Added to which 4Projects provides a background date and time stamp on all activity undertaken within the extranet by a user indicating what took place and when. Using Proven technology From inception the 4Projects extranet solution has been delivered using the Software as a Service (SaaS) business model. SaaS as delivered by 4Projects is the management of the 4Projects software solutions as a complete service, delivering to the end-user from remote data centres via the Internet, carrying out software development and ongoing support all as part of the service. Using a standard web browser, users can access data from anywhere in the world. When using SaaS, there is no need to worry about upgrades and new releases. One of the major advantages of 4Projects is that there is no need to install software onto your computer – everything can be accessed and processed over the Internet. Our innovative server-side technology allows users to view hundreds of file formats from a standard web browser with no requirements for the specific software to view the native file format. No new infrastructure is needed. There is no requirement for expensive investment in new hardware and associated software – all you need is a web browser to start using the system. Asset Management The 4Projects Assets Management tool allows owners and facilities managers to work beyond the design and construction of an asset. The system can be configured to meet the specific data and process requirements when planning, developing and then managing individual or groups of assets throughout their lifecycles. All asset data and communication can be kept in one secure location providing an efficient and economical databank. If 4Projects has been used to manage the build, refurbishment or extension of an asset (or programme of assets), original data is all at hand in an easy to access and search archive. Access the entire history of an individual or group of assets at any time. Organise assets into hierarchies and divide into components or stages. Geotag assets enabling swift location of properties and view key asset information. Create a standards library for new builds, refits, refurbishments and store layouts facilitating smooth, efficient and standard roll outs. View, monitor and report on multiple assets and projects in one secure, central place. Co-ordinate and manage a process taking place simultaneously across multiple sites such as a refit, re-brand or new layout. Implementation 1. 4Projects Client Services: Training and Implementation The 4Projects Client Service Team work hard to provide a focused approached to the implementation and training of the 4Projects Extranet on your projects. We have built up a comprehensive delivery programme aimed at providing a working extranet in a timescale time that will have minimum disruption to your business and provide you the maximum advantage on your projects. This is an evolving programme and we endeavour to meet specific client requirements by tailoring the process on an ‘as required’ basis. The current programme below is available to all of our clients and we urge you to discuss you extranet plans and requirements with us so that we can work together to provide the best product possible. 2. The Implementation Process It is imperative that 4Projects and the client work in partnership to meet the timely delivery of a live extranet. The 4Projects Client Account Manager starts the extranet start up process by sending Information to help formalise arrangements. In turn, the nominated 4Projects Client Services Consultant (CSC) contacts the client and proceeds with the Extranet Implementation Stage (EIS) The EIS provides the following opportunities: To establish the basic functionality and configure the extranet to follow as close as possible the clients project process requirements. To establish other key contacts and stakeholders To agree the basic principles of client process maps to be integrated within the application To confirm the appointment of the extranet administrator(s) who then gains the relevant knowledge to administer the extranet To deliver additional guideline documentation if required To address and carry out a Training Needs Analysis To confirm completion milestones The schedule reflects 4Projects internal targets to deliver a working extranet and initial training, where purchased, while focusing the attention on all parties on the Start-up and roll out of an extranet. In accordance to your key implementation stages, the initial EIS (2 sessions) will cover the Stages 1 and 2 with the outline of key requirements and processes, the development of the extranet structure, how to best utilise 4Projects matching those requirements, clarifying protocols for system users and administrator training. Stages 3 and 4 will be covered in 2 additional sessions involving user based training where external stakeholders are introduced to applicable features and functionality of 4Projects and any further development of key system areas. By deploying the 4Projects solution, you can eliminate the risk of information loss through network