This change should be complete by September 4. There will also be a section for the Trainers Meetings where all of the PP slides and minutes will be posted. #3 - QRC Training Status a. b. Organization Changes Northern RHA- eastern region has been update IE – will check in with staff in upcoming meeting PMH – sent out memos to users. Brandon – seems to be good to go. New staff – understanding is good. SH-SS – information went out but needs follow up. Boundary Trails – message probably hasn’t gone out well so did an update. WRHA – reviewing with lead roles on Sept 9. Project team can run regional reports that is like an audit report that tells if the public health organizations are being entered correctly. The coordinators will send the report out to the regions for end of September and end of November. The trainers can then follow up with the offices / persons who are not entering the organization correctly. Inventory Physical Count and Returns IE – using but the page does not seem to refresh and page times out in 20 minutes. With pages with lots of inventory lines, this is an issue. Not required by Manitoba Health to do the physical counts but it suggest to do it once per month. Can adjust the numbers instead of physical count as this is acceptable as well. #4 - Bulletin and System Update NRHA – using the bulletin IE – circulated to program staff SH-SS – one staff sends out emails to all users and staff have been informed. PMH – posted on secure pages on the intranet. Will talk about at the next regional PH meeting. WRHA – Sept 9 review. #5 - Super Users Regional super user draft role description has been shared with regional managers and the coordinators asked the managers to identify SU within the region. Draft role description is attached to the minutes. SH-SS – may need to revisit their decisions regarding SUs. Page 2 of 4 #6 – Reports Training and Support (Implementation) Reports are being released into Production. Currently there are new aggregate statistical reports. After the September 8 Reports working group meeting where decisions will be made regarding security access to certain reports, an implementation and training plan will be developed. An update will be provided at the September meeting. #7 - Downtime Procedures Regions will be receiving generic downtime procedures over the next month that can then be modified as required by the regions. For the time being, downtime procedures should be to revert back to the paper processes that occurred prior to the Panorama implementation and then data entry of the information into Panorama when the system is back up. Roles required for the data entry will vary dependent on regional decisions. Access to eChart will be part of the downtime procedures. Julie has informed the regions that do not have eChart access fro their public health providers that they should be applying for the eChart access. #8 - Influenza vaccine name changes – Quadravalent Influenza – Intramuscular. The product group for the Quadravalent Influenza vaccine has been changed to INf–Intramuscular. Please see the attached screen shots to share with your users. The “apply consent” function where consent is applied to all influenza vaccines, not just one is not fixed. #9 - Roundtable NRHA PMH – SH-SS IERHA WRHA mass imms end user training in Thompson Sept 4 and The Pas Sept 11. Working on being able to access Panorama remotely for clinics. Waiting for Adaptive Authentication (access on a non Manitoba eHealth managed laptop without using a RSA token) for remote access. Adaptive Authentication solution to be available soon (hopefully within next 2 weeks). New user training has occurred Documenting the reason for giving influenza vaccinations? Currently just using “routine” as the reason. Can the reason be included in Panorama so it can be pulled into reports. o Julie and Helena will take this back to the team and the Reports Working Group. Is this a regional or Manitoba Health statistical requirement? If put in as a SDL for occupational health, that would be supportive. Steinbach working on mass imms for school. Could not access 30 students in Panorama but could after went to MIMS Reason for giving flu vaccine – address this regionally to determine if going to collect this information (health care provider). Not going to collect as part of mass imms clinics but would to collect via Occupational Health. Panorama refresher training for mass imms clinics for clerical staff who are the persons responsible for data entry as delayed non-provider entry. PHNs responsible for single imms entry and for inventory. Revamping flu consent form and was going to take off the reason from the form. Would like feedback ASAP Teleconference with clerks to support clerks in uploading of client lists 5 sessions planned for training school based casual nurses September 9 updates Received school lists from all the major school divisions (missing two right now) and the clerks have been using these school lists. Process is working well. Julie August 7, 2015 August 28: Manitoba Health has been asked to provide a letter to the school divisions to provide class lists. No letter as of yet. Melody has been talking to Dr. Hildeman (MOH) to reinforce need for class lists from the school divisions.
