I: Title: Division: Location: Schedule: ASSISTANT DIRECTOR OF UNDERGRADUATE ADMISSION BS Department: Office of Undergraduate Admission Admission House, Gorham Campus Monday – Friday, 8:00 am to 4:30pm, weekend and evening hours required, six to ten weeks of travel required Organizational Relationships: Reports to: Senior Associate Director of Undergraduate Admission Supervises: Graduate Assistant, Student Employees, Alumni Volunteers Coordinates with: Primarily with students and families, high school guidance counselors, Office of Undergraduate Admission staff, and all departments within the University. II: Statement of the Job Educate incoming first year, transfers, parents, and counselors about the University of Southern Maine and the overall college selection, application, and admissions process. Responsible for all aspects and phases of college admission including recruitment, counseling, advising, and evaluation of prospective students and applicants. In particular, this position will be responsible for management of the Campus Tour Program, the Alumni Program, and assisting with the coordination and administration of merit and donor scholarship programs. III: Essential Functions A. Specialized Programming and Duties 1. Coordinate and manage the Campus Tour Program, including daily tours; large group Special Campus Visits; MELMAC tours, tours at on-campus events such as Open House, Friday Campus Visit Days, Saturday Information Sessions, and Accepted Student Days. This position is completely responsible for the hiring, training, supervision, organization, and daily management of student tour guides. This position also keeps current the Self-Guided Tour booklets in print, on the web, and on Facebook. 2. Coordinate and manage the Alumni Program. This includes the hiring, training, scheduling, and supervision of alumni volunteers. Work with the Associate Director of Admission responsible for travel recruitment. 3. Assist with the oversight, coordination, and administration of USM’s merit and donor scholarship programs, including the crafting of scholarship criteria and policy, monitoring the awarding of new recipients, implementing a coherent and customized communication sequence, and devising effective external/public relations campaign. 4. Responsible for training and supervision of Portland student office workers. B. General Duties: 1. Work effectively with the Dean of Undergraduate Admission and the Senior Associate Director of Undergraduate Admission by participating as a member of a profession admission team to design, develop, and implement successful marketing and recruitment strategies and plans. 2. Successfully manage assigned primary and secondary geographic territories by assisting with the planning and implementing of marketing and recruitment activities in each of these areas. This will include extensive overnight travel that may often require being away from home for extended periods ranging from days to weeks at a time. 3. Effectively counsel and interview prospective first year and transfer students from both traditional and non-traditional aged populations. 4. Conduct detailed evaluations of applicants seeking admission to the University which will ultimately determine the admission decision. 5. Conduct extensive telemarketing and telephone contact with students, families, and counselors. 6. Participate in the organization and execution of all on campus visitation programming (Open House, Accepted Students Days, visitation days, etc.). 7. Maximize opportunities for students, parents, and counselors regarding the college admission process and access to the university. 8. Participate fully in Office of Undergraduate Admission staff meetings and retreats. 9. Perform other duties as assigned by the Senior Associate Director. 10. Hold office hours in the Portland Undergraduate Admission office on a rotating basis. C. Travel and Recruitment 1. Visit high schools, two year colleges, and multi-cultural agencies to educate students and counselors about the University. 2. Interview students during off campus recruiting trips. 3. Meet with local alumni during off campus recruiting trips. 4. Represent the University at organized off campus recruiting events – such as college nights, national and regional college fairs and mini fair days. 5. Planning and scheduling, and presenting at off campus guidance events (breakfasts, dinners, and association meetings). IV: Marginal Functions Serve on College and University Committees as appropriate. V: Supervisory Responsibilities Supervise one graduate assistant, 20-30 student employees, and varying numbers of alumni volunteers. VI: Budget Responsibilities Coordinate budget for Tour Program and Alumni Program with the Assistant to the Dean and the Dean. Coordinate budget for merit scholarships with the lead scholarship coordinator, the Assistant to the Dean and the Dean. VII: Public/Professional Activities Demonstrate a commitment to one’s own personal and professional growth and development by taking an active role in in-service training as well as other professional, educational conferences, meetings, and opportunities. VIII: Internal/External Contacts 1. Internal Contacts (USM): Works closely with all departments throughout the University. Special liaisons will be expected with particular offices, faculty, or departments. 2. External Contacts: Develops and maintains positive professional relationships, as appropriate to assist with students, regional and national guidance counseling staff, regional adult education staff, regional (UMS and New England), national college/university personnel, and alumni. Develops and maintains professional relationships with national and regional higher education marketing strategies. IX: Knowledge, Skills, and Abilities Knowledge and experience in higher education administration and college and university admission; in depth understanding of the college admission process and the factors involved in making admission decisions. The position requires special sensitivity to the needs of all individuals regardless of race, color, ethnicity, sexual orientation, gender, religion, or country of origin. Excellent written and oral communication, presentation, and interpersonal and organizational skills. The individual must be effective at working independently and as a member of a team. The position requires extended hours including evenings and weekends, during various time periods. Ability to lift and transport moderately heavy loads. Possess an attitude that fosters a respectful, non-threatening workplace environment. X: Qualifications Required: Bachelor’s degree required from a regionally accredited higher education institution. An eagerness to travel and willingness to spend time away from home. Must maintain a valid driver’s license. Preferred: Three to five years previous experience in college admission.
