INFORMATION SESSION
CLASS SCHEDULING PROJECT
(SIM4)
Review:
Results of SIM3 were sent out in January. These results
were based on 200809/200901.
SIM4 will be based on 200909/201001. So any new
information like new course section information, new
instructor unavailability, new department meeting, new
course combination (non-conflicting courses) needs to be
submitted.
Also, any changes in information from 200809/200901 to
200909/201001 should be submitted like instructor
unavailability changes, meeting change, course section
information change and also the course combination (nonconflicting courses) changes.
If the information remains the same as previously
submitted, there is no need to submit any forms.
Cross listed course sections and their details are
downloaded from Banner. There is no need to submit this
information to us. Instructor attachment to Course Section
also comes from Banner. Any modifications after the cutoff date need to be informed by email.

We are booking into departmental rooms the courses
offered by the department that owns the room.
You may have already noticed that the CRNs have been
rolled from 200809/200901 to 200909/201001. This means
that for section of a course the CRN is same as in previous
year.
Any timetable changes in simulations do not effect the
forced times currently on Banner for 200909/201001.
The schedule is run with the information we have up to
Jan/Feb and gets loaded into Banner in March. Any
changes that need to be done after March will be handled in
the same way as it is done now.
Department Unavailability Form
Information required in case a new form is being
submitted:
SLAEVNT # (if existing) – Provides us details
about room and time already in Banner
All/selective instructors attending meeting
Changes to information provided in SIM3:
Cross out the details which have changed; add the
new details (SLAEVNT, Day/Time, Professors)
on the same sheet and submit to us the hardcopy.
Instructor Unavailability Form
Information required in case a new form is being
submitted:
If Instructor wants 2 specific days like Mon, Fri
for research, they should be entered as Mon, Fri
or Mon & Fri instead of Mon-Fri.
If the Instructor is flexible about any 2 days for
research, this can be specified in “Other
Comments” section. This will produce a better
schedule for the departments.
Example: An instructor has been teaching 2x15
course section which used to be scheduled on TR.
His research days were MW. With the new
pattern system if his section could be only
scheduled on MW because of the other
constraints. This will result as a problem or reject
from the software. However, this section could be
scheduled on MW and the instructor could take
any 2 days from the rest of the week as his
research days.
By default the instructors are listed as “No back
to back teaching allowed” in the software unless
otherwise specified by the instructor/department.
Sometimes we may override this if the instructor
is teaching too many sections.
The system has also been set to prefer a 3-4 day
teaching schedule for instructors.
Changes to information provided in SIM3:
Cross out the details which have changed; add the
new details on the same sheet in Part C and
submit to us the hardcopy.
Course Section Information Form
Information required in case a new form is being
submitted:
Part A, B: Required fields must be indicated on
the form.
Part C: Time and room constraints for the Course
Section are provided in this section Ex8
Examples: Feeder courses (courses with large
enrolments that are in a program with low student
count) must be scheduled between 9:30 am and
4:30 pm
OR
Course Section needs to be scheduled in the
Video Conferencing Room.
OR
Seminar must be at a certain time because there
are guest speakers from outside the University
Part D: Details of the section that are tied to the
section listed in Part A. Choose one or multiple
Tie Constraint Type(s). Ex9 If many sections have
same ties they could be listed as CRNs (Section)
separated by commas.
Example: A conference section that must follow
the lecture section in the same room, same day
OR
Two sections that need to be scheduled at the
same time but in different rooms.

new details on the same sheet in Part G and
submit to us the hardcopy.
Course Combination (Non-Conflicting
Courses) Information
New information:
The non-conflicting course sets can be prepared
in an excel document and submitted to us. The
counts are very important to produce a better
schedule.
Changes to information provided in SIM3:
Course Combination courses should be checked.
If a new course is added/deleted for Fall 2009 /
Winter 2010, then we need to know which course
combination should be modified. Cross out the
details which have changed; add the new details
on the same sheet and submit to us the hardcopy.
