2015 ALA Treasurer Report - Rod McLeod I would like to thank the other executive members for their hard work this year, and all of the support of the members of the association. This year was very good for the Abbotsford Lacrosse. Historical Update At the last AGM we did not have a treasurer, different executive had worked to fill this role. When I began my term, we did not have properly organized books or records. It took several months to receive the limited records that where available. The executive enlisted a bookkeeper to review the banking records and set up an accounting program. The records are now maintained using Sage software. The financial report presented last year at the AGM did not accurately reflect the financial picture; the association had not paid the City of Abbotsford for 2014 season floor rentals. We worked with the city to determine a payment plan as the account had to be in good standing before we could get floor time this season. The financial analysis also indicated that last year the association paid $750 in fines for late paperwork and did not properly file reports to be in good standing with gaming branch. Given this challenging start, the executive was determined to get the association back in good financial standings. Current Season This season we established an association fundraiser that exceeded our expectations. The event raised over $9,000 with the $3,000 matching donation from Abbotsford Duty Free. This kick off ensured that we could have the operating funds to purchase the necessary equipment. The event was so successful that teams received$500 each. The executive determined that referees would receive cheques to ensure proper accounting. The only “cash payments” was for the out of town refs reimbursed to the head referee. This year the association applied for and received a community gaming grant for over $14,000. These funds are intended to purchase some new jerseys, new practice netting, coaching equipment and referee support. The new warrior lacrosse socks required a minimum order. The association purchased the remaining stock from the vendor and has an inventory for next year. The association has a positive balance, all bills from the last season are up to date. In a single season the executive has achieved the goal to return the association to good financial standing. Next Season This year the focus was on fixing past mistakes. We can now look to improving on current practices. For next season the treasurer role should: Create financial policies for equipment sales, registration, and expense reimbursements Work with the equipment manager to inventory assets Work with the referee coordinator to set up automatic debit payments
