Yes. President’s Opening Comments: Departure from normal protocol. Honored and humbled to have been elected as President. Several significant and unique challenges this year that will have a long-lasting impact. Confident in the experience and wisdom of BOD. Four are taking training Friday. Success: Focus on fixing problems; not fixing the blame. As President, I am not allowed to vote except to break a tie and cannot participate in debate on a motion unless I surrender the gavel. Good news is this means the meetings could be a little shorter. Bad news I will still have plenty to say. Budget status: We have to revise the budget for the year mainly regarding Legal expense. We have paid our lawyers a total of $4,475.12 so far and I have a bill currently for $2,844.50. Which will bring us to a total of $7,119.62 YTD. I will call a meeting of the budget committee and we will present our recommendations to the board at the next meeting. President’s Report: Rich Moyer Mediation Status – Deadline from the state (DBPR) was Jan. 17, 2015. I hand carried petition and supporting paperwork to B&P on Jan. 6, 2015. B&P overnight mailed package to DBPR Friday Jan. 16. It was a three-day weekend so package was received Jan 21. Received Letter of Denial Feb. 12, 2015. On Feb. 25 B&P made calls and sent formal letter explaining that we are within the legal requirements of FS 723. Verified that DBPR received that letter. B&P trying to contact DBPR again. Sun Communities Status: A couple weeks ago Ellen said settlement delayed until mid-April, maybe early May. John Rynkewicz told us a month ago that all vacant lots in all communities must have a house on them before closing. Speculate that this is causing the delay. 55+ Community Registration: Received word through FMO channels that The Hamptons 55+ Community registration with the State expired in July 2014. We contacted Florida Parks and verified that it was renewed three weeks ago (probably due to Denny Flynn or Mike asking about it). Even though the prohibition of children residing in the Park is included in our Prospectus, this registration is necessary. Automation Committee: Need to get the master database working better for all requirements. Establishing special committee to study and research. What data do we collect? What it is used for? Who uses it? How do we allow open access (read) to all BOD? What hardware platform should we use? What software should we use? Can we limit write access to limited members of the BOD? How do we ensure security of data? Etc.? Committee to make recommendations by end of October so that requirements can be included in 2016 budget. May find that (a) residents not enough technical savvy to conduct the studies effectively, (b) recommend hiring a professional company to design architecture. Committee Reports: Membership: Mike Barry. HOA membership as of 3/17/15 496 members 59.2 %.Sixty-five 2014 members have yet to join for the 2015 season. 2014 membership was 481 or 58.1%. Communications: Mike Barry. He has 658 working email addresses and 30 bouncing. If you have not received any email lately, contact Mike and provide him with your email address. Web site: Sherri stated it is back up and running. Resident information database: A few residents when first purchasing a home here did not list a birthday(s) or wedding anniversary on the resident questionnaire that the community office generates/provides to the HOA. Any resident desiring that data to be published in the Hampton Herald needs to let Mike Barry know of those dates. Some residents did not have a local phone number listed at time of purchase, but did later get one. Please contact Mike B., if your number has changed since you fill out the questionnaire. We will also have them at Monday Coffee or Tuesday Bingo or call Linda Kidd 667-2929. There are some errors. So please check the book and notify Bonnie or Linda with any corrections. We will try to put out a list with any corrections. If you wish to purchase an additional one there are $5 or you can join HOA and get one free. Welcoming: Bonnie Byrne The committee is chaired by Mary Ann Valentine. She is a very hard worker. Her committee has welcomed 7 full time residents and still has 4 to be welcomed and 10 part time residents with 25 to be welcomed. Our greatest problem is still getting in touch with the part time residents. The committee is trying to contact residents. Hopefully all will be welcomed soon. Calling a basket filling and putting updated welcome books get together next week and handing out them out to 4 new part time homeowners. The welcoming persons are as follows: Full time 18, an increase of 1; Part time 5 an increase of 2 The baskets are a great asset to welcoming new residents to our community. By – Laws: Bob Miller Bob Miller and Denny Flynn will review the By-Laws and make any necessary recommendations to the Board by Oct. A notice will be put in Hampton Herald asking resident to review the By- Laws and bring any changes to either Bob or Denny Flynn to be considered before Oct. By-Laws made be found on the web site. Recycling: Bob Miller “The Can Man” Paper and Can