Information Services and Resources, Dana Porter Library Departmental Meeting April 16, 2010 Lib 428 Minutes Springer update in LIB 428. detailed info on usage the CRKN license renewal the new SpringerLink platform the Springer OA deal with the UC system The new licence agreement is valid until 2012. In the current deal, there are 1,692 titles for 2010. This is an increase of 30 new titles in 2010, and 53 new titles from 2009. Most of the requests for Springer content do not originate from the Springer platform (85%). Of the requests that are unsuccessful, 92% are for archival material. The Beta Springer platform launch (betaspringerlink.com) will be June 15. The open access potential has not yet caught on. Springer reports that there is less than 1% or authors that have taken the option ($3,000 and the article becomes open access). YBP / Coutts Update YBP: virtual mode, series, multivolume sets Coutts Update Present: Annie Bélanger, Helena Calogeridis, Nancy Collins, Jane Forgay, Tim Ireland (recorder), Christine Jewell, Sandra Keys, Leeanne Romane, Margaret Yuen, Agnes Zientarska-Kayko Notepad – Nancy Nancy reported on a concept to help students remember assistance given to them at the information desk. The idea is to have a notepad that has a copy of the library homepage. Reference desk staff can then circle the starting link, and potentially the back of the notepad could be used to provide additional way finding. The idea was met with enthusiasm. If possible in the outreach budget, these will be provided to the information desks. YBP – Annie The YBP migration has been progressing. Selectors are to try and determine how successful their new profiles are and be proactive in making adjustments. It was noted that examples of material that does not fit the profile will make the “fine tuning” a lot easier. Outstanding items from the transition include books purchased in series and multi-volume sets. Currently uWaterloo is going to be operating under one massive profile, but exceptions could be made for specific ranges that may require additional attention before being approved. Examples of these special items include atlases and pictorial books. To meet these needs an additional smaller profile may be created after review. It was noted that by accepting books via the virtual selection process there will be significant savings. Currently, there are return rates of between 3% and 27% for different profiles. Annie offered an overview of the current process for approval books. Shipped Sorted Shelved Processed Sorted Sent to cataloguing or returned Boxed for return There is both a direct financial saving (not having to pay for shipping [both ways]) and a substantial savings of staff time in the processing [in Acquisitions]. The virtual process will include book covers and reviews (when available). When e-books are published at the same time, a complete review of the e-book can occur. Annie and Jennifer will be working with YBP to tailor note fields for selectors. Note fields of interest include notes to discard earlier editions, RUSH processing, and specific shelf allocation. Books ordered through YBP receive a 17% discount. RUSH Orders do not receive the discount. It is also expected that selectors will be able to access reports to keep them up to date with profile spending. The overall YBP profiles and the virtual shelf pilot will undergo a review in November. Selectors are to monitor books that fall outside of the plan as well as material that they do not want that is being picked up by the plan. Heather (from YBP) will once again be available to assist in the streamlining of the plan. There was also concern expressed by books that do not fall neatly into the LC classification. Currently, the Blackwell profile is picking up material through keyword processing. It is expected that this will be picked up by modifications to the profile. As well, when applicable, the overarching tags will be used or the “aspects” questions (e.g. send philosophical aspects of BF353 to PHI). When selectors are interested in material that falls outside of their profile they can search on their own, select the item and select it. If it is not in GOBI, they continue sending material to Vera. It was noted that selectors will have to be attentive in the ordering process, as UK and US editions will be made available at the same time (and generally UK editions are more expensive). Likewise, selectors will have to monitor if they are getting hardcover or paperback editions. Some of the different levels of collection can be applied to different parts of the plan. For example, selections include: research essential, research recommended, and basic essential. It was initially expected that the new system would be live May 1’st. The new target date is May 24th, with the official switchover occurring June 1st. Coutts Annie has been in contact with the representatives from Coutts. There were some problems when the Coutts profile was turned back on after the freeze. Any ongoing concerns should be e-mailed to Annie. We will discuss more at the next meeting.
