Grant Proposal FAQs 1. How do I submit a proposal for an ACVIM Foundation grant? If you have a study related to a specific call made in the current grant cycle, please download the grant guidelines packet which contains instructions on the grant requirements and other important information. Completed grant proposals must be submitted electronically on or before the due date to Foundation@ACVIM.org. 2. When can I submit a proposal for a grant? Call for proposals for the ACVIM Foundation Grant Program are made twice annually based on the availability of funding. Proposals must align with a specific study type made in the call. Examples of previous grant opportunities are large animal respiratory, feline chronic renal disease and pharmacology. We do not accept rolling proposals. 3. What types of grants are available through the ACVIM Foundation? The ACVIM Foundation generally funds three different opportunities: 1. Clinical studies – From pharmacology to feline chronic renal disease, the Foundation provides funding for leading edge studies in veterinary internal medicine. 2. Externships – Generously sponsored by Zoetis, the externship program provides residents with the opportunity to experience an external rotation. The funds are used to assist with accommodations, travel and living expenses. 3. Fellowships – The ACVIM Foundation provides fellowships in a clinical discipline and/or clinical research to ACVIM Diplomates or ACVIM Candidates that have completed residency training programs within the last 2 years who wish to pursue an advanced training program that spans a minimum of 1 year. 4. When will I receive notification of grant status? Approximately 60 days after the grant deadline. 5. What is the process for receiving payment from the ACVIM Foundation? A letter of agreement will be sent to the principal investigator for review and signature. Once the letter has been returned, a 50% payment will be made to the individual listed as the institutional representative. Upon successful completion and submission of the interim report, the remaining 50% will be sent to the institutional representative. 6. What are my responsibilities when accepting a grant? As a grant recipient you are responsible for conducting the study as proposed using the ethical guidelines of the ACVIM Foundation and the institution regulating your study. Interim and final progress reports are due to the Foundation to demonstrate fulfillment of the study per the grant agreement. Additionally, if any changes to personnel, scope of study or other issues arise, it is your responsibility to report these changes to the ACVIM Foundation. 7. What are the reporting requirements? Grant recipients will receive an awards packet which includes the letter of agreement, report templates and an outline of the grant management process. Grant recipients must complete an interim and final report using the templates provided. Failure to complete the interim report will result in a delay in the second award installment. Failure to complete the final report will result in disqualification from future grant opportunities with the ACVIM Foundation. 8. Are extensions of the grant period allowed? Grant recipients may fill out a No-Cost Extension Request Form detailing the progress made on the study thus far, as well as the reason for the extension. The scientific review committee will review the request and, if approved, the researcher or institutional representative will be notified. 9. Are changes in key personnel allowed? We understand that changes in personnel and student support can occur. If this occurs, please send an email to Foundation@ACVIM.org stating the details of the change in personnel. 10. Are there specific requirements for the grantee’s sharing of results and work products, and what may the ACVIM Foundation share? As your institution allows, we encourage you to share results and work products with the veterinary internal medicine and general practice community. Events such as conferences, lectures and other presentations will further the practices of veterinary internal medicine amongst the scientific community. The information provided in the scientific and lay abstracts within the proposal, interim and final reports may be shared by the ACVIM Foundation. If the results of the study meet the goals of the proposal, we encourage participation in the ACVIM Journal of Veterinary Internal Medicine. 11. What are the rules for acknowledgement of ACVIM Foundation support? Grantees are authorized to use the ACVIM Foundation logo for the purpose of identifying their status as an ACVIM Foundation grant recipient. The ACVIM Foundation logo may not be used in any manner to imply that ACVIM warrants, approves or endorses any product or service provided by the grantee. Users of the logo accept sole responsibility and liability for the content of any materials or publications they create. ACVIM reserves the right to review logo use at any time. Current grantees may use the logo as follows: On display within the grantee’s business or workplace (e.g., displayed on windows, doors, interior signs and other appropriate locations). On stationery including but not limited to letterhead, envelopes and business cards. In advertisements, promotional materials, trade show displays, websites, email and brochures promoting the grantee’s status as a recipient of an ACVIM Foundation grant. The ACVIM Foundation logo should be displayed as follows: Separate and distinct from other marks and copy. Use of the ACVIM Foundation logo is permitted solely to identify an individual grantee as an ACVIM Foundation grant recipient. The logo display should not imply ACVIM Foundation affiliation with other institutions, organizations or businesses. 12. What should I do about unused funds at the completion of a grant? Unused grant funds must be return to the ACVIM Foundation. Funding has been approved by the Scientific Review Committee for a specific purpose related to the grant proposal.
