Experiential Education Committee of COCP is responsible for management and overseeing of all three
modules of Experiential Education such as IPPE-1, IPPE-2 and APPE. The committee operates according to
its roles and responsibilities, following Standard Operating Procedures (See Annex for Roles and
Responsibilities and SOP’s)

1. PURPOSE

Committee for ExperientialL Education
All Personnel of College
The purpose of Experiential Education Committee is to formulate and implement
policies and procedures for outcome oriented academic administration of experiential
programs of the Pharm D study plan. It also search, select and evaluate program sites
for experiential education and coordinate with external preceptors.. The committee
helps to identify areas of excellence and deficiencies of different training sites and
provide assistance for implementation of programs to the external preceptors and helps
to initiate/improve clinical pharmacy practice at the site, wherever required. A
subcommittee constituted by the Chair, deals with any administrative and disciplinary
issues emerging during the program implementation .


2. FORMATION OF COMMITTEE
2.1 Appointment of Committee Members
The committee will be formally appointed and approved by Dean no later than the semester prior to the term in which
a student plans to start course or program. Earlier appointment is strongly encouraged and may be required to
continue with proper intimation.
The Notification of Appointment of committee members can either be printed as is or typed separately. Notifications
should be sent to all members in both hard and soft copy with a proper acknowledgement receipt of it. Along with
notification of appointment, Responsibilities and duties should also be enclosed.

3.1 Committee structure and Operation:
3.1.1 Head of the Committee:
3.1.1.1 Head of the committee will be appointed by the Dean, who will have appropriate qualification,
credentials and experience in Clinical Pharmacy
3.1.1.2 Chair all the meetings, flexibly leading through meeting agendas, supporting all the views
impartially
3.1.1.3 Responsible for all training activities within the program, in addition to Experiential Experiences
3.1.1.4 Delegate duties to different members for specific program, after discussion in the committee
meetings
3.1.1.5 Write annual reports regarding committee activities
3.2 Coordinator of the Committee:
3.2.1 Arrange the committee meetings, at least once a month, with agenda items, suggested by any
member of the committee, any faculty member or by the Chair .
3.2.2 Record minutes of meetings and disseminate to all concerned
3.2.3 Follow up action on recommendations made by the committee and present in the subsequent
meeting
3.2.4 Coordinate with the program/training site administrators for administration of the program
3.2.5 Address day to day issues during the program, with guidance from the head of committee
3.3 Members
3.3.1 Three to four members will be nominated by the Dean, after discussion with the Head of
committee
3.3.2 A representative of college administration will be ex-officio member of the committee
3.3.3 Among the members from the faculty, supervisor for each Experiential/training program will be
appointed by the Head of the committee, who will be responsible for monitoring the program,
3.3.4 If the supervisor of an Experiential/training program is outside the committee, he will be an adhoc member of the committee for the duration of that particular program.
4. ROLES AND RESPONSIBILITIES
4.1 Before start of Experiential program:
4.1.1 Selection of program site and Training of preceptors:
4.1.1.1 Survey and search for prospective experiential program sites for above programs, for both
male and female students according to increasing number of the students
4.1.1.2 Visit the prospective sites and introducing the objectives and activities of the program to get
the approval from the site administrator, well before time
4.1.1.3 Work for making contracts with the program sites, according to the University rules and
regulations
4.1.1.4 Make recommendations for all above to the Dean for approval and for future planning
4.1.1.5 Design and implement orientation and training program for new/prospective preceptors,
from COCP or from external sites
4.1.2
Selection of Students and orientation:
4.1.2.1 Make the uniform criteria for students' selection for placement at different sites, according to
University guidelines or College rules regulation for APPE,
4.1.2.2 Implement Selection criteria with firm and fair policy
4.1.2.3 Arrange orientation for each experiential education program for the target students, well in
time
4.1.2.4 Hold Orientation of Internal preceptors regarding outcome oriented experiential training,
monitoring and assessment of students during the program

