Thank you for your interest in being on the 2015 Farm Tour! Our goal is to present a diversity of farms across the
island with an emphasis on education about farming. Each year we select 12 to 15 farms for the tour, mixing in 20-30%
new farms or those that have been off for a while, so that the tour remains a fresh and interesting event to which
visitors want to return. Therefore, if you are not chosen for this year's tour, please do not consider it a negative
reflection on your farm and apply again next year. Please see the attached FAQ sheet for more information.
If your farm is chosen to be on the tour, there will be a $50.00 farm site fee, for which you will be invoiced separately at
the completion of the selection process. You are welcome to split the fee in any manner with other exhibitors/vendors
you invite to be at your farm site. However, one check should be submitted by you to the Conservation District by the
due date, March 23. Exhibitors and vendors related to island agriculture are especially appreciated.
1. Please provide the following information on a separate piece of paper. The accuracy of this information is important
as it will be used on both the Farm Tour website and Farm Tour map that will be published and widely distributed.

A description of your farm (in 100 words or less)
What your farm produces
What products will be for sale, if any
What activities will be available on the day of the tour (demonstrations, u-pick, self-guided tours, guided tours,
activities for kids, exhibitors, vendors, etc.)
Directions to your farm from Highway 20 or Highway 525 (in 50 words or less).
We reserve the right to edit descriptions and directions as necessary for consistency and clarity.

2. In order to provide the public with information about your farm and assist with parking and greeting, we need a
commitment from you to have volunteers at your site during the farm tour. We recommend at least 4 volunteers over
the course of the weekend. If your business or location is more complicated, it may require additional people. Please
initial your agreement to provide volunteers: ______
3. Does your farm have public restroom facilities? ___ yes ___ no
Note: Portable toilets can be rented for the weekend. If you will not have restrooms available, please indicate this
because it is a factor in selecting a suitable combination of farms.
4. Do you have liability insurance (or homeowners insurance that would cover visitors)? ___ yes ___no

If you do not have liability insurance, you must obtain it for the event. It is your responsibility to contact your insurance
agency and confirm that you are properly insured. Please provide a copy of documentation no later than March 31,
2015 that you have coverage for the event.
5. Please describe your parking area and approximately how many cars it can hold. Are there any parking issues
(one-lane entrances, long driveways) we should be aware of? ____________________________________________

6. List the good stewardship (best management practices - BMPs) you implement on your farm. The WICD will assist
each farm with educational material to highlight good stewardship practices to the public. For more information about

7. Are you planning to partner with other exhibitors or vendors? ___ yes ____no
We’ve found that this partnering attracts visitors. Please list any partnering you have planned.

8. If you, or a vendor, are going to provide food to the public, please check the Island County Health Department Food
Program website www.islandcountyeh.org/page/14 for information on food safety. It is your responsibility to be sure all
participants on your site are in compliance with food safety laws.
9. Please include the Farm Tour event in your marketing materials. Also, please provide us a link to your website and
we will include it on the Farm Tour website so potential visitors can obtain additional information about your farm.

10. This year’s Farm Tour will be September 12 and 13. While our preference is that farms are open both days, we
know that some of you may only be able to have your farm open one day. PLEASE NOTE: Hours must be from 10:00
am to 4:00 pm. Please let us know which days you will be open for the tour:

11. If your farm is selected, we will request photos to post on the farm tour website (view last year’s farm pages on
www.whidbeyfarmtour.com). Please send photos to: sandy@whidbeycd.org.
12. Visitor surveys are an integral part of obtaining sponsorship funding for the tour. Each farm is expected to display
visitor surveys and survey collection boxes (provided by the Committee) during the event weekend.

13. A Farm Tour Dinner & Coordination Meeting is held one evening each summer prior to the tour event. This
evening event includes a presentation of topics and activities at each farm, coordination of preparations for the
tour, and discussion of approaches to increase interest in and engagement of visitors at your farm and reduce
your efforts during the tour days. Even if your farm has been on tour before, at least one representative from each
farm is required to attend each year. We encourage farms to bring interns as well. Please initial your commitment

I hereby indemnify the Whidbey Island Farm Tour from any claims arising out of personal injury, illness, or property
loss occurring during the farm tour event at my farm.