recycling. We have a new company for the papers. They accept papers, junk mail, and magazines but not phone books as previously stated. NO cardboard or plastic in the dumpster. Cans will be taken Friday. There was a great increase over the weekend. Keep on drinking. Helpers in the can shed are Mike Goerke, Terry Stanley, Charlie Pantera, Rob Shepherd, Herb Townsend, Carol Jasper, Shirley Schell, Dennis and Sharon Loftis, and Ed Fahey. Truck providers for hauling to recycling are Rich Moyer, Lex Turnbull and Bubba Gaw. Bob thanks them for their help. Nominating/Election: Ron Peach Nothing to report since we just had the elections. Ron reminded everyone to think about whom you might like to nominate in the fall or you would like to run for a board position. Homeowner Concerns: Denny Flynn and Mike Barry. Dirty houses, bad yards, swimming pool issues, pets, excessive vehicles parked in parking lot and golf carts. These problems are always on going. People need to take pride in their homes. Safety/Security: Dennis Mountain Please check your post light before you go north, also check others in your neighbor hoods. Replace light bulbs and check sensors. Speeding and running stop signs are the biggest problems. Someone is going to be seriously injured or worse. A bike and car almost collided. Bikers, golf cart drivers, cars and truck you need to stop at the stop signs. HOA Events/Activities: Linda Kidd I would truly like to thank Donnie Olesky and her committee for the wonderful Appreciation Party March 14. I have heard nothing but praises about the decorations and food. Hall of Fame: Linda Kidd Woody Woodfield 524 Bayshore Dr. was this year’s winner. Woody has been in the park for over 18 years. He has contributed many hours at the pro shop/golf course, chaired the Golf cart parade/party, Texas hold’m, and many other functions. You can find him behind the scenes most of the time. If he sees something or someone needing help he is there. I was very proud to have been able to award The Hall of Fame to Woody. A well deserving man of this award. Old / Unfinished Business (from General Membership Meeting): 1. Defibrillator : Assigned special committee to conduct additional research. Will address with Sun Communities post-settlement. This committee will make recommendations to the BOD at the October meeting. 2. Resident Photo Album; Tasking Directory committee to research resident interest and cost. Report at October HOA BOD meeting. 3. Timing of trash collection. HOA Concerns Committee addressed with Park Manager. Emily contacted Trash Taxi. Better now? But monitor over time. 4. Quorum for General Membership meeting. By-Laws Committee to review specific language of FS 723. Advise the BOD at October meeting of recommended changes. 5. Problem with former residents purchasing event tickets before residents. Tasked Concerns Committee to address with the Park Manager. Residents must understand different sources of tickets for different activities. New Business: Bob Miller Issue is port-a-potty near 13th tee. It needs to be hidden from view. Eye sore for home owner and other street traffic. Motion made by Bob Miller to build some kind of cover to hide port-a-potty. Seconded by Dennis Flynn. Discussion None. Motion carried unanimously. Resident Comments: 1. Gary Shiplett 528 Astor Way/609 Tulip Circle West: Can a special committee be formed for cleaning up of properties? We explained that several failed attempts had been made in the past. 2. Don Griffin 465 Goldenrod Circle North via Gary Shiplett: Lot is sinking causing damage to foundation to crumble. The Concerns Committee was tasked to look into this problem and see what can be done. 3. Jeanine Blow 164 Southampton Blvd: Who Emily? We explained that Emily is the Park Manager and, as such, is responsible for the operation and maintenance of the park. Minutes not posted on web site. The Secretary was tasked to resolve this problem. Speeding of Newspaper delivery person and FedEX/UPS Trucks. The Concerns Committee was tasked to contact the Newspaper about their driver. 4. Sharon Ross 699 Royal Forest Dr: Recommended Speed bumps. Had a question concerning Lawyers getting paid. She was assured that the lawyers will not be paid for any unsatisfactory work. 5. Phil Kerkhoff 345 Waldorf Dr: Requested a Bocce Ball court cover similar to that on the Shuffleboard Courts. The Concerns Committee will address this with Sun Communities. 6. Tim Kidd 227 Golf View Dr: FMO rep. 145 paid members. Legislation issues. How FMO works in Tallahassee for the homeowner. 7. Al Mellone 561 Southampton Blvd: No lights in the back. Need to put something other than one little solar light to light the area. Denny Flynn provided the history on this ongoing effort. Two young men approached his wife 9:30 PM looking for hogs. Why weren’t residents notified of hog hunters? Tasked the Concern Committee to address with Emily to provide notice beforehand. 8. Jeanine Blow 164 Southampton Blvd: Front gate open for several days. Tasked the Concerns Committee to address with Emily. Suggested that current manager obtain a key to the gate as previous managers have had.