failures, email virus or server hardware faults. Our extranet allows you the peace of mind that all information is fully available, fully secure and fully backed-up for the duration of the project – and well into the future. The 4Projects hosting facilities are physically secure, authentication of users is highly sophisticated, and the software solution itself provides a high degree of flexibility, providing either full open collaboration, tightly controlled security, or a balance between the two. Strict measures are in place to monitor and counter denial of service and virus attacks. Secure Sockets Layer (SSL) 4Projects utilise SSL technology to ensure that data passing between the web browser and the server is encrypted. System Integrity Every file uploaded to the extranet is automatically checked by anti-virus software and once uploaded is held in a 'read only' format, which can never be altered or overwritten. Our system is built using n-tier architecture and at the heart of the system is a Microsoft SQL database. When a user uploads a file it is stored not in a file system on a server, but directly in the database as a binary object (blob - binary large object). Given that an uploaded file actually resides securely in the database as a binary object, it can never be tampered with. The contents of the files uploaded to the project extranet cannot be altered in any way, ensuring that the content of files downloaded from the site will be identical to those previously uploaded. Hosting 4Projects partner with hosting specialists BT. Servers are located in the UK in two locations and are configured as primary and secondary hosting facilities. The secondary hosting facility is provided as a backup to the primary location, providing a mechanism for disaster recovery. The database is mirrored in real time to go live in the result of a disaster occurring. One of the strengths of BT is peering (agreements with other Internet Backbones to exchange traffic). Peering enables Internet Backbones to exchange traffic between each other efficiently and quickly. 4Projects are dedicated to providing the highest uptime possible to our customers. We utilise very high specification rack mounted servers with features such as redundant RAID, redundant power supplies, redundant network cards, additional fans and management features. Our systems are secured from potential intruders behind highly specified firewall technology. All equipment is designed to operate reliably in a professional data centre environment. All major server and network components are configured in N+1 arrangement, and the servers are clustered to provide failover and load-balancing capabilities. Clustering allows more resource to be provisioned at short notice through the addition of additional servers. All components of the system are designed for high-availability data-centre environments, and are rated for the increasing demands of 4Projects’ business. All servers use hot-swap SCSI disks, RAID configurations, redundant power supplies and UPS. Complementing the hardware infrastructure is a manned 24x7x365 pre-emptive monitoring service, and 4 hour on-site support contracts with hardware vendors. Diverse Band Width 4Projects have two dedicated 100 megabit feeds supplied from BT over diverse routes. Utilisation is at under 30% of capacity. BGP (Border Gateway Protocol) routing ensures automated failover to the alternate feed in event of connectivity issues. Dual-Path Gigabit Network 4Projects use a Gigabit network throughout the hosting centre for performance. All servers are networked in a ‘mesh’ configuration so there are always 2 routes to the server. Web Farm High specification Intel Xeon™ web servers run as a load-balanced cluster with automatic fail-over. Additional servers can be added as required. 64 bit server Database Power Each database server is equipped with four of Intel’s latest 64-bit processors (8 cores per processor) providing a huge amount of processing power. Windows Server 2008 Enterprise (R2) enables each server to take advantage of the 256GB of RAM installed, further boosting database performance. High Ability Database Cluster Our Database Servers (64-bit SQL Server) are clustered to ensure that there is no single point of failure in the database architecture. Any hardware problems arising will result in a transparent failover. Storage Area Network An Hitachi Data Systems SAN (AMS2300) provides the database with terabytes of highly available, fault tolerant storage. Using 4Gb/s Fibre Channel connections, fast disks and optimal RAID data striping provides massive data throughput. Intrusion Prevention and Intrusion Detection Systems (IPS & IDS) helps detect, log and block rogue requests and Denial of Service attempts automatically. Server Security Management access to all servers is strictly controlled and audited - only a set list of qualified 4Projects staff, have access rights. Remote access is via a secure VPN link. All servers are built to a standard and then ‘hardened’ to remove all unnecessary applications and services. Virus scanning software is installed and patterns