Fieldwork does not include activities such as distance education, student exchange programmes, documentary research in archives, offshore teaching at other institutions or similar activities. Travel to and from conferences is not considered to be fieldwork. Refer to the separate supplements for guidance on health and safety in clinical placements and overseas fieldwork, as they are not specifically addressed by these guidelines. Project work (eg final year thesis) at a non-University of Sydney workplace is considered to be fieldwork, as is any work placement that the school arranges for students. Research performed at non University of Sydney workplaces is also considered to be fieldwork. References The University of Sydney uses WorkCover's Risk Matrix for its risk assessment. The relevant documents (which contain the matrix and instructions on how to use it) can be found in University's ohsrm program Tasks/Responsibilities Require that at the start of semester all thesis projects are accompanied by a risk assessment and state whether or not they involve fieldwork. HOS Keep records of all staff and students currently doing fieldwork. Office Steps for Working at Another Workplace What is the nature of the work? Has a risk assessment been done? Are there any 1, 2, or 3 level risks (from WorkCover's Risk Matrix)? Send a form to the outside workplace reminding them of their responsibilities such as inducting the student into their workplace, pointing out safety requirements and risks, providing any training required, etc. Make sure that the personal details of those doing the fieldwork are up to date and have family or emergency contacts. Provide the student and the outside workplace with the school's contact details and how to report any concerns that they may have about their external work. Have the student/staff member doing the fieldwork send in a form stating that the outside workplace has provided an adequate induction. Overseas Work The University's policy on overseas fieldwork website at http://sydney.edu.au/whs/guidelines/fieldwork/FieldworkOS.shtml must be read and complied with for all overseas fieldwork. If the staff member/student is working at another workplace then the steps detailed in “Steps for working at another workplace” must be taken. A risk assessment must accompany any application for overseas work. Before approval, the DFAT smartraveller website at http://smartraveller.gov.au/ must be checked for any travel advisories about the destination country. If the country is listed in the “advice against travel” section the application will be refused. If the country is listed in the “reconsider your need to travel” section then the application may be allowed depending upon the circumstances. Make sure that the personal details of those doing the fieldwork are up to date and have family or emergency contacts. Make sure that your overseas contact details and that of the workplace are lodged with the department. High Risk Fieldwork Any high risk field work needs to be discussed separately with those involved, the head of school, and safety officer as there will be many more requirements if it is to be approved. High risk would include work at remote sites or in areas where the risk assessment procedure shows risk levels of 1, 2, or 3 according to WorkCover's Risk Matrix. 6 Note to Student Workplace safety is an important part of all businesses and you will be required to comply with workplace legislation, University rules and guidelines, and the rules and guidelines of the workplace As well as filling in your details and the details of your induction using the following forms, it is important that you report any concerns that you may have about your external work to both your work supervisor and your project supervisor. This includes factors such as your ability to perform tasks safely according to your experience level. Please, take your induction seriously – following rules, safe working practices, and knowing what to do in an emergency are an important part of working life. Make sure that the workplace has your emergency details. If you have a medical condition that may be relevant to a workplace then it is recommended that the information be provided to the supervising engineer so that any special medical needs or emergency responses may be put in place. Appendix B Work Health Safety Policy Risk Assessment At the University of Sydney we use WorkCover's risk assessment matrix to determine risk levels to help implement controls. A copy of the matrix is included for your reference. Conclusion Safety is paramount. Do not expose the student to high risk activities, especially those that you rate at 1, 2, or 3 on the risk matrix. It would be better for the student to observe a higher risk activity rather than participate in it. WorkCover's Risk Matrix The numbers show how important it is to do something: 1 do something immediately 6 do something when possible 7
