THE POSITION Serving as a vital member of Valor’s Operations Team, the Office Manager will work to provide responsive, service-oriented support for scholars, families, visitors, and staff at both of Valor’s middle schools, which currently share one campus. This individual will be the face of the school and will play a critical role in supporting a positive and nurturing school culture. Responsibilities will include greetings visitors, supporting scholar recruitment, managing enrollment paperwork, and communicating with families. The Office Manager will truly own the front office – both the physical space and the important function it plays in a high performing school. Additionally, the Office Manager will assist the Director of Operations and the Operations Associate in creating and managing noninstructional systems for Valor schools. This operations work spans the entire organization and includes such functions as facilities, technology, scholar information, finance, HR, transportation, and food service. KEY RESPONSIBILITIES SCHOLAR INFORMATION: Track daily scholar attendance in multiple information systems Create, maintain, and update scholar data and cumulative files/records Generate data and reports to trigger attendance/tardiness interventions COMMUNICATIONS: Greet families and other visitors Coordinate mailings, automated phone calls, and other messages Perform general clerical duties including answering the main school phone line, distributing messages, and processing mail SCHOOL OPERATIONS: Create an organized, service oriented front office Manage collections of payments for meals, supplies, and uniforms Support food service data tracking and accounting SCHOLAR SERVICES: Administer basic first-aid, distribute medication, and maintain student injury reports Supervise small groups of scholars before school, after school, and during activities QUALIFICATIONS The ideal candidate for the Office Manager position would be a bi-lingual professional with previous experience in administrative/reception roles who thrives in front line, high-energy environments. REQUIRED: Bi-lingual abilities (Spanish or other) 2+ years of professional work experience in a customer facing environment Friendly demeanor with a knack for building and maintaining relationships Experience working with a diverse population of adults and children Excellent oral and written communication Detail oriented and extremely organized Proficiency with technology and a willingness to learn new systems Comfortable with ambiguity and the dynamic nature of a start-up school environment Strong work ethic and a determination to help students succeed STRONGLY PREFERRED: Experience working with public school students and parents Previous involvement in the Southeast Nashville community HOW TO APPLY Interested applicants should email their resume and a cover letter to Lauren Smith at jobs@valorcollegiate.org.
