Article 1: Name
The name of this corporation is Arden Arcade Piranhas (AAP).
Article 2 Membership
A. AAP membership shall be open to all families whose children are registered swimmers for
Arden Arcade Piranhas.
B. It is a requirement that families are “active” members.
C. “Active” membership is defined by
1. Registration Fees are paid
2. Fundraising is completed
3. Volunteer hours are performed.
D. Membership is defined from April 1st through March 31st of the following year.
E. Paid membership entitles each family to voting privileges at Arden Arcade Piranhas meetings.
One vote per parent/guardian, maximum two votes per family.
Article 3: Registration and Fees
A. The registration process and yearly membership fees of the Arden Arcade Piranhas shall be
set by the AAP board prior to spring Orientation Meetings
B. AAP membership fees are due and payable at the time of registration
C. Late registration may be permitted in accordance with Sacramento Swim League policy and
Arden Arcade Head Coach approval.
D. Families who are unable to pay Arden Arcade Piranhas membership fees may request a
reduce fee. Majority vote from the board is needed for approval.
E. All fees are due one week before Champs
Article 4: Club Structure
A. The structure of the AAP will consist of two components.
1. Executive Board ( Elected Positions)
2. Members (All other “Active” members)
B. Executive Board: Executive Board will be elected each year by a vote of the Arden Arcade
active membership (Article 8 regarding elections). The Arden Arcade Piranhas board will
consist of
1. President:
a.
Serves as the leader of the Piranhas Swim Team Board
b.
Serves as SSL League Representative for Piranhas swim team
c.
Responsible for distribution of all communication to Piranhas families
d.
Responsible for scheduling, coordinating, and leading Board meetings
e.
Responsible for maintaining team website and Facebook page, with assistance from
Piranhas Head Coach and Secretary
f.
Ensure volunteers are adhering to appropriate set-up and take-down instructions at
all meets hosted by the Piranhas swim team
g.
Serve as Meet Director for Home Meets, in the event that no one else is available
h.
Assist with Registration, as needed
i.
Assist with on-deck issues/concerns, as needed
2. First vice president
a.
Voting member of the Board
b.
Serves as SSL Championships Representative for Piranhas swim team
i.
Attends all Championships planning meetings
ii.
Responsible for coordinating all Piranhas’ team duties for Championships
a. Responsible for Champs Ads
b. Assist Parent Liaison/Volunteer Coordinator with Champs
volunteer assignments
iii. Other duties, as assigned by the Sacramento Swim League, as it relates to
the Championships Meet
c.
Assist with Registration, as needed
d.
Other duties, as assigned by Board President
3. Second vice president
a.
Voting member of the Board
b.
Serves as SSL Invitational Representative for Piranhas swim team
i.
Attends all Invitational planning meetings
ii.
Responsible for coordinating all Piranhas’ team duties for Invitational
a. Responsible for Vendor Coordination (if host team)
b. Assist Parent Liaison/Volunteer Coordinator with Invitational
volunteer assignments
iii. Other duties, as assigned by the Sacramento Swim League, as it relates to
the Invitational Meet
c.
Assist with Registration, as needed
d.
Other duties, as assigned by Board President
4. Secretary
a.
Voting member of the Board
b.
Responsible for maintaining accurate notation of meeting minutes
c.
Assist President with distribution of communication to Piranhas families
d.
Assist President and Head Coach with maintaining team website and facebook page
e.
Assist Parent Liaison with parent/family folder maintenance
f.
Assist Parent Liaison with Volunteer on-deck training coordination
g.
Assist with Registration, as needed
h.
Other duties, as assigned by Board President
5. Treasurer
a.
Voting member of the Board
b.
Responsible for maintaining accurate financial records
i.
Accounts Receivable
ii.
Accounts Payable
c.
Responsible for coordinating Apparel orders and distribution
d.
Other duties, as assigned by Board President
6. Member at large
a.
Voting member of the Board
b.
Assist with Registration, as needed
c.
Other duties, as assigned by Board President
7. Parent Liaison
a.
Voting member of the Board
b.
Responsible for maintaining parent/family folders
c.
Responsible for coordinating parent/family meetings
d.
8.
Serves as Volunteer Coordinator for Piranhas swim team
i.
Coordinating On-Deck Training for volunteers, prior to Invitational
ii.
Responsible for Volunteer Check-In at meets
e.
Assist with Registration, as needed
f.
Other duties, as assigned by Board President
Registrar
a. Responsible for maintaining accurate family/swimmer data, using league approved
software
b. Responsible for coordinating swimmer Registration events
9.
Fundraiser Coordinator
a. If a fundraising Committee is formed, the fundraising coordinator is responsible for
facilitating all activities.
C. Members: All other active members of the Arden Arcade Piranhas.
Article 5: Meetings
A. General Membership Meetings
1. The AAP will schedule at least two Active Membership meeting of the AAP
between March and August of each year. The board will set time and locations
of each meeting.
2. A quorum of seven active members is required to call a regularly scheduled AAP
membership meeting to order.
3. Notice of such meetings shall be included in registration materials, and/or Head
Coach flyers, and /or the bulletins posted on pool deck.
4. The secretary will take minutes at all meeting and send draft minutes for review
to the AAP president within one week of the meeting. Minutes will be approve
at next meeting
B. Executive board meetings
1. The AAP board will meet once a month on a date and time that is determined by
the board
2. A quorum of 4 members is required to call a board meeting to order.
Article 6: Voting
A. Voting may occur at any meeting of the (Membership or Board) where there is a
quorum.
B. A simple majority votes is required to pass/defeat a motion
C. Each “active” family is entitled to a maximum of two parent/guardian votes. Voting
members must be present at meetings to vote
Article 7 Financial Decisions
A. All decisions regarding money- membership fees, expenditures of money, etc.—
must be voted on by AAP board meetings
B. All AAP expenditures must have receipts submitted to the AAP treasurer for
documentation.
Article 8 Elections
A. A nominating committee of not less than three individuals shall be appointed by the
President to present nominations for President, Vice President, 2nd Vice President,
Secretary, and Treasurer. No more than one member of the committee shall be a
member of the Board The committee shall nominate no less than two people for
each office. Those individuals nominated must give their consent to serve prior to
being nominated.
B. If voting by ballot, prior to the election of President Vice President 2nd Vice
President, Secretary and treasurer, the board shall appoint a committee to
distribute collect and count the ballots. Election shall be by majority vote of those
present and voting. The results shall be announce at said meeting.
C. A vacant office shall be filled by appointment by the President and subject to
confirmation by the Board.
D. The President shall appoint a representative and alternate to the league subject to
confirmation by the board.
E. A representative from the swimming team will be chosen by majority vote of swim
team members at a meeting called by the coach in May.
F. An elected officer of the club may not serve the AAP in any other capacity during
their elected term. Exceptions will be allowed on a case by case basis if the Board
determines that a conflict of interest does not exist.