4.1.3 Selection of Program supervisor for each training program during summer semester
4.1.4 During Training (for each program supervisor):
4.1.4.1 Monitor the students punctuality and regularity, and professional behavior
4.1.4.2 Motivate the students for active learning during the program
4.1.4.3 Monitor the achievement of training specific objectives as designed by the relevant academic
department, in collaboration with the preceptor
4.1.4.4 Allocate any training specific assignment, to the students and arranging for follow up evaluation
(presentation in the college) after the training.
4.1.4.5 Monitor the implementation of the assessment program of the training, if applicable.
4.1.4.6 Collect the final assessment of the trainee from the site preceptor
4.1.4.7 Write and submit report to the Head of committee after completion of Experiential Education
program (summer training), consisting of students results and recommendations for
improvement of the program

Execute any other Experiential/Clinical program, as suggested by the college academic
council/Academic Department and approved by the Dean
Assist the Department of Pharmacy Practice in compilation and printing of APPE and IPPE
manuals, and their review, based upon feedback from students and stakeholders, and recent advances
in Pharmacy Practice.
Initiate and maintain liaison with all training sites( hospital) in Al-Ahsa region, and will assist these
for provision of clinical pharmacy services to the community by appointing part time clinical staff at
the site.

5. STANDARD OPERATING PROCEDURE
5.1 Meeting Schedule
Upon formation, there will be formal meeting to decide the schedule of meeting during the academic year. A
minimum of 1 meeting to be held during one month. An instant meeting could also be arranged, when necessary
5.2 Procedure to Conduct Meeting
5.2.1 Scheduled meetings
The coordinator officially sends detail of Date and Time for scheduled meetings to all members.
5.2.2 Called Meetings
The chairman officially calls other meetings apart from scheduled meeting as necessary.
5.2.3 Attendance
Only committee members and invited guests may attend scheduled or called meetings. Any absence
should be properly addressed in writing to chairman with proper reasoning.
5.3 Agenda of meeting
5.3.1 Preparation of Agendas
The agenda should begin by stating the Committee’s title, the date, time and location of the meeting.
5.3.2 Content of the Agenda:
The agenda should normally follow the order below:

Matters Arising
Any action points recorded in the previous minutes and the progress on those action points should be
reported back to the committee. The item title and the minute number should be listed as well as the
individual responsible. It is the responsibility of the co-ordinator to remind individuals with action
points that they need to report back at the next meeting.

The substantive agenda items
The paper number of any papers to be presented/ received should be typed right justified.
4.
Any Other Matters
At the end of the agenda members should be reminded that the co-ordinator must be notified of any
items to be taken under Any Other matter at least 24 hours before the meeting. Normally, no resolutions
or actions may be approved under current meeting. If a decision is needed the item should be carried
over to the next meeting and taken as a substantive agenda item.
5.3.3 Dissemination of Agenda
The agenda and any papers is circulated to all members and to the Dean, at least five working days before the
meeting (except by prior agreement with the Chair).
5.4 Minutes of meeting
5.4.1 Recording minutes of meeting
The coordinator will record and keep minutes of all the meetings. These records are kept in a file cabinet maintained
by the coordinator of the committee. Also, the Deans’ office has a copy of the minutes of meetings.
Minutes are to be prepared as per the sample attached, within 3 working days after the meeting. [Encl no.1].

The task to be identified whether it is external or internal
5.4.3.1 If it is internal task to be accomplished, Head of the Committee will make official related documents and
circulated internally for immediate action.
5.4.3.2 If the task in external, a formal letter will be drafted by co-ordinator and it will be further processed by the
Dean’s office.
5.5 Committee Papers:
All papers received by a committee must state:
5.5.1 a paper number comprising of the committee code, the paper number and the year. This should be placed
in the top right hand corner of the paper - it is best placed in the header of the page;
5.5.2 the Committee it is to be received at;
5.5.3 the date of the meeting;
5.5.4 the agenda number and the title of the item;
5.5.5 the author should be identified at the end of the paper and the paper dated;
5.5.6 each paragraph in the paper should be numbered where appropriate;
6. PREPARATION OF THE ANNUAL REPORT
At the end of each academic year, committee head will prepare an annual reports highlighting all the details
of activities during the year, according to the following format
