INTEGRATED RESEARCH MANAGEMENT APPLICATIONS (IRMA) http://irma.uct.ac.za This system is designed to be used in 2 possible ways: 1. Each academic loads their own publications OR 2. A few designated people in each department load all the departmental publications IF EACH PERSON LOADS THEIR OWN PUBLICATIONS They will be given a password and logon, and they should follow the directions given overleaf for each publication category. IF A FEW DESIGNATED PEOPLE LOAD ALL THE DEPARTMENTAL PUBLICATIONS These people will be required to log on to IRMA using their own passwords, go to the publications module ("Research Outputs") and then log on as one of the UCT authors of the publications in question. This is done by using the "Mirror Another User" option given at the top of the Research Outputs screen. BASIC RULES FOR ALL USERS Click the 'Log off' button after each session Each publication is to be loaded ONCE ONLY - if there are several UCT authors, the publication will automatically be listed under each person's name. Check your list of publications on the system before loading to make sure you are not duplicating an entry Once you have finished loading your publications, please send hard copies of those items that qualify for the publication count (i.e. that are subsidy-earning) to either your departmental or faculty principal co-ordinator. Contact irma@uct.ac.za if you need a password or any assistance. FUNCTION BUTTONS Personal Details: Research Outputs: Log Off: Contains your basic information. Please update this the first time you access IRMA. Please check that your department is correctly stated. This is the publication module where you will be loading your publications Please click this at the end of every session - it will close down IRMA. You may experience problems with your password if you do not log off at the end of each session. 1 LOADING PUBLICATIONS Publications are loaded under the following headings: Journal articles: If a certain piece of information is not relevant to your entry e.g. the journal does not have an issue number, please say 'NA' where relevant. If that piece of information is not currently known, please say "NK" where relevant, but be sure to update this in the future. - This includes all peer-reviewed journal articles, whether for subsidy purposes or not. - Click 'New Record'. - Enter year of publication. - Type in title of article, or user special entry screen if special characters appear in your journal title. - Title of journal - click on 'GO' and search for the title of your journal. If it is not found click on 'New Journal', enter new journal name, and save. - Authors - click on 'New' to enter an author name. Search for author name, or click on 'New External Author', enter details (must have surname, name, initials and employer - if employer unknown just indicate "external") and save. Indicate the author sequence (first, second, third etc author) by indicating 1, 2 or 3 in 'Author sequence' box. - Student authors - if one of the authors is a UCT student, please follow the above procedure under 'Author(s) who are students'. If the student is external, load them as an external author (as above). - "Save record' when complete. Books: As above, except that extra information is needed on books that will be submitted for the publication count: Target group - the intended audience of the book 2nd/3rd/etc editions - please indicate which sections of the book are new Peer-review - please indicate the publisher's peer-review policy CESM codes (select from list – to be added) If any information is not currently known but will be available later, indicate "NK". If this information is not relevant to the book, indicate "NA". Chapters in books: As above Conference Proceedings: These are divided into 3 categories covering all published conference outputs. We do not include unpublished conference outputs of any kind. Peer-reviewed published conference proceedings count for subsidy purposes and there must be evidence of the peer-review procedure. Load as above. Patents: These are no longer submitted for the publication count, but will be included in the research report. Load as above. Theses: Please load those supervised by yourself, or in your department. You don't need to 'mirror another user' to load these. University Publications and Publications of a Popular Nature: This includes research works that are not peer-reviewed, and are of a more popular nature. Note that separate sub-sections are included for newspaper articles, CDs and online publications. This is a flexible section aimed at allowing the inclusion of publications not catered for by the other categories. Nothing included here will be considered for subsidy purposes. 2 Creative works: The following 3 sections are to include items of creative output not catered for in the above sections - music, theatre and dance are mostly included here. Creative writings: This section includes nine sub-sections. Consultancies and other outputs: This section must reflect a short description of the nature of the activity and the output Motivation for the addition of a journal to the SA list: This forms needs to be completed if you would like to add a journal onto the list of accredited South African journals. A copy of the journal must be sent to the Research Office after the form is completed. 3
