Grading System Change Recommendations Oakland University Rationale The Registrar with Graduate Council (GC) and the University Committee on Undergraduate Instruction (UCUI) respectfully requests that University Senate review and approve the undergraduate and graduate grading system change recommendations based on the following: The outcome of last year’s grade change audit by Internal Audit requires clarification of the University Senate policy on Incomplete (I) and Progress (P) grades as it relates to deadlines. The grading system has not been reviewed in a fairly long period of time and significant changes in the academic environment may warrant revisions. Recommendations Current Incomplete policy--Undergraduate The I (Incomplete) grade is temporary and may be given only by student request and instructor consent and only after the cut-off date for use of the W grade. It is used in the case of severe hardship beyond the control of a student that prevents completion of course requirements. Work to remove an I grade must be completed during the first eight weeks of the next semester (fall or winter) for which the student registers unless a student-initiated extension is approved by the instructor and the dean of the school or college or other appropriate administrator. If course requirements are not completed within one year and no semester has been registered for, the I grade shall be changed to a grade of 0.0 or permanent I for graduate students. A student who wishes to receive an Incomplete (I) grade in a course must present a Student Request for Incomplete Grade form to the instructor by the day of the scheduled final examination. This form, which indicates the instructor’s willingness or unwillingness to grant the I and the schedule he or she sets for completing the term’s work, is available in department offices.
