Senior sleepover & breakfast and/or bbq? – Karen Brooks (brookshome@msn.com) Class of 2016 auction coordinator (NOT the whole auction … although that would be nice too!) – Julia Krill (julia@krillrealestate.com), Catherine Smith (catherine@hufamily.com), & Dana Helm (helml@msn.com) Tasks and Responsibilities for these Events: ASB Liaison: Senior class plans Homecoming. This is a fundraising opportunity for them to offset cost of Prom. Parent helpers are needed to decorate, bring themed items and snacks and coat check during the event. Junior class plans Tolo. Also a fundraising opportunity for them to offset cost of Prom. Same needs for Tolo. Lots of parent help is needed for Prom in the spring. Prom and Grad Party Toiletry Baskets: These will be restocked between events, but are filled with extra items needed in the bathrooms at these events. Senior Reflections: Similar to a baccalaureate. Snacks/beverages are provided. Junior Class parents help heavily. Senior Recognition: This event is managed by the school and snacks/beverages are provided and served by Junior Class parents and volunteers. Senior Sleepover Snacks and Breakfast (historically has been scheduled on last full day of school for seniors…most likely Thursday June 11, 2015): The school administration organizes and chaperones the sleep over, but parents provide food for the evening and a buffet breakfast in the morning. (~6:45 am). Seniors are instructed to have their stuff picked up by 7:00 am when other students begin showing up for school. On Friday, June 12th, all students go directly to the moving up ceremony in the gym and then seniors are dismissed…forever. Senior Graduation Day Breakfast: School asks that all students, participating in the graduation ceremony, be at school for last minute announcements and to ensure that they get to the graduation rehearsal at BC in the morning. Feeding them breakfast has been a pretty successful way to get them there. The district nutrition service has traditionally put on a nice breakfast, with table clothes, centerpieces and graduation decorations, for this event. It’s reasonably priced and has been well received by students and a relief to parents who don’t have to get up early to cook and transport breakfast items this morning. A few parent volunteers may be needed this morning to hand out cap and gowns, answer questions or sell last minute grad night party tickets. Graduation Ceremony Liaison: Coordinate with SHS Staff Grad Ceremony Liaison and Pat McCarthy to get SHS banner and programs over to BC morning of June 15th. Work with Junior Class Volunteer Coordinator to give direction to Junior Parent volunteers who are assisting with set up at BC (chairs, programs, reserved seating posting). All signage and programs are the school’s responsibility. Grad Night Party: (many of these jobs need more than one person) Publicity: posters, announcements in morning and school newsletters. Ticket Sales and Registration: In addition to a ticket purchase form, all students, and parents if the student is under 18, need to sign a hold harmless agreement. As soon as a student has paid in full and returned all forms, they may sign up for their bus placement. The Registration Coordinator will keep a spreadsheet of student’s name, date of registration and bus selection as the three check in lists will be organized by bus. Chaperone Coordinator: Organizes the party chaperones after they have been chosen by the Grad Party committee. Communicates times and dates of trainings offered by Grad Nights company (Dealer training) and other important party information. Check In Coordinator: Works with chair to develop and communicate Grad Party check in, storing of student personal items and pat down procedure prior to loading on to buses. The Check In Coordinator also communicates with the Junior Class Parent Volunteer Coordinator and Party Chaperones to communicate all procedures. Bus Loading Coordinator: Has master list of students for each bus. Students sign up for one of the three buses when they have completed the paperwork and purchased their party ticket. The coordinator provides student list to each bus loading chaperone/volunteer for their bus and signage to clearly show bus color designation for each student wrist band color. Grad Night Prizes: Works with party committee to establish budget for party prizes. Donations are also solicited from parents. Games are played on buses to and from the different venues as well as a few drawings throughout the evening and activities where candy and “trinkets” are given away. Examples of items are gift cards, funny glasses, glow sticks, hats or costume jewelry and candy.
