PAIGNTON COMMUNITY & SPORTS ACADEMY PROSPECTS ACADEMIES TRUST JOB DESCRIPTION Post Title: Administrator - Marketing/Transition/Open Events/Rewards Grade: Grade D Point Range 14 – 17 32.5 hours/week, 39 weeks per annum (possible hours 9am – 4:30pm, tbc) Responsible to: Associate Principals/Director of Sport Responsible for: Effectively completing a range of administrative tasks based around Rewards/Sport/Marketing/Primary Transition Job Purpose: Provide administrative support for the Associate Principal/Director of Sport/Transition/Marketing. Be the first point of contact at the Academy for all the local primary school staff Lead on liaison with primary schools regarding sports partnership, Inspiration days, Pantomime, e-safety, Literacy Project and any other events To support, administrate and manage a regular whole school rewards policy To undertake a range of ICT related tasks e.g. word processing, spreadsheets, databases and forwarding information for website updates. To be responsible for the production of a range of publicity material, such as newspaper articles. To maintain records and figures relating to academy events Administering the Director of Sport (DOS) scheduling diary efficiently. To be self-motivating and self-organised to identify priorities with an ability to organise work tasks efficiently. Maintain a high level of confidentiality for all work undertaken ensuring office security is maintained and confidences are not breached. Providing a first point of contact for telephone or face-to-face enquiries from Primary schools, exercising judgement and discretion in determining priorities; ensuring that all callers receive the highest standards of customer care. In certain circumstances contact and liaise with outside agencies and parents of pupils. To liaise with students regarding events To be responsible for the administration of special events such as the Inspiration days, Olympic Partnership Challenge, Talent Scout & primary events. To book facilities for events To send out, collect and collate consent forms. 16. 17. To administrate the Bikeability programme. To attend related meetings as required by the Associate Principal / Director of Sport photocopying the packs and taking minutes as required. To undertake own Professional Development as required. To take and record money for events, competitions, etc and transfer to Finance. To ensure rooms, resources and refreshments are available for meetings. To undertake filing and other administrative tasks as required. To lead open events as applicable. Be available to assist with related activities on either site To manage post, letters and SIMS for Associate Principal / DOS To manage and arrange publicity pictures and videos from Academy events and produce photo displays across the college. OVERALL DUTIES REWARDS Manage and implement an online system Send / collate and manage praise information Post / organise / write letters /postcards as appropriate Organise rewards events as and when required Purchase rewards items as required Prepare data for HOF / HOY / SLT MARKETING Collate and edit the Academy Newsletter Organise publicity material, banners, adverts, prospectuses Pass stories to Herald and educational magazines as appropriate Collate a bank of central photos Read, check and upload news stories Write news stories where appropriate Liaise with primary schools, palm FM, Herald and media outlets 6 YEARLY INSPIRATION DAYS Book coaches Liaise with primary schools Book and liaise with external workshop providers Inform everyone involved Collate lists, labels, timetables, Food 5 YEARLY OPEN EVENTS Liaise with resources on the leaflets Develop the rolling presentation and power point presentation Make up the packs Ensure the newsletter is up to standard Distribute leaflets to primary schools Organise with faculties the events Promote on the website Print the tours, packs, shopping Collate the returns Organise prizes Organise the helpers PRIMARY SPORTS PARTERSHIP Send invoices as required File and collate evidence and data to present to head teachers Organise transport and confirm with schools as required Collate data for staff / resources BIKEABILITY Provide admin support for Bikeability Prepare excel sheets collate consent forms Inform teachers and instructors
