Minutes of December 19, 2000 Libraries Administration Council Meeting Attendees: Rita Broadway Steve Canaday Ian Edward Sylverna Ford Ed Frank Annelle Huggins Denise Keeney Anna Neal Betsy Park Perveen Rustomfram James Singleton Phil Smith Inez Todd Saundra Williams Absent: James Cushing John Evans Tom Mendina Stacey Smith Awareness of Islamic Practices The University is taking steps to try to assure campus-wide tolerance of different cultures and religions. An Information sheet was distributed to the LAC for a better understanding of Islamic practices. Dr. Ford encouraged the LAC to become familiar with this information so that we are better able to accommodate the needs of Islamic employees. Time Sheets We are experiencing problems with time sheets not being submitted on time and incorrect reporting of time. This creates problems for Nancy Massey as she still has a lot to do to prepare the payroll once she receives the timesheets. Every supervisor needs to make sure timesheet deadlines are being met by their departments. Supervisors also need to give closer attention to the accuracy of timesheets prior to signing. Errors that have to be corrected after the sheets are submitted also slow Nancy’s work. Questions regarding timesheets should be directed to Nancy. Master Calendar The IS Department is working on a master campus-wide calendar to be in place by January 2001. The master calendar is intended for everyone throughout the building to use. IS as well as the library’s designated person (s) will be able to put items on the master calendar. Some suggestions for the calendar included: The ALA, TLA Conference dates and information regarding DRA System downtime. Catherine Dodge has been providing basic training on the calendar. We plan to schedule advanced training through IS after the break. Fed/Ex Emerging Technology Complex/ Wilson School of Hospitality and Resort Management The University is building two new facilities, Fed/Ex Emerging Technology Complex and Wilson School of Hospitality, both of which are connected with the Fogelman School of Business. The hospitality building is scheduled to come online 2001 and the Emerging Technology building in 2002. The Dean of the Fogelman School is interested in hearing how the libraries might play a role in either or both of the facilities. Dr. Ford has descriptions of the building projects in her office and anyone who is interested is encouraged to review these descriptions. LAC should think about the opportunities that might exist for the libraries. This will be discussed again at a future meeting. Calendar Committee The Calendar Committee is looking at ways of extending the libraries’ hours. Items on the table include 7:00 a.m. opening, midnight closing, and maintaining regular scheduled hours during semester breaks. Specific departments’ hours will help the committee with their outline. The Department Heads in Public Service areas are asked to forward information on hours as they change over the year. Suggestions and issues related to the calendar should be directed to Ed Frank. Announcements Dr. Ford- The agendas for the LAC meetings will be sent to everyone electronically the Friday before the meeting. Anyone who does not receive the agenda by noon on Monday should contact Inez Todd. Everyone will receive the Minutes by the Friday after the meeting. The Faculty Personnel Committee recommended two positions to be filled. The Collection Development position will report to the dean on collection development and to the head of reference on reference matters. The Access Services position will be located in the Reference Department and will have responsibilities for interlibrary loan, document delivery and services to off campus students. DRA will shutdown during this week and next week. This week’s downtime is for system maintenance. Next week is due to power outage on campus. To find out what systems will be available next week consult the IS web site. James Singleton- Plans are in the works for revamping rooms 225 and 226. New projectors are to be installed during the semester break. Ian Edward- The College of Arts & Sciences has transferred $3000 to the libraries to be used by six new faculty for book purchases. Rita Broadway- Serial records remaining from the Engineering Library have been changed to show Periodicals as the location. Annelle Huggins- We will receive a tape of the UCITA Teleconference toward the end of January and a viewing will be scheduled for those who can attend. Annelle has registration forms available for those interested in attending Legislative Day 2001 on January 30 in Nashville. The registration fee is $25.00. Systems was reminded that whenever work is done on an individual’s computer when he/she is not present, a note should be left advising that work has been done on the computer.
