Cony All-Sports Boosters August 5, 2013 Attendance: Steph Benner, Lisa Caron, Holly Daigle, Karen Douglas, Maureen Elwell, Wendy Gagne, Aaron King, Erin King, Tammy Lapierre, Marc Levesque, Gretchen Livingston, Bob Moore, Jan Murphy, Ann-Marie Neill, Gigi Ottmann-Deeves, Brenda Pridham, Merrilee Rohman, Wilbur Shadow, Linda Simard, Lorraine Kingsbury Call to Order: by Jan Murphy - Chair Secretary’s Report: The June 2013 Secretary’s Report was reviewed. Linda Simard made a motion to accept the minutes, Gigi Ottmann-Deeves seconded the motion and all were in favor of accepting the minutes as read. There was a question regarding the outcome of the discussion about athletic jackets for state champions as no one could remember the final determination, the topic will be discussed at a later meeting. Treasurer’s Report: Bob Moore provided a written report, which reflected the income and expenses for each team, activity and event. The 2012-2013 expenses were $107,244.55 and the income was $120,415.59. The ending balance of the 2012-2013 financial year is currently $13,171.04. There is one outstanding bill, which is for the green fees from the Golf Tournament. The balance from the 2012-2013 sport seasons will be transferred to the savings account as soon as funds are raised to begin the 2013 – 2014 seasons so that the monthly treasures report will reflect the expenses and income for the current year. The funds transferred along with funds from the Hoop Classic and Team Cony are used for large-scale projects and/or unforeseen expenses. A few examples of past purchased are the lights and scoreboard in Alumni Field as well as new seating. Bob thanked all the team representatives, parents and the coaches for all of the time and dedication given during the 2012-2013 sports season to support all of the sport programs and booster activities. Bob discussed some of the areas we could focus on this year to boost our income, which included the Sports Programs and the SCRIPT Program. Maureen Elwell suggested that parent have the opportunity to put an add in the program as well, which may be especially appealing to parents of seniors wishing them luck in their last sports season as a high school player. Some parents have purchased ads in the school year book to wish their student luck and success in the future. Concessions – Concessions bring in the majority of the income. Bob reminded team reps that two people should be counting the till together at the end of the business day as a checks and balances procedure. All money, receipts, and expenses should be recorded on an income report forms and turned into Bob Moore ASAP after the event so that the funds can be deposited and reflected in the following month’s treasure’s report. All receipts need to be turned in as well so the expenses and income can be accurately recorded to reflect operational costs and profits for each activity and event. This is especially important when funds are used from the till to purchase additional supplies. Bob responded to a question asked about how the gate fees are used. The gate fees go directly to the City of Augusta and are used to cover the cost of routine maintenance for the sport fields, roads, lights, water, etc. Wendy Gagne made a motion to accept the Treasurer’s Report, which was seconded by Tammy Lapierre and all were in favor. Athletic Director’s Report: Paul Vashon was unable to attend, but asked that people be informed about the mandatory parent meeting on Sunday, August 18th at 6:00 p.m. for any athlete trying out for a fall sport. Paul also asked that people be informed that the Homecoming football game is scheduled for Friday, September 27th at 7 p.m. against Lawrence. More information regarding Homecoming will be discussed at the next Boosters meeting. Old Business – USATF Track Meet August 10th – Team reps need to contact parents ASAP to find people willing to work and provide food. Below is a list of team coverage of the concession stand and team food assignments. August 10th - Concession coverage assignments: 7:00 a.m. – 10:00 a.m. – Swimming and Track 4-5 people from each team 10:00 a.m. - 1:00 p.m. – Field Hockey and Girls Lacrosse 6 – 8 people per team 12:00 p.m. - 3:00 p.m. – Baseball and Girls Basketball 6 – 8 people per team 3:00 p.m. – 6:00 p.m. - Boys and Girls Tennis and Cheering 6 – 8 people total Food Assignments: Boys Soccer – Girls Soccer – Ham Italians Pasta Salad Boys Lacrosse – Boys Basketball – Golf – Football Softball Hockey Volleyball Wrestling Turkey Italians Fruit Salad Trail Mix Ham Italians 3 crock pots (chili, chop suey, mac n cheese, etc.) 3 crock pots (chili, chop suey, mac n cheese, etc.) Fruit Salad Pasta Salad ** All food should be brought to the Alumni Field Concession Stand between 7:00 a.m. and 10:00 a.m. Italians should be hot dog roll size and individually wrapped. Trail mix should be in baggies. Fruit salad and pasta salad should be brought in disposable foil pans and will be sold in cups at the concession stand. Merrilee Rohman is replacing Stacie Downs as the Girls Tennis Representative. Karen Douglas is replacing Maureen Elwell as the new secretary. Jan Murphy reported on the Celebrity Waiter Dinner. People that attended had a great time and everyone was encouraged to attend next year’s event. A $5300 profit was made at this event. New Business – Booster Rep Training & Informational Session will take place at a later date. Drive-Out Cancer Week – Holly Daigle reported that due to the fact that there is only one week of preseason practices before the start of the new school year it was impossible to schedule games before the start of the regular season like in years past. The Field Hockey Team will play Gardiner on Saturday, September 21st. Other teams willing to participate need to contact Paul Vachon so a date can be scheduled ASAP. The football teams will not be able to participate this year due to the fact that they now play Gardiner in the regular season. If other teams will be participating Holly is willing to order t-shirts for them. Coaches need to let Holly know if their team will be participating after you receive confirmation from Paul that a game has been scheduled. Football Concession Stand: Teams picked on of the Friday night Snack Stand. Reps are responsible for finding parents to work. It takes approximately 12 people to work each Friday night due to the large crowds the football games draw. The concession stand set up will be done for you before each crew of workers arrive. Please have parents arrive by 5:00 pm. Friday night games: August 30th – (vs. Mt. Ararat) – JV Football September 13th – (vs. Brewer) – Cheering and Volleyball September 27th – (vs. Lawrence) – Boys & Girls Soccer (Homecoming, need extra people) October 11th – (vs. Hamden Academy) -Girls Tennis October 25th – (vs. Gardiner) Track & Cross Country (Need extra people) Homecoming Week – will be held the week of September 23 – 28th. Ram Cards – Sue Caron will be at Cony on August 26th and 27th from 6:00p.m. – 7:30 p.m. in the lobby to distribute Ram Cards to team representatives. Please bring a copy of your team’s roster when picking up cards. Each athlete playing a fall sport will be required to sell 4 Ram Cards. It is very advisable to have players pay for the RAM CARDS before handing them out. Booster Books- Jan reported that the Booster Books raised approximately $1500 last year. This could raise more money if more ads were sold. Contact Sue Brannigan for more information regarding ad pricing and how businesses/parents can place an ad. Jan Murphy thanked Tony Dumont for putting up some brackets to hold the 2 x 4’s that secure the boards over the windows in the concession stand. This will eliminate the need to have a custodian having to remove the screws each time the concession stand opens and replace them when it closes. Due to Labor Day falling on the first Monday of the month, the next boosters meeting will be on Monday, September 9th in room 303 at 7:00 p.m.
