PAIGNTON COMMUNITY & SPORTS ACADEMY BAY EDUCATION TRUST JOB DESCRIPTION Post Title: Administrator–Primary Liaison/Transition/Marketing/Open Events Grade: Grade D Point Range 14 – 17 20 hours/week, 39 weeks per annum (Working hours flexible / tbc - possible 4 days a week 9am-2:20pm) Responsible to: Associate Principal Responsible for: Effectively completing a range of administrative tasks based around Primary Transition / Open events / Inspiration days / Marketing Job Purpose: Provide administrative support for the Associate Principal/ Primary Liaison and Transition / Marketing. Be the first point of contact at the Academy for all the local primary schools and staff To collate and prepare information packs for incoming Year 7s To write news stories, in some instances take pictures and seek out positive events To update, monitor and contribute to social media Design and construct power points for Academy events Lead on liaison with primary schools regarding, Inspiration days, Pantomime, e-safety, Literacy Project and any other events Support the marketing of the Bay Education Trust Schools such as Kings Ash and Curledge Street, where required. To undertake a range of ICT related tasks e.g. word processing, spreadsheets, databases and forwarding information for website updates. To be responsible for the production of a range of publicity material, such as newspaper articles, including proof reading and correcting To maintain records and figures relating to Academy events Administering the Associate Principal scheduling diary efficiently. To be self-motivating and self-organised to identify priorities with an ability to organise work tasks efficiently. Deliver open event fliers to primary schools Maintain a high level of confidentiality for all work undertaken ensuring office security is maintained and confidences are not breached. Providing a first point of contact for telephone or face-to-face enquiries from Primary schools, exercising judgement and discretion in determining priorities; ensuring that all callers receive the highest standards of customer care. To book facilities and travel for events To send out, collect and collate consent forms. Photocopying the packs and taking minutes as required. To undertake own Professional Development as required. To monitor and record spending on the relevant budgets To take and record money for events, competitions, etc and transfer to finance. To ensure rooms, resources and refreshments are available for meetings and events To undertake filing and other administrative tasks as required. To run open events and be flexible to work during a handful of evenings a year. Work across both sites as required on a regular basis Maintain and update prospectuses and deign of options booklets Source the best prices for marketing materials To manage post, letters and SIMS for Associate Principal To manage and arrange publicity pictures and videos from Academy events and produce photo displays across the college. To undertake tasks as required by the Associate Principal or Academy Principal. OVERALL DUTIES MARKETING Collate and edit the Academy Newsletter Organise publicity material, banners, adverts, prospectuses Pass stories to Herald and educational magazines as appropriate Collate a bank of central photos Read, check and upload news stories Write news stories where possible Liaise with primary schools, Palm FM, Herald and media outlets INSPIRATION DAYS Book coaches and inform everyone involved Liaise with primary schools Book and liaise with external workshop providers Collate lists, labels, timetables, Food 4 YEARLY OPEN EVENTS Liaise with resources on the leaflets Develop the rolling presentation and power point presentation Make up the packs and co-ordinate the banners Ensure the newsletter is up to standard Distribute leaflets to primary schools Organise with faculties the events Promote on the website Print the tours, packs, shop for prizes Collate the returns and organise prizes Organise the helpers ADMINISTRATOR PRIMARY LIAISON / TRANSITION / MARKETING / OPEN EVENTS PERSON SPECIFICATION Essential Excellent administration skills including word processing and use of email Desirable Excellent use of written English and the ability to correct news stories Good knowledge of Excel to record, display and manipulate information and data Ability to engage with young people and prospective parents Evidence of good organisation skills and ability to prioritise and meet print deadlines Ability to relate to all levels of Academy and primary school personnel Ability to work within existing policies and guidelines Ability to handle personnel matters in a confidential and professional manner Good telephone manner and ability to deal with complex calls Flexible approach Ability to co-ordinate and liaise with outside agencies and educational providers on behalf on the Assistant Principal Effective time keeper and ability Sense of humour Ability to take reasonable photographs Experience of working in an Administrative Role Ability to manage a diary and make appointments on behalf of the Assistant Principal
