A. Good afternoon/ Call to Order by Dennis Purcell, Chair of the DRC Committee
Welcomed all DRC members and Program Manager
B. Summary of the appointments of the DRC and Program Manager
by Municipal Official Robyn Rogers
DRC members; Dennis Purcell, Brent Dalgleish, Tracy McGibbon and Sarah Vance and the
Program Manager; Penny Sharman were appointed through a Special Meeting of Council of
Hastings Highlands on July 4, 2013 and Regular Council Meeting of the Town of Bancroft on July
9, 2013.
Resolution put through council’s allowing appointed DRC members may appoint additional
members provided the size of the Committee does not exceed nine (9) members and such
appointment is subject to the ratification of both Member Municipalities.
Therefore resolution being;
Dalgleish/Vance (01-2013)
Put forth following individuals to be asked to serve on the DRC; Keith Buck, Scott Feeney, Nate
Smelle and Hugh Baker. Carried
C/D. Introduction and biography of DRC members and Program Manager performed by the
individuals of the DRC.
E.
Appointment of the DRC vice-chair position.
Therefore resolution being;
McGibbon/Dalgleish(02-2013)
That Sarah Vance be appointed as vice chair. Carried.

Ontario Disaster Relief Claim Form
Formalizing the claim form for victims and the deadline for claims to be submitted
Therefore resolution being;
Dalgleish/Vance(03-2013)
Put the deadline of August 16/2013 be set for the ODRAP Applications. Carried
Further to resolution 03-2013;
Dalgleish/McGibbon(04-2013)
Put the deadline date for ODRAP Applications be moved from August 16 to August 30/2013 at
4pm. Carried
Review of drafted Questions and Answers for posting on municipal websites, review of
drafted Notices of availability of Applications forms.
Therefore resolution being;
McGibbon/Dalgleish(05-2013)
To approve the applications and the forms presented at this meeting. Carried
Notices will be posted in high traffic areas as Stores, Post Offices, Banks, Libraries etc. as well as
advertising in the two local newspapers the week of July 15th and 22nd then again August 19th.
Rules and Procedures for meetings will follow the Guidelines within the Guidelines for the
Disaster Relief Committee Manual and the Municipal Act.
G.
Discussion of fundraising events and setting fundraising goals
Therefore resolution being;
McGibbon/Dalgleish(06-2013)
To set a fundraising goal of approximately Eighty Seven Thousand, Five Hundred Dollars to be
raised by October 31, 2013. Carried
Various ideas of events were discussed with members doing follow ups in the preceding weeks.
H.
Program Manager’s Schedule
Penny Sharman will be available on Tuesdays and Wednesdays effective July 16th at the
Municipal Office of Hastings Highlands.
Penny will not be in the office the weeks of July 22, August 12 and August 19, 2013 but may be
contacted by phone and email or you may leave a message at the municipal office of Hastings
Highlands.

Dates of upcoming Meetings
The next meeting of the DRC will take place on Wednesday July 31, 2013 at the municipal office
of Hastings Highlands in council chambers.
