The JAWS screen reading software is not reading the column headings on
the Activity Placement Search screen.It is currently only reading the data in
each field.
Impact: All JAWS software users.
Workaround: None.
Proposed solution: Code fix.
Users from states not on Australian Eastern Daylight Savings Time (AEDST)
are not able to record Work Experience Participation hours on the Actual
Activity Participation Hours screen for job seekers. When a user attempts to
add the hours for a job seeker, they will be presented with the "Period not
found to update" error.
Impact: All providers in states not on AEDST.
Workaround: Providers should hold off recording hours in ESS until the code
fix is implemented.
Proposed solution: Code Fix.
Some users of Activity Management in ESS will get the error message "ESS
has encountered a problem" when attempting to record hours for a job
seeker record. Unfortunately it impacts users and sites at random and no
workaround has been identified.

When creating a series of sessions in diary using the 'copy and paste'
functionality, ESS allows the sessions to be updated and modified if the
sessions are for future dates. However, if one of the series of sessions are
created for today's date, ESS will not allow the user to update or modify.
Impact: Minimal as this issue only occurs if the 'copy and paste' session
functionality is used.
Workaround: The providers will need to update today's session separate to
the ones in the series.
Proposed solution: Code change.
When a user navigates to view the notification details for a particular
appointment, the appointment details are missing from the letter (e.g. Time,
Date, Location). It only occurs if the Notification option on the appointment is
"Appointment Slip" .
Impact: Any notifications where the notification option is “Appointment Slip”
Workaround: View the appointment details via the Diary Calendar screen,
or by selecting 'view appointment slip' in the appointment tab.
Proposed solution: Code fix.
When a DES or JSA provider transfers a job seeker to a new organisation,
the gaining organisation is permitted to view all the job seeker's
appointments. The letter and appointment slip are incorrectly displaying the
previous organisation’s contact details.

Where a provider uses the following workflow to book a contact appointment
the system will throw an exception error:
- User logs into ESS and navigates directly to the noticeboard
- User selects the ‘Results Due’ noticeboard message and the noticeboard
list populates
- User selects an appointment from the noticeboard list and clicks ‘View’
- User enters an 'Attended' result and selects the radio button to book 'next
contact appointment' now
- When the user clicks on the <Save> button the exception error is thrown
and the next appointment is not able to be booked.
Impact: Minimum as this is only one workflow. All above conditions must be
met to trigger this exception.
Workaround: None.
Proposed solution: Solution is to update the code for this particular flow to
prevent the exception occurring.
Issue: Where the Search Appointment or Session List are used the 'Append'
>> button is enabled (even if there aren't more than 100 records). If the
append button is actioned, the existing list will be duplicated. Even if the
'duplicate' list record is viewed the system will still display the correct
appointment.

When a DES Provider creates a IDES - Initial DES appointment and marks it
as Attended, then creates another IDES appointment before manually
commencing the job seeker, they get an error message when they attempt to
Create in Error (CERR) the second appointment.
Impact: Minimal.
Workaround: None.
Proposed solution: Code change.
When "Job Seeker General - EBIW_JG001" is run as a CSV file and
opened in Excel, some Work Capacity values are automatically converting to
a date format. E.g. Work Capacity of 8-14 converting to August 14.
Impact: Providers cannot view information correctly through Excel
Workaround: Do not use excel to open the CSV file for this report.
Proposed solution: Update XML header to explicitly define the 6 work
capacity fields as Text fields.
SSR Trigger dates which appear in ESS are not coming across for job
seekers in the Stream Service Lifecycle report
Impact: All users of this report.
Workaround: Obtain SSR Trigger date from ESS.
When job seekers are anchored in an Employment Outcome for more than
28 days in a relevant education placement or qualified training course, the
Anchor date in the EBIW_PLC01 report appears as the date the job seeker
started in the education placement or qualified training course instead of the
date they commenced in the job placement.
Impact : Approximately 1% of incorrect Anchor dates will appear in the
report.
Workaround: None identified.
The Stream 1 column in the "Performance Measure Outcome Rate
Percentile Ranks - EBIW_PER01" report is not being populated this week.
Previous week's data is appearing normally.
Impact :Providers are unaware of their performance for this measure.
The Suspension days figure in the DES Caseload report is calculating the
number of suspension days for a job seeker short by one day. Suspension
days should be inclusive of both the start and end date.

Proposed Fix: Identify the fault in the report that is causing this data to be
suppressed and fix.
The EPF Transactions (EBIW_EPF01) report is including transactions which
have been deleted.
Impact: Transactions in this report may have been deleted.
Workaround: View transactions through ESS.
Proposed Fix: Remove deleted records from report.
The 'DES Appointment - EBIW_DES03' report is not showing the 'Next
Appointment' related information correctly.
Impact: Providers not able to reliably use the information in this report to
identify where a job seeker has a future appointment.
Workaround: Reference diary information via ESS.
Proposed solution: Identify the fault in the report that is causing this data to
be suppressed and fix.
Employment Pathway Fund (EPF) batch purchases are a method of
reimbursement that JSA providers can use for single purchases that will be
used to assist multiple job seekers. Batch purchase costs can be acquitted
against individual job seekers at the time of reimbursement, or they can be
acquitted at a later date.