are updated automatically as new ones become available. All uploads are scanned for viruses. Servers in the DMZ are automatically patched during a nightly rolling upgrade window. Other servers are patched manually after comprehensive regression testing has been completed. Application Security 4Projects’ n-tier application architecture includes a sophisticated authentication and gatekeeper system at its core, guaranteeing: 1) Only authorised users get access to the system 2) Authorised users can only perform actions they are allowed 3) All actions are audited No user data is stored on web servers - All data is stored in the database, including the documents themselves. The only method of accessing the information held in the database is through the gate-keeper system. No data is ever deleted from the database. 128-bit SSL encryption is enforced to all users, giving the best level of security available for data transmission over the internet. All users’ passwords are stored using a one-way encoding algorithm so not even 4Projects staff can read them. Storage All customer data is stored on the Storage Area Network (SAN). The SAN uses hot-swap components and multiple levels of redundancy to provide complete continuity in the event of a failure. Backup and Archival The SAN and all servers are backed up to a tape library. Full backups are taken weekly, incremental backups nightly, Transaction log backups every 30 minutes. The Database is also mirrored in real time to a secondary location for Disaster Recovery. All Backup tapes are kept offsite in a fireproof safe, and kept for 3 weeks. Regular copies of your data can be sent to you should this be required. This data can be read with our Offline Archive product. Archives contain a full replica of your data, preserving access rights and including audit trails. 4Projects are ISO 27001 certified; the highest international standard for Information Security Management available. Service Level Criteria 1. During each month of this Agreement 4Projects undertakes to the Client that the Extranet shall be capable of being accessed (except where inaccessibility is caused by backbone outage or power failure of the National Grid or any event of Force Majeure) no less than 99.0% of the time during normal working hours of 9am to 5pm, Monday to Friday (Greenwich Mean Time). 2. During each month of this Agreement 4Projects undertakes to the Client that the server on which the Client’s Extranet is hosted and the ancillary equipment out to the relevant router shall have no more than 1.0% down time. 3. 4Projects undertakes that the Extranet is backed-up at least once every 24 hours and secured in accordance with good industry practice. Two high-availability SonicWall firewalls establish a highly robust first line defence against hackers and malware external penetration tests conducted periodically, and we have an inhouse certified ethical hacker (C|EH) on staff that is responsible for on-going application and infrastructure security testing. Virus scanning software is installed and patterns are automatically updated daily. All uploads are scanned for viruses. Servers in the DMZ are automatically patched during a nightly rolling upgrade window to prevent zero day attacks. Other servers are patched manually after comprehensive regression testing has been performed. The SAN and all servers are backed up to a tape library. Full backups are taken weekly, Incremental backups nightly, Transaction log backups every 30 minutes. All tapes are kept offsite in a fireproof safe, and kept for 3 weeks. We mirror, in real time, all data activity committed to the database at our secondary environment at our North East head office server. 4Projects currently complies with Data Protection Act registered with the Information Commissioner’s Office (ICO) - see section 4.15 for registration number 4Projects complies with the new law passed by the European Union regarding online privacy regulations and the storing of cookies (effective May 2012) 4Projects are ISO 27001 certified; the highest international standard for Information Security Management available. Data is saved as a binary object within a SQL database preventing any amendment and unauthorised access accept via the web front end. Training An initial Start Up (implementation and administrator/user training) package is provided at a pre agreed cost and delivered on site. Additional admin / user training is available on request and chargeable at a pre agreed rate per session. Online help guides, audio tutorials and technical support is all provided and included in the pre agreed monthly Service / Hosting Fee. Once the scope is clear, clients will be asked to sign a Customer Requirements Form (CRF – section 4) which will outline their fees and standard terms and conditions. 4Projects has two types of fees: • Mobilisation fees - One off including training and consultancy • Monthly service fees - Fixed dependent upon scope These fees can only be finalised once the client scope / requirements have been confirmed Termination terms By consumers = Non-payment of monthly service fee.
