Assistant Director of Housing Services Division of Student Affairs Department of Residential Education and Housing Services The Assistant Director of Housing Services is an integral part of the Student Affairs team and provides comprehensive oversight, direction and occupancy management in the student housing program. The Department of Residential Education and Housing Services works to establish an atmosphere conducive to living the mission of Occidental College. The mission of Residential Education includes heightening the awareness of issues of diversity, with the goal of increasing the level of understanding and respect between people. This pluralism extends to all members of the Occidental community, offering opportunities for engagement and interaction within the residence halls. The Assistant Director of Housing Services, under the direction of the Associate Director of Housing Services, will assist with the development and implementation of policies regarding license agreements, billing, occupancy, assignments, record maintenance, assessment activities and facilities management for approximately 1,700 students in 13 halls and two off-campus houses. The Assistant Director of Housing Services will work directly with the Assistant Directors for Residential Education to ensure the effective functioning of the capacity and facility management of all residential spaces. RESPONSIBILITIES: Responsibilities include, but are not limited to: ADMINISTRATIVE/OPERATIONAL DUTIES Keep accurate records of occupancy, assignments and vacancies and reconcile as needed. Prepare reports as requested (occupancy, assignments, vacancies, revenue and projections). Coordinate all room changes and associated paperwork in assigned halls. Coordinate the Room Draw process for returning students and solicit feedback from staff and students. Coordinate room assignment and placement of incoming first-year, transfer and international students. Coordinate Summer and Winter Break housing Coordinate the Bed Lofting process, maintain appropriate forms and student correspondence. Coordinate database (BANNER) related projects such as new reports, data entry and billing. Manage Vendor services and repairs such as Laundry, Direct TV, Micro-Fridge and new contracts. Assist with the successful implementation of special interest programs in various thematic living spaces. Work with student managers for The Green Bean student run coffee shop to train and manage proper inventory and sales tracking. Share rotational on-call responsibilities, serving the entire campus community. Respond to facilities and other campus emergencies as available, including bed bugs, fires, floods, windstorms, power outages and other concerns. Manage the emergency supplies for the residence halls, update, distribute and track as needed. Disseminate necessary information to staff and residents through meetings, department website, campus newspaper, and email list-serves. Be aware of and actively encourage safety within the assigned area. Follow-up with ongoing security concerns such as propped doors, maintenance issues, etc. Assess physical condition of residence halls, documenting and follow up with issues or concerns. Effectively distribute and maintain records of student room keys. Be available to staff and students during the day and evening duty and office hours. Serve as a liaison with Facilities, Campus Safety, Conference Services, the Card Office and other offices on campus. STAFF SUPERVISION, TRAINING & EVALUATION Actively participate in the planning and facilitation of training sessions for undergraduate para-professional staff. Trainings include, but not limited to: Graduate Hall Coordinator, Mentor Residential Advisor, Resident Advisor and departmental InServices. Supervise Graduate Hall Coordinator assigned to Housing Services. Assist in the development and implementation of the Resident Advisor selection process and RA workshop. Provide ongoing feedback to staff through a mid-year formal evaluation. Assist staff with managing conflicts in a positive and productive manner. Assist staff with problem-solving, conflict mediation, and crisis management in the residential community. COMMUNITY DEVELOPMENT Actively encourage the concept of educational programming by serving as an information source, program presenter, motivator, etc. Supervise the staff in meeting program expectations as outlined in the staff manual. Participate and encourage staff and students in ongoing interaction with faculty associates. Actively participate in programs held by the department. Identify students with personal, social, academic or disciplinary problems and assist them with such problems conscientiously and appropriately either directly or through referral to the Emmons Health & counseling Center or other community resources. Take lead role in managing crisis situations. Oversee successful implementation of special interest programs in various theme halls. JUDICIAL MANAGEMENT Serve as a conduct officer within the Office of Student Conduct. With the assistance of the Dean of Student’s Office, coordinate the campus response to off campus conduct and hear cases as appropriate. Serve as a hearing officer for Title IX cases and other hearings as needed. Support Community Directors and residence hall staff in taking appropriate actions when dealing with students whose behavior needs to be limited or corrected. CAMPUS SUPPORT Be available to assist and support with campus wide programming efforts (OxyEngage, Orientation, opening and closing, etc.) Attend important campus community events (Orientation, Convocation, Homecoming, Graduation, etc. Serve on Campus committees, task forces as needed. Support Student Affairs initiatives, programs and activities as needed. OTHER DUTIES AS ASSIGNED Be available and open to participating in other activities as needed. QUALIFICATIONS: Master’s degree required in higher education administration, student development, counseling or related field. Two years of professional experience in residence life or housing is preferred. Strong knowledge and experience in judicial affairs is preferred. Strong leadership ability and excellent communication skills is a MUST for this position COMPENSATION: Competitive salary and full benefits package.
