Document No.: SOP Approver: Effective Date: PURPOSE The objective of dloHaiti’s Standard Operating Procedure (SOP) – Water Sample Collection is to ensure that samples for water quality analyses are collected in the correct manner to ensure that the results obtained truly reflect the quality of the water at a given time and location. The procedure described below address collection, storage, transportation and delivery to lab for analysis. II. SCOPE The Water Sample Collection, Storage and Transport SOP apply to the Kiosk Operator and Manager. These procedures are applicable during the daily operation of the Kiosk and monthly and quarterly water quality analysis. The SOP should be conducted at a time predetermined and approved by the Water Quality Manager. III. RESPONSIBILITIES The Kiosk staff responsible for executing this SOP is the Operator. Procurement of these items prior to the day/time of sampling is imperative. 1. Sterile Sample Bottles 2. Ice chest/Cooler 3. Gel Ice Packs (to be frozen the night before sample collection), alternately ice chips (purchased on the day of sample collection) 4. Labels 5. dloHaiti’s Sample Collection Log 6. Sample Transfer Log (prepared in-house by WQ Manager or obtained from lab) PROCEDURAL STEPS: 1 Obtain sterile bottles from [… find a place in Port-au-Prince] prior to the day of sample collection and store in the Water Sampling equipment closet at the Kiosk. Pre-freeze gel ice packs. Place Ice packs (or ice chips) in cooler prior to commencement of sample collection. 2 3 SAMPLES FOR CHEMICAL ANALYSIS SHOULD BE TAKEN AT THE SAME TIME THE SAMPLES FOR BACTERIAL ANALYSIS. A. Retrieve a blank Sample Collection Log and Sample Transfer Log from Water Sampling Folder on Kiosk Manager’s desk. B. Prepare Sample Collection Log (for internal use at Kiosk) and Sample Transfer Log (for presentation to the lab). On the Sample Collection Log and Sample Transfer Log note: a. Date b. Sampling Location c. Sample ID Code (for each sample at each location) d. Name of Sampler ADDITIONAL INFORMATION WILL BE ADDED TO THE LOG AT THE TIME OF SAMPLING. C. Label sample bottles. Ensure that for each sample location the Sample ID Code on the bottle corresponds with the information on the Logs. Wash and towel dry hands. 4 5 A. Open faucet to a full steady flow and allow the water to run for 30 seconds. B. Remove cap and rinse sample bottle. C. Fill sample bottle to the ‘fill mark’. Tightly recap the bottle and dry the exterior. Place bottle in ice chest. WATER SAMPLE COLLECTION FOR MICROBIOLOGICAL ANALYSIS MATERIALS NEEDED: Following are the materials/equipment that is required for water sample collection for chemical analysis. Procurement of these items prior to the day/time of sampling is imperative. 1. Sealed Sterile Sample Bottles (bottles should contain sodium thiosulphate or chlorine neutralizing pellets) 2. DO NOT TOUCH INSIDE OF CAP OR RIM OF BOTTLE. DO NOT RINSE BOTTLE. Fill sample bottle to the ‘fill mark’. Tightly recap the bottle and dry the exterior. Place bottle in ice chest. Record the time on the Sample Collection and Sample Transfer Logs. 8 9 10 Repeat Step 5 through Step 8 until samples are collected from all locations around the Kiosk. Return completed Sample Collection Log to the Kiosk’s Water Sampling Folder. Retain Sample Transfer Log for delivery to lab. dloHaiti MARKET BASED SOLUTION FOR CLEAN, AFFORDABLE DRINKING WATER IN HAITI WATER SAMPLE STORAGE, TRANSPORT AND DELIVERY TO LAB PROCEDURAL STEPS: 1 Store all water samples in an ice chest with frozen gel ice packs or ice chips. Alternately, samples can be store in a refrigerator. Seal Sample Transport Log in a dry Ziploc bag and place inside ice chest. 2 Transport samples to lab within at least 8 hours of collection. 3 4 Deliver samples to laboratory technician along with Sample Transfer Log. Have lab technician check the number and codes of samples against the documentation and sign Sample Transfer Log as evidence of receipt. Retain signed Sample Transfer Log and return to Kiosk ‘Water Sampling Folder’. 5 6 Empty and dry inside of ice chest. Retain gel ice packs for later use. Return ice chest with ice packs to storage at Kiosk.
