SCAVMA Board Meeting Agenda Tuesday, May 6th, 2014 1. Meeting called to order at 1800 2. Quorum reached 3. Call for last minute additions to agenda 4. Approval of prior meeting’s minutes (April 15thth, 2014) 5. Unfinished business SAVMA Membership Plan-Eric o Divide the enrollment among the SCAVMA reps for the class o Debit card – would require us giving out the number 6. New business Swaggie Update-MOU Signed, Raptor Center Apparel o Signed new MOU with Swaggie and Main bookstore – agreement with central services. We can still sell logo stuff. o Raptor center apparel also to be sold Career Night/HCV Talk Proposal o Janel Lang will be working to take on more of Career Night; we will still have a board member, but we wont have to take on bulk. o HCV talk – wont buy tables at CN we will do a separate vendor series. Will “donate” for their talk and can get some amount of money for funding back. Additional income will go into club funding in UDA. Budget Proposal o Approved budget, but will revisit at first meeting on next school year o We spent $16,000 over what we made this last year; $10,000 more than we budgeted for; made some drastic changes to budget o Past date to increase dues this year; we could consider doing it next year o Pet food program expected $19, 625; 2 levels of memberships for students and residents Dog, cat, horse, exotic products - $50 students; $75 residents Exotic food only - $20 students; $25 for residents; make it worth their payment so savings beneficial $25 all faculty/staff o Increase sx pack cost to $150 o No money spent on career night from this account; will be funded from UDA o Reduce club funding from $20K to $10K (SCAVMA account); we cannot sustain. The other $10K will come from UDA. This will result in changes in funding request process. Total (both SCAVMA + UDA) funding would decrease by ~10K; $30K to $20K Proposed ways to reduce cost/raise money SCAVMA could: Have agreements with a few local businesses for cheaper food; if club wanted funding would be required to use one of these approved establishments. Dr. Owens can help with this. Work with Dr. Owens to host leadership thing with donors; don’t step on development office’s toes SCAVMA and UDA will no longer fund food for lunch talks; exception is Vendor talks. Revisit not funding food with vendor next year. Work on changing the culture w/ students – come to lunch talk to invest in your future; then this money could go to PDF and club events We will revisit how we allocate club funding o Cannot support club TG this year o Formal event reduced to $800; Dean’s office will offer $1000 to help o No more SCAVMA dinner funding o Mentor program reduced from $1000 to $700; instead of prizes make a champion trophy to be passed around o Increased officer travel expenses because these events are required for us as a SAVMA chapter o Remove VLE scholarship for member of student body as they have doubled their registration fee o Waggie decreased to $1000 o PDF funding now capped at $200 per capita Endowment account – consider forming one over the summer with $10K out of our reserves to help with funding in the future 7.
