Responsible for the day-to-day organisation of Domestic Assistants /Porters/Sewing/Linen staff
across the site and provision of Support Services. To monitor and maintain standards of
cleanliness within resource allocation and based on recommendations of QIS, HAI Code of
Practice and the NHS Scotland National Cleaning Services Specification.

4. SCOPE AND RANGE
NHS Tayside serves a population of approximately 387,000 covering regions including Tayside,
Perth and Kinross, Angus . The Support Services Supervisor has front line management
responsibility for Domestic Staff/Porters and Sewing/Linen Room staff within Murray Royal
Hospital. The post holder will assist in the delivery of high quality cleaning/Linen/Portering services
in areas of high activity with frequent changing needs.
The jobholder through the Senior Support Services Supervisor is responsible for monitoring,
maintaining and adherence to NHS Tayside Policies, legislation and National directives e.g.
National Cleaning monitoring and HAI initiatives.
The postholder will have frontline responsibility for ensuring the day to day service quality and the
use of the monitoring system.
The Support Services Supervisor will oversee the organisation of all work rotas, ensuring the
effective deployment of staff.
The postholder is required to communicate skilfully with their staff.
5. MAIN DUTIES/RESPONSIBILITIES
Induction Standards & Code of Conduct
Your performance must comply with the national “Mandatory Induction Standards for Healthcare
Support Workers” 2009; and with the Code of Conduct for Healthcare Support Worker

Ensure that there is sufficient staff on duty to cover all services by the Department, within
predetermined resources.

Allocate work to staff making the best use of resources and skills available, responding to
change and adjusting priorities as necessary.

Ensure that requests for work are allocated to staff and are prioritized and dealt with
accordingly.

Supervision of all Support Services staff to ensure that work is completed on time and to the
required standard.

Ensure that agreed standards of cleanliness are met and maintained in all areas through
stringent monitoring.

Regular monitoring of the processes/procedures used in all cleaning tasks to ensure Health
and Safety and Infection Control guidance is adhered to.

Undertake the training and refresher training of Support Services Staff to use appropriate
methods and systems on a daily basis.

Undertake back to work interviews and provide advice and information to staff in line with the
Promoting Attendance at Work Policy.

Identify and deal with initial concerns as appropriate, actively promoting staff welfare,
encouraging good morale and where appropriate, refer to a line manager situations where
further action may be deemed necessary.

Ensure staff have the proper equipment to undertake their duties, and report any faults as they
occur.

Responsible for the security of all equipment and materials used by staff.

Ensure safety requirements are met and staff are provided with sufficient materials and

protective clothing to efficiently and safely complete their duties.

Order, receipt and allocate supplies and consumables in the most economical way.

Participate in Performance Development Review and conduct Performance Development
Reviews with staff.

Maintain accurate and appropriate records in line with organisational and departmental
requirements.

Ensure that safe working practices and good hygiene practices are observed in line with
organisational & departmental procedures and Health & Safety Policies / Inspections.

Undertake personal development and/or refresher training as necessary to maintain up-to-date
knowledge base.

Knowledge and adherence to organisational and departmental policies, procedures and
guidance.

Work flexibly across the sites, as required.

Liaise with all departments, agencies and the public to ensure smooth, efficient services and to
promote a good service image.

Ensure, through a hands on approach, good safety, fire and security practices by all people on
all sites.

Carry out administrative duties in support of the management role, including the authorisation
of leave to staff etc. as outlined by management.

Maintain confidentiality.
Postholder will follow all guidance and procedures relating to Healthcare Acquired (Associated?)
Infection to ensure their safety and that of others and ensure staff in their charge are trained and
observe all guidance and procedure to prevent the spread of infection.
6. COMMUNICATIONS AND RELATIONSHIPS
Regular communication exists between the post holder and colleagues, Portering,Sewing/Linen,
domestic assistants, departmental staff, staff representatives (in partnership), patients, visitors and
other staff within the NHS establishments via verbal, written or electronic means.

7. KNOWLEDGE, TRAINING AND EXPERIENCE REQUIRED TO DO THE JOB
Previous experience working in a Support Services environment is desirable. A knowledge of
large scale cleaning operation would be advantageous, IT skills highly desirable

8. SYSTEMS AND EQUIPMENT
Completing registers/diaries with wage amendments, holidays and sickness.

Responsibility For Records Management
All records created in the course of the business of NHS Tayside are corporate records and are
public records under the terms of the Public Records (Scotland) Act 1937. This includes email
messages and other electronic records. It is your responsibility to ensure that you keep appropriate
records of your work in NHS Tayside and manage those records in keeping with the NHS Tayside
Records Management Policy and with any guidance produced by NHS Tayside specific to your
employment.
9. PHYSICAL DEMANDS OF THE JOB
Physical Demands
The job is physically demanding, requiring the post holder on an occasional basis to demonstrate
the use of mechanical equipment and cleaning procedures.
The post holder may be required to travel to other sites as required.
The post holder is responsible on a regular basis for stocking store cupboards. This involves
receiving goods e.g. boxes of cleaning materials etc. and loading them onto shelves in a safe
manner. These would also be distributed on a daily basis.
Mental Demands
Awareness when working in challenging areas e.g. forensic / mental health.
Post requires concentration and ability to adapt to working in a hostile environment e.g. where
there is exposure to distressed relatives/visitors and aggressive patients / patients under the
influence of alcohol or non-prescribed drugs.

Remuneration
The terms and conditions of service for this post are those
determined by the NHS Staff Council.
The current salary scale for the post is £16,960 to £19,927 per
annum (pro rata for part-time staff). Placing on the scale on
appointment is normally at the minimum but may be higher
subject to verification of previous relevant service.
Hours of Duty
Salary is paid weekly by Bank Credit Transfer.
The hours of the post are 20 per week - On Rota 14:00 – 19:00
pm over 4 days
Superannuation
Start and finish times will be determined by the needs of the
service.
Membership of the NHS Superannuation Scheme is not
compulsory but is open to all staff between the ages of 16 and
70 (65 in some instances).
The contributions paid are a percentage of superannuable pay,
which is essentially basic pay excluding, for example, overtime
or travelling expenses.
Contribution rates with effect from 01.04.15 are as follows:

Contributions are subject to tax relief and reduced National
Insurance contributions. NHS Tayside also makes a substantial
contribution towards scheme benefits – currently around 14% of

weeks per year.
After 5 years aggregated service = 29 days (pro rata for part-time
staff) or 5.8 weeks per year
After 10 years aggregated service = 33 days (pro rata for part-

Public Holidays = 8 days (pro rata for part-time staff) or 1.6
