1. Hiring Manager reviews the resumes using eRecruit
Go to Wolverine Access: http://wolverineaccess.umich.edu/
Under “Faculty & Staff,” click on UNIVERSITY BUSINESS

Main Menu > Recruiting > Find Job Openings
. o Type the five-digit job opening ID in the Job Opening ID field o If ID is unknown, enter known values in search criteria field(s)
Click Search
Click on the appropriate Job Opening Link from the Search Results group box
From the job opening’s Manage Applicants page, click the icon in the Resume column for the applicant. o The resume opens in a separate window and can be printed. o Click the print icon to print the resume.
There are two ways to use e-mail to view a resume:
A. Forward Applicant
This method sends your recipient an email with the Applicant’s resume attached.
Use this method if the recipient does NOT have an eRecruit Hiring Role.
1. Turn on the appropriate check box(es) in the Applicant Name column
2. Select Forward Applicant from the drop-down list in the Group Action field.
3. Click GO
4. Type the recipient’s e-mail address in the TO field or click FIND to search for an e-mail address. You can forward to more than one person by typing additional e-mail addresses, separated by a comma, in the To, Cc, or Bcc fields.
5. Type “Resumes for Job ID #XXXXX” in the SUBJECT field
6. Accept the default of PUBLIC in the ACCESS field
7. Type the appropriate message in the Message field
8. Click PREVIEW
9. Review the message
10. Click RETURN
11. Click SEND
B. Route Applicant
Use this method when recipient has an eRecruit Hiring Role.
This method changes the disposition of the Applicant to ROUTE
This method sends your recipient an e-mail with two links.
. o The first link opens the Applicant’s Disposition Details page, requesting a response regarding whether to invite the Applicant for an interview. o The second link opens the Manage Applicant page for the job opening where the application and resume can be viewed.
1. Turn on the appropriate check box(es) in the Applicant Name column
2. Select Route Applicant from the drop-down list in the Group Action field.
3. Click GO
4. Type the recipient’s eight-digit EmplID or select a value from the LOOKUP in the Route to
EmplID field.
5. Type the deadline for the response or select a date from the Calendar in the Response
Due field.
6. Click ADD ROW + to add more recipients.
7. Click SUBMIT

2. Hiring Manager Dispositions candidates
Go to Wolverine Access: http://wolverineaccess.umich.edu/
Under “Faculty & Staff,” click on University Business
Click on M-Pathways Student Administration & Human Resource Management System .
Go to Main Menu > Recruiting > Find Job Openings o Type the five-digit job opening ID in the Job Opening ID field o If ID is unknown, enter known values in search criteria field(s)
Select OPEN from the drop-down list in the STATUS field
Click SEARCH
Click the appropriate Job Opening link from the Search Results group box.
Turn on the appropriate check box(es) to the LEFT of the Applicant Name column.
Scroll to the BOTTOM of the page and select CHANGE DISPOSITION from the drop-down list to set the disposition for one or more applicants (in the Group Action box).
Click GO
Select the appropriate disposition from the drop-down list in the Status Code field. o Interview o Reject o Withdrawn
Click SAVE
3. Hiring Manager sends Short List (preliminary list of candidates that Department plans to interview) to

*Hiring Unit must provide DSA HR with Short List prior to scheduling any interviews!
4. DSA HR reviews Job Requisition Short List.
Internal Candidates: o DSA HR views the candidates’ electronic personnel file o DSA HR verifies that the candidates have been in their current positions for at least 6 months, or have approved exceptions
External Candidates: o DSA HR checks for candidate prior restricted records (Worked here before, Terminated with a problem, Cannot be Rehired, Not recommended for rehire, Conviction being investigated,
Serious conviction and cannot be hired, Can be rehired in a different job classification). o (rehire candidates only) DSA HR views the candidates’ electronic personnel file from their previous UM employment
DSA HR contacts the Hiring Manager, notifies of any revisions to the interview list, and lets them know they can proceed with interviews.
If a RIF (Reduction in Force) candidate has applied and meets the minimum qualifications posted for the position, then the hiring Department must consider the RIF candidate for the position and schedule an interview. A detailed written explanation for any RIF candidate that is disqualified must be provided.
During the interviewing process, please neither discuss a specific salary with any candidate, nor make an offer of employment, prior to receiving HR approval!

5. Successful Candidate is Selected
NOTE: The Unit must wait until the Posting End Date (or the re-posting end date) has passed before
making a final candidate selection.
A. Using eRecruit, disposition all candidates. o Interview o Withdrawn o Pending (Default)
B. Send an e-mail message to DSA_HR_Office@umich.edu
to request review and approval of your selected candidate and proposed salary. Please include the Job Requisition number in the e-mail subject line.
All job offers must be approved by the DSA HR Office PRIOR to an offer being extended to a candidate.
Please include the successful candidate’s name, proposed salary, approximate appointment start date, and approximate NEO (New Employee Orientation) date if applicable.
Include statements regarding RIF candidates.
C. The DSA HR Office will review the proposed job offer and either approve it or disapprove it.
If approved, the Department will be notified electronically that they can proceed with a Contingent Job
Offer to the candidate.
If disapproved, the Department will be notified of what actions are needed to resolve the problem.
You CANNOT extend a contingent job offer to the selected candidate until you receive DSA HR approval via e-mail!
6. Extending the Job Offer and Filling the Position

C. Notify employee of their New Employee Orientation (NEO) date and time.

D. The EPC (UHR/Employment) will: o Email a “Contingent Offer Letter” to the successful candidate
The job offer is contingent on the successful completion of a background screening by HireRight. o Email a “Welcome Letter” to the new employee once the background check has been successfully completed o Finalize the offer in eRecruit.
