. After reviewing them, he moved that the minutes be approved. Tommy Gilbreath, Ch. 126, seconded the motion, and it passed. Senior Chapter Honors Banquet: Russ Kline reviewed the preceding evening’s activities at the Senior Chapters Honors Banquet. It was reported that seven of the eleven “Past Chairs” were present for the COC, and the Honors Banquet. They and their spouse’s expenses were covered by Region 11. Those present were: Arlon Scroggins, 1991-92; Tim Coppinger and Dorothy, 1996; Tommy Gilbreath and Barbara, 1997; Hardie Jefferies and Ginger, 1998; Frank Fairley and Marty, 2000; John Staudt, 2001; Mindy Saunders and Robert, 2002. President-Elect, Rick Peters, gave an attention getting presentation entitled, “Five Phenomenal Phrases”. It was humorous, thought provoking, and well received by his audience. The following awards were handed out at the conclusion of the Banquet. Each award has its own criteria, and only the First Place in each category received a trophy. Website 1st Place – 195 Dalrich 2nd Place – 051 North Texas 3rd Place – 125 Oklahoma City Bulletin 1st Place – 195 Dalrich 2nd Place – 051 North Texas 3rd Place – 125 Oklahoma City Chapter 1st Place – 125 Oklahoma City 2nd Place – 051 North Texas 3rd Place – 126 San Antonio There were three Student Chapters in attendance at the banquet: 181 Southwest OSU, 297 UT – Pan American, and U157 UA – Pine Bluff Region Committee Reports: Facilities Report. Robert Hambright reviewed his report contained in the COC 2003 Journal, page 30. He expressed appreciation to all who helped him make this COC one of the best. Historian. Robert Saunders reported that all arrangements have been made with the holders of items to be returned to SME Headquarters, to do that, shortly after this COC. He also reminded everyone, again, that Sr. Chapter 199 will be selling a CD, for $5.00, containing a picture of all the main items of a historical nature. It will be sent out to all purchasers within a couple weeks after the COC. Membership/ Certification. David Li reviewed the Report Contained in the COC 2003 Journal, page 26, and pointed out that Ch 29’s Chairman, Jorge Sesin had become active in the International Leadership, and Ch 29 intends to be the training host-site for the next “Certification Test”, for the Houston area. (Con’t COC BusMtgMin, p.3) Policies and procedures Report. David Laukat reviewed his report in the COC 2003 Journal, page 28. He asked the question, “where to go from here?”, and hoped to maintain a relationship with the Membership Consultants in the future. Student Chapter Liaison Report. Warren Lewis expressed interest in some way to create “seed money” for sustaining student chapter activities, and was hopeful that the Sr. Chapters would be able to allocate or dedicate some of their funds to the Student Chapter activities in the future. Job Fair Report. John Staudt indicated that the effort was complete, and that the idea of, and creation of a Student Resume Catalogue was a success. Something others could adopt. Webmaster’s Report. Peter Tanguy reviewed his report in the COC 2003 Journal, page 29. Peter expressed interest in continuing the work of “webmaster” for the various area chapters, and expressed general concern that the International’s webmaster was not aware of the discontinuance of the Regions. Leadership Training Committee. Robert Falcinelli reviewed his report in the COC 2003 Journal, page 27. He again thanked everyone for their help in making this COC, one of the best. Region Senior Chapter Reports: Senior Chapters present were given an opportunity to add comments to their submitted reports. Ch. 417- South Arkansas- Gary Hoppes indicated that their report did not make it into the journal, and that an e-copy would be made available. Ch. 90-Tulsa- Ram Mohan, , forwarded the following note regarding Ed Nowlin: “Ed Nowlin, was Treasurer of Chapter 90, and passed away in April of 2003 after a brief illness. Ed has been active in SME for the past 30 years and was instrumental in bringing the chapter “back to life” about 5 years ago. Ed served as Chapter 90’s Chairman in the early 90’s and as Treasurer in the later 90’s, and until he passed away. He was active in Regional activities in the 80’s. Ed was 78 years old.” Old Business. There was no pending old business. New Business. Gary Hoppes suggested obtaining mailing addresses for all chapters and sending a letter from Region 11, to all Region 11 chapters, indicating the “Regional Organization Structure”, is no longer in business, after Dec. 31, 2003. Russ said he would get such a statement out to the Senior Chapters in the near future. After receiving no other new business items, the Chair called for a motion to adjourn. Mindy Saunders moved to adjourn, and it was seconded by David Li. The “Last Region 11 Business Meeting” was adjourned at 10:21 a.m., Nov. 2, 2003.