When a provider enters or updates the bulk purchase acquittal details on the
EPF Record Details screen, these details are not being saved properly. (It
initially appears that the changes have been successfully made, but if the
provider views the acquittal details at a later date, the changes have been

program code. Changes will be made to the code to ensure consistent

Workaround: View other pages by clicking on the green 'Next Page' &
'Previous Page' buttons in the tool bar.

Workplace Modification Scheme Assessment claim generates an error on
the Job Access Website online. The system is only able to support Claim
IDs up to two digits in length. Once a three digit number is reached an error
occurs.

There are a number of limitations associated with the List View and
Checkboxes custom controls used in ESS. These controls were created to
provide extra capability that was needed and that the standard Microsoft List
View and Combo Box controls did not have. They are shared SmartClient
controls that may be used in a number of SmartClient projects.
Impact: These are only an issue if the user is using short cuts to navigate
through lists in ESS.
Workaround: N/A.
Proposed solution: Either changing the existing custom controls or
replacing them. Each issue will have to be looked at on an individual basis.
On the Job Placement screen if a user tabs to the upgrade checkbox, it
should be highlighted as enabled. Currently the field is not highlighted.
Impact: This is only a visual issue affecting that screen.
Workaround: N/A.
Proposed solution: Code change to bring focus to the checkbox.
There is a situation that creates an endless loop when a user enters a Job
seeker ID on the Job Referral page but the JCA database is not accessible.
This situation is very rare and limited to scenarios such as power outages.
This appears to only occur where the JCA database is experiencing issues.

incorrectly. The fields are displaying with a colon in front of the name rather
than at the end of the name. For example :Contact rather than Contact: .
Impact: Low.
Workaround: This is display issue only. The fields are displaying the correct
information, and the screen is functioning correctly. No workaround required.
Proposed Solution: Amend code so that fields display correctly with the
colon after the field name.
When a job seeker is placed in an education placement while in JSA, and
then is later placed in employment in DES, in some circumstances ESS may
attempt to create a snapshot for a combined outcome. A Combined
Placement should only be created for DES if the Participant was placed in
Education and Employment while they were in DES.

comments. When a user selects the "Print Report" button on the top tool bar,
a preview screen is presented which shows that some of the text is cut off at
the end of each line. Printing the report results in the same outcome.

Workaround: Take a screen shot of the comments and print from a Word
Document.

When a Provider chooses to lodge a special claim override for either a 13
week or 26 week employment/education outcome, in some cases the
snapshot ellipsis button is not available to select within the Override Submit
screen. This occurs even when a valid employment / education snapshot
should be available for selection.

Providers have five business days from the Outcome date to update and
submit a returned Compliance report that has been rejected by Centrelink
with an outcome reason of 'Returned for Update - Insufficient Evidence'.
Providers are currently unable to update or submit a returned Compliance
Report. The fields are protected and the status is displayed as 'Finalised'
instead of 'Returned for Update'.
Impact: Low. 2 cases reported as at 17 November 2010.
Workaround: N/A.
Proposed solution: Amend the code to display the correct status and
enable users to amend and submit reports with an outcome reason of
'Returned for Update - Insufficient Evidence'.
If a job seeker is in the Work Experience phase but is participating in an
activity where the referral was entered as "Other" participation, the hours
completed will be shown in the "Other" section of the Participation Hours
Summary screen rather than the "Work Experience" section.
Impact: Less than 5 reported so far.
Workaround: None.
Proposed solution: Code Fix.
When using only the job seeker ID for the search on the General Search
screen, an ESS exception error is returned and the search cannot be
completed.
Impact: only affects those records that do not have a contract ID (ie.
indigenous activities).
Workaround: use multiple search criteria instead of just the job seeker ID.
When a job seeker in Job Services Australia:
* has a result of "No Further Service Fees" recorded against their claim
schedule, as they have exhausted all of their pre-Work Experience Phase
service fees; and
* the job seeker transfers to a different provider organisation; and
* the job seeker moves to a higher stream

partial work capacity was '014' (8-14 hours per week)

participation requirement included a PWC of 15-29 hours per week

partial work capacity and participation requirement did not change
between the 13 and 26 week outcome snaps
Business rules state these job seekers should have had an outcome code of
DRE/DPTE (Job for partial work capacity job seeker) for both 13 and 26
week outcome snaps.

When an assessor uses the date controls in the JCA application, the controls
store the date in memory. When the application is next accessed, the stored
date is automatically populated. This is causing issues where assessors do
not update the date, resulting in Centrelink having to return the assessment.

Workaround: Assessors need to update the date.
Proposed solution: Change calendar controls in JCA application to default
to the current system date.
ESS Skills Assessment Screen - The error 'Contract not found' is displayed
when accessing the Skills Assessment screen.

