Resources to Submit a Resolution in Support of Libraries to your
State Legislature
INSTRUCTIONS
1. Customize the draft resolution on p. 2 so that it meets your needs. For example, the
resolution could be timed to coincide with an event like National Library Week, but it
does not have to be
2. Fill in the blanks of the draft resolution on p. 2 with information about your state (a
web link is provided for a site that has the state data)
3. Identify someone in your state legislature who you think would be a supporter of
libraries
4. Email that elected official and ask them to sponsor the resolution. Use the sample
email on p. 1. Find contact information at http://cqrcengage.com/ala/chapters
5. Submit the resolution to them as an attachment to your email. Make sure the file is in
a format that is editable, such as an MS Word document
6. If you do not hear from them in a week or so, follow up with a phone call and repeat
your request
7. Find out when the legislature will vote on the resolution, so you can get the word out
about it through the local press, social media, etc.
8. When the resolution passes, be sure to follow up with the official and thank them.
Finalize the press release and send it to your local newspaper. Use the sample thank
you message and press release on pp. 3-4
SAMPLE EMAIL TO YOUR ELECTED OFFICIAL
Dear Representative [INSERT NAME],
As a voter and a resident of [INSERT CITY, STATE] I am grateful for all that you do to
help the residents in our state. You may be aware that April 12 – 18th is National Library
Week, and I am contacting you to ask if you will sponsor a resolution honoring the
libraries in our state. I’ve attached a draft resolution to this email message. I know that
you work hard to ensure that everyone in our state has access to resources like public
education and job training. Libraries play an important role in both of these things, and
that is why I hope you will sponsor this bill. If you have any questions, or if you need
more information, please don’t hesitate to get in touch. I can be reached at [INSERT
CONTACT INFORMATION]. If you’d like to learn more about National Library Week,
please visit www.ala.org/nlw. Thank you for your time and I look forward to hearing
from you.
