Call for participants
Intro & background
From 1 to 4 March 2016 (arrival on 1 March morning, departure on 5 March), the European
Youth Foundation (EYF) of the Council of Europe is organising a seminar with representatives
of international and local youth NGOs.
In 2013, the EYF introduced new operational regulations, a new online system (containing a new
approach) and a new website. In order strengthen the partnership with youth NGOs within
this context, the EYF organised three seminars - (Re)loaded in 2013, (R)evolution in 2014 and
(Re)generation in 2015 - which were successfully implemented.
Getting familiar with the EYF framework is both exciting and challenging, and we would like to
take the opportunity together with youth NGOs to see where we stand and analyze the period
2013-2015 to further fine-tune and strengthen the way of working together.
Considering the introduction of the annual work plans for international youth NGOs and
networks, as well as the “intervention” approach for pilot activities developed at local level and
in order to develop links between international and local perspectives, the EYF has decided to
invite activists/representatives from 20 international and 20 local youth NGOs (registered
with the EYF), who are running youth projects (writing applications, implementing, reporting).
As a result of this meeting, we expect to:
- receive feedback and share information on the work with the EYF’s operational
regulations, online system and website);
- create a common understanding concerning the work plans and pilot activities supported
by the EYF;
- gain awareness about the different situations organisations address with the support
of the EYF;
- revitalize transparency and accountability between the EYF and youth organisations;
- achieve open and informal networking between representatives of international and
local NGOs, as well as between the EYF team and the people running projects with EYF
grants;

share best practices concerning projects, for example how to integrate a gender
perspective, how to ensure a good impact, etc.
Who is this meeting for?
If you were/are running EYF-supported projects in an international or a local youth NGO that
is registered in the EYF database this invitation is for you!
We ask each organisation to send only one application!
We are looking for 40 people who:
are able to work in English;
are aged between 18 - 30 (some exceptions for 30+ will be possible);
run youth projects (writing applications, implementing, reporting) for an international or
local NGO registered with the EYF;
are working as multipliers in their organisation;
have had experience with grant applications to the EYF (successful or not) including
first experiences working with the online system of the EYF.
For the final selection we will try to ensure a gender balance and a good geographical
representation of Council of Europe countries and its civil society organisations.
What can you expect?
You can expect a highly interactive atmosphere with a combination of non-formal methods,
informal discussions, practical workshops and updates on the political context in which the EYF
is working. There will be the possibility to exchange updates, news and views about the online
system and the way EYF works since 2013.

What are the financial conditions?
Travel expenses and visa fees will be reimbursed (on presentation of the relevant receipts)
according to Council of Europe rules. Only the participants who attend the whole meeting will
be reimbursed. Payment will be made by bank transfer after the meeting.
Accommodation and meals (full board) will be provided at the European Youth Centre in
Strasbourg for all participants (paid for by the Council of Europe). There is no registration
fee.
Further information will be sent to selected participants.

Selection and deadline for applications
For the organisation wishing to nominate a person to attend this meeting, please fill in
the application form.
For the representative of the NGO nominated, please consider (not compulsory) creating
a short video (max 1.5 minutes) introducing yourself and what you would like the EYF to
know about you that is not in the application form (see instructions on the next page).
Send everything to eyf@coe.int by 10 January 2016 (midnight CET) at the latest.

TECHNICAL NOTE ON HOW TO UPLOAD A YOUTUBE VIDEO
Use the following instructions to send us your YouTube video
1. Create a Google account if you do not already have one at
https://accounts.google.com/SignUp
2. Go to youtube.com
3. Click the Upload link at the top of the page.
4. Select the video you'd like to upload from your computer. You can also record a video from your
webcam, or create a video slideshow.
5. Once the upload is completed YouTube will notify you that your video is done uploading and
processing
6. ADJUST YOUR PRIVICY SETTINGS when you upload a video, by default it’s set as a “Public”
video, which means that anybody can view it.
You can easily change the privacy settings while you’re uploading the video in the “Privacy Settings”
section. Or, if you’ve already uploaded the video, you can change the privacy settings by following
the steps below:
a. Visit your Video Manager
b. Find the video you’d like to change, then click the Edit button
c. In the “Privacy Settings” drop down menu, select ‘Unlisted’
d. Click Save changes
e. Copy the URL address of the video and e-mail it along with your application form to
eyf@coe.int by 10 January 2016 at the latest.
