Ohio’s New State Tests: Administration Checklist English Language Arts and Mathematics December 2014 To help districts and schools administer Ohio’s New State Tests in English language arts and mathematics, the Ohio Department of Education has prepared this checklist. Ohio’s test administrators can review this document to ensure they are aware of and informed about the recommended steps to take in getting ready for the new tests. By following the steps on the next pages, Ohio’s test administrators can prepare themselves and pave the way for a successful testing process in 2015. Before Testing Three Months Prior Register students in PearsonAccessnext and resolve critical warnings/alerts. Order additional test materials, if applicable. View applicable training modules at http://parcc.pearson.com/tms. Establish a testing schedule. Two Months Prior Prepare to administer accommodated tests, if necessary. Schedule practice tests and student tutorials (recommended). Develop a security plan. Develop a logistics plan. Develop a training plan. Meet with and train Technology Coordinators. Complete technology setup. Conduct an infrastructure trial. One Month Prior Review the Test Coordinator Manual and recommended online training modules to prepare for Test Coordinator responsibilities. Notify students and parents about the PARCC assessment. Update student registration. Two Weeks Prior Finalize the testing schedule. Finalize the security, logistics, and training plan. Sign the PARCC Security Agreement. Set up test sessions in PearsonAccessnext. • Confirm Test Administrator accounts are active. • Conduct Proctor Cache Operational Tests. • Print Student Authorization Tickets and Seal Codes. Check for test administration updates at http://parcc.pearson.com/bulletins/. Day of Testing Make final preparations. During Testing Distribute test materials. Ensure Test Administrators have a computer or tablet available. Monitor test activity. Apply accessibility features and accommodations to appropriate students. Create make-up tests in PearsonAccessnext and supervise make-up testing. Be available to Test Administrators and Proctors. Investigate security breaches and testing irregularities. Follow the protocol for contaminated or damaged test materials, safety threats, and severe weather. Respond to all technology related issues. Collect materials from Test Administrators after each test unit. PAGE 3 | Ohio’s New State Tests: Administration Checklist for ELA and Math | December, 2014 Monitor and Report Security Breaches and Testing Irregularities Report all instances of security breaches and testing irregularities to the School Test Coordinator, and subsequently, the District Test Coordinator, immediately. Complete the Form to Report a Testing Irregularity or Security Breach within two school days of the incident. * Check Ohio’s policy in the PARCC Test Coordinator Manual regarding state-specific requirements for reporting a Security Breach. Address Any Contaminated & Damaged Materials Replace any contaminated or damaged test materials. After testing, the Test Coordinator must: Place Student ID label on replacement document. Record the security barcode number of the damaged and new documents. If possible, transcribe responses from contaminated test material into the replacement. If not, provide the student a retake opportunity. Destroy contaminated material according to local biohazards protocols. Compile a list of contaminated/damaged Test Booklets, maintain the list for three years, and notify your state. Prepare for Safety Threats and Severe Weather Create a plan and train staff for safety threats and severe weather. Test Administrators and Proctors must: Note the time of the disruption. Secure test materials as specified in your School Security Plan. Prepare students for the continuation of the unit and resume students’ tests. Document the situation in writing. * Check Ohio’s policy in the PARCC Test Coordinator Manual regarding state-specific procedures for reporting Safety Threats and Severe Weather. Purge the cached test content. One Week after the Final Unit Organize and return test materials. • Identify and mark specific test materials as “Do Not Score.” (See sample below.) Complete a Post-Test Certification Form. Destroy/shred used scratch paper and Mathematics Reference Sheets. Recycle unused test material (after EOY). Keep records according to Ohio’s policy.
