GUEST HOUSE, INC. – JOB DESCRIPTION MTC Front Desk/Administration Department: Reports To: Treatment Centers Facility Coordinator & Support Services Supervisor POSITION SUMMARY: Responsible for answering phones, greeting clients and visitors, and general clerical support for the day-to-day treatment center operations. POSITION RESPONSIBILITIES: Answering multi-line phone, answering questions, or forwarding calls as appropriate. Provides administrative/secretarial suppport to the treatment center Directors and Clinicians. Including, but not limited to, appointments, schedules, and filing. Maintains database of current clients (Referent) and assists with correspondence with form letters. Sends reports for feedback session, clinical assessment and discharge summary. (Provided by Executive Director). Keeps accurate record of Continuing Care participants and updates databased with contact information. Sends correspndence of phase-specific material that includes referent packet and participant packet for Continuing Care. Coordinates travel arrangements for Continuing Care participants, communicates needs with scheduler. Assists clinician with mailing completion letters to each Continuing Care participant. (Provided by Clinician). Receives and distributes forms collected at Continuing Care event (surveys, release of information for billing, Referent and Superior names, Alumni registratoin form and next phase registration). Demonstrate behaviors that promote positive customer relations with staff, clients, and visitors. Comes to work as scheduled and consistently demonstrates dependability and punctuality. Operating standard office equipment; i.e. copier, fax, scanner, etc. Entry of information into Outlook calendars as needed. Provide support to Dietary Department as needed for special events. Follows Guest House Policies and Procedures for infection control and facility safety in accordance with regulatory guidelines. Performs other related duties as assigned. QUALIFICATIONS: High school diploma or GED. Ability to conduct daily duties in professional manner Must be able to maintain confidentiality in daily operations Must be certified in CPR/AED or obtain certification within 6 months of employment Minimum of two years of experience in business office setting, switchboard experience a plus Extensive proficiency in operation of basic office machines, computers and office related software Demonstrated ability to effectively communicate verbally and in writing. with employees and the general public, to maintain confidentiality in daily operations, to conduct daily duties in a professional appearance and manner Ability to work independently