Impact: This prevents the user from accessing the Skills Assessment
screen.
Workaround: The current workaround is to update the Skills Assessment
creation date once the job seeker has Commenced. However, one case has
been identified where the workaround does not resolve the issue.
Proposed solution: The single case where the workaround is not effective
is still under investigation.
When a Stream 4 job seeker is referred to a JCA to complete their Stream
Services Review, 'Stream Services Review' and 'Stream Services Review
DSP Volunteer' are available as JCA referral reasons. However, once the
JCA report for the Stream Services Review is submitted, the
recommendation on the Report does not update the Stream Services
Review. The Stream Services Review remains at Pending and 'Referral to
JCA'.

The impact is that the Stream Services Review is not being correctly
Finalised, even though the user has selected a Stream Services Review JCA
Referral Reason. Note that the JCA report recommendations correctly
updates the Stream Services Review if 'Stream 4 Services Review' or
'Stream 4 Services Review DSP Volunteer' are selected as the JCA Referral
Reason.
Impact: This issue affects a small number of job seekers per
week.Workaround: Production Support staff manually update the SSR
status to Finalised and the SSR Outcome to match the recommendation on
the JCA Report.

When using the Condition Code Picker on the Conditions screen of the JCA
application, whilst tabbing through the screen the tab goes to the list,
however users are unable to select an item from the list to populate the
Conditions screen with the selected code.
Impact: Users are unable to select conditions by tabbing through the list.
Workaround: Users can select conditions to be added to the screen by
clicking on the condition using a mouse.
Proposed solution: A new picker control will be implemented to enable
condition selection using the tab.
Once a date has been selected in a field, if that field is again selected, for
example following a refresh, the date picker does not revert to the current
date, and the previously selected date is populated.
Impact: Incorrect dates are being committed to JCA reports.
Workaround: Users need to ensure the correct date is selected and
committed.
Proposed solution: Update the Date Picker to ensure the current date is
populated when a field is selected.
JCA Assessors are unable to view a job seeker's EPP. Error message 'Job
seeker is not linked to your organisation' is displayed when attempting to
view an EPP.
Impact: The issue has been encountered by all JCA Assessors since the 4
December 2010 release.
Workaround: N/A.
Proposed solution: Change the code to ensure JCA Assessors can view
EPPs.
Existing comments are being removed from the barriers in the Employment
Pathway Plan when updated by providers. This occurs if original barriers no
longer exist in the job seeker's JCA Report.

Description
A job seeker’s 'finalised' SSR outcome is being changed when their SSR
JCA is reopened and resubmitted.
Impact: One impact is if the job seeker's original SSR outcome was work
experience phase (WEPh), the WEPh eligibility date is not removed if the
SSR outcome is changed. The WEPh eligibility date remains on the record
despite no longer having a SSR outcome of WEPh. If the job seeker is
commenced into WEPh and has a SSR outcome of Stream 4 Extended, the
system will generate both a Stream 4 5th week service fee and a WEPh 1st
13 week service fee. We have identified about 30 records where the SSR
outcome is not WEPh but the corresponding stream has a WEPh eligible
date.
Workaround: None.
Proposed solution: To determine whether or not the Stream Services
Review should be updated by the re-submission of a JCA Report before it
has been finalised.
Users may encounter an error when trying to view or submit an OSA
allocation under ESS>Manage Caseload> OSA Allocation. The Allocation tab
displays a list of job seekers allocated to the site. For some users, once a job
seeker is chosen and the 'View Details' button is clicked, the user gets the
message "Employment systems has encountered a problem" and the details
screen is not displayed. Other users can click on the 'Review / Submit' button
and fill in the details, but on clicking on 'Submit' the error is produced.
Impact: Nine users since 1/1/11.
Workaround: None known.
Proposed solution: Identify cause of error and fix code.
Job seekers meeting the following conditions are having a Stream 1 Limited
expiry date set on their account, even though they have not participated in
Stream 1 Limited. If the job seeker is referred to another program or their
exited referral is reinstated, the system will automatically exit them with the
exit reason 'Stream one limited 91 days reached' when they reach this expiry
date.

For a DES job seeker in the PPS phase, when adding/updating a suspension
reason of Change In Employment (CIE) the suspension expects an end date
to be a maximum of 7 days from the suspension start date.When a provider
attempts to add the suspension with an expected end date which is greater
than 7 days but less than 13 weeks the correct error message of "Expected
end date can only be 7 days from the suspension start date" is displayed.
However, when a provider attempts to add the suspension with an expected
end date which is greater than 13 weeks the error message "Expected end
date can only be 13 weeks from the suspension start date" is displayed,
which is incorrect.
Impact : Providers given incorrect information, resulting in calls to the ES
Help Desk
Workarounds: None
Proposed solution: Remove the incorrect error message so that the
message "Expected end date can only be 7 days from the suspension start
date" is the only one displayed
In some cases, the resume last update date in the case summary screen in
ESS is incorrect. This occurs where a job seeker has multiple Resumes, the
oldest Resume date is being picked up and displaying incorrectly on the case
summary screen.
Impact: Minimal records impacted.

Proposed solution: Make code changes to pick up the correct date.
A large number of draft resumes are sitting in the database that are not
viewable online. If a user attempts to save a Resume for a job seeker with a
resume name that has been previously used for that job seeker an exception
error is being displayed 'The resume name is being used for another Job
Seeker resume'.
