Position Summary
The Associate Director has responsibilities for daily office operations and the implementation of
programs for the Office of Alumni Engagement. This includes developing and enhancing existing
revenue-generating programs, budget development and tracking, program planning, policy
recommendations and implementation, staff development and the research and evaluation of
current programs offered to current and future UB alumni. The Associate Director also will assist in
the development of annual plans and be responsible for implementation of marketing and
communication efforts to increase the interaction of alumni and the university in meaningful ways.
The Associate Director is responsible for managing both professional and support staff positions.
Duties and Responsibilities
 Coordinate and designate work flow for the Office of Alumni Engagement;
 Under the direction of the Executive Director for Alumni Engagement, recruit, train, support and
manage volunteers in a variety of engagement opportunities such as regional chapter committees,
career services, and student recruitment;
 Assist in the development and implementation of an alumni database that includes measures for
alumni engagement, enthusiasm, and a comprehensive listing of volunteer preferences.
 Oversee the transition of UBAA from a membership organization to a non-dues paying, all-inclusive
organization, including growth in alumni participation in the University’s Annual Fund.
 In conjunction with the Executive Director for Alumni Engagement, evaluate events, programs and
overall operations in an analytical, objective, data-driven manner.
 Assist in the development and implementation of strategic and long-term planning for the Office





of Alumni Engagement and the UB Alumni Association board.
Oversee a growing and expanding affinity marketing program. This includes the implementation of
existing programs and the generation of new programs to secure new revenue streams.
Serve as a primary advisor to the Executive Director on a wide range of issues involving the Office
of Alumni Engagement and the UB Alumni Association.
Work with Resource Manager and lead staff to develop specific program budgets;
Support the goals and objectives of the Office of Alumni Engagement and the division; and
Manage day-to-day operations of the office.
Sensitive or confidential data
The responsibilities of the Associate Director require daily handling of records that contain detailed
personal and financial data regarding the university’s alumni, donors, foundations, faculty and staff. The
Associate Director has access to a wide range of data not known by most employees of the university. A
breach of confidentiality on the part of the Associate Director could result in legal ramifications for the
university and/or significant lost revenue. The Associate Director interacts directly and daily with the
university’s alumni and potential donors. Any inappropriate behavior or comments reflect on UB and
could have significant short and long-term ramifications on the university.
Reporting Relationships
The Associate Director will report directly to the Executive Director of Alumni Engagement. The Associate
will be the "Officer in Charge" in the absence of the Executive Director. The Associate Director will have
direct report responsibility for the Alumni Engagement Officers, and the Alumni Service Officers.
Qualifications:
 Bachelor's degree required (Master's preferred) plus 8-10 years of professional experience required
with 4-5 years in alumni affairs/higher education preferred.
 Previous volunteer management and staff supervision experience.
 Excellent communication skills; both written and verbal.
 Excellent interpersonal skills and an ability to motivate others are essential.
 Ability and willingness to travel and maintain a flexible work schedule.
 Ability to manage multiple priorities and complex projects while maintaining attention to detail.
 Must have basic and appropriate computer skills to communicate with peers and alumni, produce
appropriate reports, and the ability to utilize the alumni database.
 Proven success in goal achievement and ability to work well with, and be a key member of, an
advancement team within a diverse and organizational complex research university.
Most Complex or Difficult Duties

Most serious consequences (In order of importance; list at least three.)
 As second in command for the office of alumni relations, serious consequences could arise from
misrepresentation of the University or office.
 Incumbent has access to considerable personal data contained in alumni database as well as access to
financial information and personnel records.
 Inaccuracy or breach of confidentiality could result in serious consequences (i.e., alumnus/a no longer
supports UB as a volunteer or donor as a result)
Sensitive or confidential data (Note probable effects of indiscretion.)
Position has complete access to all confidential data in the office, including salaries of all employees, gift
amounts from alumni, expenditures and income from all sources to the alumni office and association,
confidential legal information on affinity revenue programs, personal information on alumni and
volunteers.
Indiscretion would result in lost trust in the institution, damage to relationships between UBAA and
business partners and personal harm to employees and their families.
